When it comes to marketing your business there are no hard and fast rules. What works for one person or business may not work for another. If you have a marketing idea the best thing to do, if it's in your budget, is to give your idea a try.

Some people will swear against cold calling, canvassing, mailers, e-mail marketing, networking groups and promotional giveaways but then there are others that have built their business using these techniques. Since the notary business has been slow in my neck of the woods I decided to give cold calling a try.

Cold calling is definitely not on the top of my list of favorite things to do but I figured it could not hurt. To my surprise the response I received was 99% positive. Because I am offering a service and not trying to sell anything, the person on the other end of the phone was happy to learn that I was available to perform mobile notary services.

So next time you have a marketing idea give it a try!

Lately business has been slow in my notary world. 2008 started out so promising the slow down of the last couple of months caught me totally off guard; I didn't know what to think.

Thankfully, all hope is not lost as I have had a busy week so far, and it's only Tuesday! I was so busy today that I drove over a 100 miles handling notarizations and authentications from Long Beach to Norwalk back to Long Beach to Downtown Los Angeles to Rancho Palos Verdes back to Long Beach. I was in my car from 10 a.m. until 5 p.m. And I already have two jobs lined up for tomorrow.

I may have been running around like crazy but I was busy doing what I love so the day could not have gone any better. :)

L.A. County Posts Useful Forms for Download

I am happy to report that the L.A. County Recorder's office has officially come into the 21st Century and is posting for download some of the most common forms relating to real property transactions.

On their website you can find such forms as power of attorney, grant deed and quitclaim deed. This is a really convenient service and I hope they continue to use the web to its full potential.

Successful Notary Tip #6 - Always Be Marketing

Any successful business owner will tell you how important it is to market your business at all times, and to always be on the look out for new and inventive ways to do so.

One of the guerrilla marketing techniques I decided to employ was to use my car as a advertising tool. Because being mobile is the key to my business, I spend almost as much time in my car as I do at home. If fact, my car is my second home.

As I was deciding what method to use - window lettering, door magnets, etc. this brightly colored vehicle drove right past me. I liked what I saw so much I called them right away!

After deciding on the wording and the colors this is what I came up with and I absolutely love it! It's only been a couple of days so no one is knocking down my door quite yet but I am confident I will be receiving business in no time.

Fax Backs Can be a Pain!

As a notary, you'll have the greatest opportunity to earn income working as a Loan Signing Agent, and after four years in this profession I have gotten used to many things - last minute signings, e-docs (loan docs that are electronically transmitted so that you can print them), keeping a smile on your face when in front of a difficult borrower, etc. But one thing that I still do not like are fax backs!

This is when the company that has contracted you requires you to fax back a portion of the loan documents after the signing for their review. I know it is a necessary evil in some instances but when I have to fax back 20 pages and more I am a little irritated.

I mean what are they doing with all this extra paper?! You are overnighting the documents back to them so what is the big deal.

I could understand if they were asking for just the notarized documents to review so they can catch any errors early but I just faxed over 50 pages for a Countrywide loan and only three of the pages were notarized! Faxing that many pages took more than 30 minutes.

Thankfully, this does not happen all of the time or I would be pulling my hair out.

Too Busy to Think Straight!

Yesterday was one of "those" days... It started at 6:30 a.m. and did not end until 10 p.m. In total, I completed three loan signings, one non-loan notarization and spent 3 1/2 hours at the Tai Pei Consulate. Let's just say I'm pooped!

I traveled from Long Beach to San Pedro back to Long Beach to Los Angeles to Carson back to Long Beach to Cerritos back to Long Beach and then home. At the end of the day my odometer reading had increased by 118 miles!

I started the day knowing it was going to be busy but I just had not imagined my trip to Los Angeles would take so long. I have taken documents to be apostilled by the State of CA but I have never had to make a trip to a consulate office before so I was green to the process and the wait!

Even though I'm incredibly tired I would do it all over again. You can't beat the variety of this business.

If you are a notary looking to get loan and non-loan notary work then you must have a website. People are using the web more and more to find professionals to do business with so why not make it easy for them to find you!

I have personally found that developing a website and learning how to optimize it for the web was one of the best things I could have done for my business. I frequently get calls from clients that found me on the web. This easily adds an extra $500 a month to my income.

If you are apprehensive about where to start then I would suggest listing your profile in as places on the web that you can. Two of my previous blogs list directories that enable you list your profile for free. Here is a link to Vol. 1 & Vol. 2 of "Increase Your Web Presence For Free."

You can also do a Google search for "free directories" and you will never run out of places to list your profile.

If you decide to create a website yourself a good place to start is Freewebs.com. They have hundreds of templates to choose from, which are relatively easy to use. If you can get around Microsoft Word then you can make the most of Freewebs.

Get out there and start increasing your web presence!

Successful Notary Tip #2 - Network, Network, Network

One way to increase your chances of success as a notary is to network with other notaries. An easy way to do this is to read and participate on the many popular notary boards, such as Notary Rotary, Go Mobile Notary, and Mobile Notary Network (view MyNotarySource for a comprehensive list). There you will find new and experienced notaries that you can learn from, get your questions answered and exchange marketing ideas with.

When you first log on to a board it is always good to read and get a feel for the board before you post. Once you feel comfortable you can introduce yourself to let your voice be heard. The board I recommend the most for newbies is Mobile Notary Network because the notaries are friendly and helpful.

Another way to network with other notaries is contact local notaries in your area to set up a referral system. Because I have been in contact with other Long Beach notaries, I can easily refer business to them that I am unable to accept. If am presented with an assignment that conflicts with my schedule I tell the caller that I can have one of my associates perform the notarization.

I then proceed to take down their information so the other notary can contact them (this is the best way because when you just give them another notaries' phone number they never seem to call).

Our Long Beach notary group has set up a referral system so if the notary makes $100 and up from the assignment then a 20% referral fee is paid to the referring notary.

Do not be afraid get out there and network you way to success!

Success Notary Tip #1 - Answer Your Phone

As a notary, your cell phone is your lifeline to receiving new business. If you do not answer your phone then the caller is likely to hang up and dial the next notary on the list.

Because our cell phones are so important to our notary business, I am often shocked at how many notaries do not answer their phones.

I recently had a gentlemen tell me that he was surprised to get a live person when I answered my phone. He had tried several other notaries and I was the only one that actually answered his call.

Great customer service not only sets you apart but it also guarantees repeat business. One way to deliver great customer service is make sure your phone is always in ear shot so that you can easily answer your phone.

Even with the best intentions there are times when you are going to miss a call. I have found it extremely helpful to ask in my voicemail greeting that the caller "leave a message as I am able to return most phone calls within 15 minutes."

Being a notary requires that you are available at a moments notice so be sure always keep and answer your cell phone!

Rain Is In The Forecast

I've never lived anywhere else but Southern California but I've been told that no where else does weather make the top story on the evening news like my hometown. It doesn't matter whether it's raining, about to rain, windy, hot or cold it all makes news in Southern California.

Starting early this week the coming rainstorm has been reported on by the local media. I usually think it's a much a do about nothing but in this case I can say the media attention is warranted because our weather has been downright wacky. We started out in the high 70s on Monday to only end the week in the 50s with showers.

Unfortunately, many have a right to be concerned due to the fact that the recent fires may lead to flooding in burned out areas. With that said, I hope everyone stays dry and safe while taking the time to enjoy the rain because due to the drought we don’t know when it will be back.

Who's Heard of Valdosta, GA?

Yesterday I needed to find a notary in Valdosta, GA even though I'm in California. This was very interesting since I had never heard nor been to Valdosta, GA.

This all started when a man called me a couple of weeks ago needing a will notarized for his sister who was in intensive care and it did not look like she was going to pull through. Due to the fact that a notary cannot prepare and notarize the same document I gave him a couple of referrals.

The next time I heard back from him his sister had died but he had never gotten the will. He now needed a document notarized allowing his brother, who was homeless and living in Valdosta with no I.D., to sign over the life insurance policy his sister had so they would have money to claim her body and bury her. There was nothing I could really do from CA but I agreed to help him find a notary in GA.

The first notary I contacted wanted to charge $175 because he was afraid of the liability involved due to the fact that signer did not have identification. Now I know they can only charge $2 per signature in GA but I thought that was outrageous for ONE signature! Needless to say, I moved on and found someone else that was a little more reasonable.

In the end the man said he probably did not need the notary anymore so it was a lot work for nothing but I did what I could. It's definitely never a dull day as a notary.

SEO 102 - How to Benefit from Misspelled Keywords

You have taken the time to put together a fabulous new website. It's proof read for misspellings, grammatical errors, and optimized with all the hot keys words so you are sure to be found by the search engines in no time. But have you optimized your site for misspelled words?

When designing a website we have to keep our audience in mind. Just because you won 2nd place in your 4th grade spelling bee (yes, that was me :) ) does not mean that your future client did. And we have to consider those that just accidentally clicked the wrong key.

I recently downloaded a free eBook, Search Engine Optimization Made Easy by Brad Callen. It is absolutely fabulous in my opinion. The book takes you step by step through the many tips and tricks you can use to create a perfectly optimized website.

One of the great free resources he mentions is GoodKeyWord.com. I have been looking for a software like this for months. It provides you with not only keyword suggestions for a specific term but also possible misspellings of the word. I'm absolutely loving it, and it's free!

For instance if I type in the word notary or notary public these are a few of the suggestions I'm given:

notory, notarie, nnotary, nootary, notery, notery republic, noterepublic, public notery, notorization, and notarially.

I can now creatively (I say creatively because I will use the misspellings but I still want to present myself professionally) sprinkle these words throughout my website so that I'm found in a search.

Take the software for a test drive and I think you will find it as useful as I have.

Recycling E-waste in Long Beach

The minute the latest and greatest upgrades comes out it's out with the old and in with the new, which leaves you with an outdated piece of electronic equipment you don't know what to do with. Thankfully Goodwill stores have come to the rescue.

Traditionally known as a place to recycle unwanted clothing, dishes and toys they are now the place to recycle your e-waste. If you have old TVs, computer monitors, cell phones or anything else electronic, just drop them off at your local Goodwill.

Recycling your old electronic equipment prevents them from ending up in landfills, which contributes to a cleaner environment. Another benefit is that your donation is tax deductible.

Fighting for a Litter-Free Long Beach

If you live in Long Beach then you're familiar with the hundreds of flyers, postcards, and advertisements we receive at our doors every year. Thankfully now there's Litter-Free Long Beach to the rescue.

The program strives to keep the streets of our city litter-free to ensure a safe and clean community. The Litter Abatement and Awareness Campaign represents a citywide effort with residents and local businesses to create more vibrant business corridors, safer neighborhoods and a cleaner and healthier environment.

To participate in the program you can order a free door hanger or fence sign, or even better yet, download a "Stop Advertising" letter to mail to the offending business owner along with their advertisement.

Loan Officers - Customer Service 101

Correct me if I'm wrong, but loan officers stand to make a pretty sizable commission when their loans fund so why do many deliver such poor customer service?

One simple thing that can make a difference between a client signing and not signing their loan documents is the ability to get their questions answered in a timely manner.

The Notary Signing Agent may be the only person the borrowers meet in person during the loan qualification process. We are neutral parties in the transaction; we represent neither the lender nor the loan officer. If a borrower has a question we are allowed to answer the "what" but not the "why" so that is why it's so important that borrowers are able to get their questions answered once they are at the signing table.

Below are two real life examples:

Scenario#1 - How the process should go:

I arrive at the borrower's home with loan documents in hand. The loan officer has spoken with the borrower prior to my arrival. He has answered all of the borrower's questions so that when I arrive the borrower is comfortable with signing the loan documents and I am out of there in less than an hour.

Scenario #2 - How the process should not go:

I arrive at the borrower's home with loan documents in hand. The borrowers are a very nice elderly couple attempting to refinance a home that will be purchased by their daughter in six months. The borrowers are completely unhappy because they have been going through this process for three months and this is the second time a notary has been out to their home.

The first set of documents had a higher percentage rate than they were quoted, included a prepayment penalty (which wasn't going to work since the daughter was going to be refinancing the property in her name in six months), had a mysterious $100 fee for local officials, and to top it all off their loan officer is hardly available and doesn't return phone calls.

Now this new set of loan documents again has errors, and as usual they are unable to get in contact with their loan officer. When they spoke with him last night he said he would be in the office by 9:30 a.m. but it was now 10 a.m. and he was no where to be found, so let's just say they were a little upset.

The borrowers are not willing to sign and they can't speak with their loan officer so there is nothing left for me to do. I tell them it was a pleasure meeting them and I'm out the door. I get a call about an hour later from the borrowers who have finally spoken with someone who could put them at ease so they are ready to sign. I will have to make a return trip later today.

Scenario #2 is an ordeal that could have easily been avoided. In my experience if the borrowers are able to get their questions answered and made to feel comfortable then things will go smoothly.

I think the above quote from Henry Ford aptly states what we as real estate professionals should be striving to deliver. Quality customer service is what our businesses should be based on to guarantee repeat business and referrals.

E-mail Free Fridays

I was just reading in USA TODAY that in a movement to tame in-boxes some companies are declaring e-mail-free Fridays.

Today marks the first day that about 150 engineers at Intel will kick off "Zero E-mail Fridays." While e-mail is not forbidden, everyone is encouraged to phone or meet face-to-face with the goal of more direct, free-flowing communication and better exchange of ideas.

According to the article, each day about 39.7 billion person-to-person e-mails, 17.1 billion automated alerts, and 40.5 billion pieces of spam are sent worldwide. The average worker receives 140 messages a day.

Even though e-mail is a useful, quick communication tool those who write more e-mails are likely to receive more. It's sad that people can work in the same office but never even talk to each other because they will just send an e-mail rather than walk over to the person.

I think these e-mail free Fridays sound like a good idea. Just like too much paper can clutter your mind so can too much e-mail.
