real estate systems: What does your DANCE look like... - 07/20/09 07:22 PM
I often tell a story of what my 30lb Pug - Pork does each morning. We call it his food dance - I know, bare with me... Every morning I wake up and head for the bathroom to start my day with a shower and what not. Our dog, Pork, sleeps in our bed every night - since our 1 year old daughter was born (Pork was my wife's 1st baby). Pork will nestle in under the covers and be sound asleep, snoring mind you until he hears me get up. He will wait to hear the bathroom door open and

real estate systems: Listing Tip - Create a Weekly CMA - AUTOMATED... - 07/07/09 08:02 PM
Sellers always want to know what is going on in their area and what the "competition" is doing. Taking some time to build these systems on the front end can save you countless hours on the back end with not having to return phone calls and emails and so forth. I have been setting all of our sellers up on what we call a "Weekly Market Watch." The Weekly Market Watch is an automated search set up through the MLS (stay tuned as I met with a company today that has an absolutely phenomenal tool) or Market Snapshot (through Top Producer)

real estate systems: Do you STRUGGLE with SYSTEMS??? 3 Challenges that you MAY be Facing... - 06/29/09 08:29 PM
Chances are if you are reading this blog post the answer is "Yes." What makes a system so hard to create? In my experience, there are 3 challenges in creating a system a system that works... Details- Details are the lifeblood of systems. There is a fine line between too many details and not enough. There is an old saying in sports that goes like this - "Paralysis by analysis." That can hold true with systems as well. If you have too many tasks/steps the system may seem a bit overwhelming and will fail before it even gets a chance. My

real estate systems: Wax On, Wax Off - 04/25/09 10:02 PM
I LOVED Karate Kid when I was growing up. The fight scenes were tame enough that my Mom let me watch, but cool enough to keep me interested. Mr. Miagi taught wimpy Daniel to take on a gang of jerks and in the end good triumphs over evil in the final showdown between Daniel and the guy who was willing to "sweep the leg." Really, what's not to like - well except maybe the sequels. I found it a couple of weeks ago while flipping through channels and was mesmerized by the way that Mr. Miagi taught Danielson the art

real estate systems: Preparing Yourself and Your Business for Growth - 04/15/09 07:14 PM
I'm reading Michael Gerber's The E Myth Revisited for the second or third time and I love how each time I read it, something new jumps out at me. The author spends time talking about the reasons why over 400,000 small business fail annually in America. For many it is during the stage where businesses are experiencing great growth, but are unable to meet up with increasing demands. Most owners try to do it all, and seemed shocked and surprised that they cannot keep up with juggling all the balls. Gerber argues that growth should be expected and each owner should

real estate systems: Is there Anything Better than a Great Testimonial? - 03/14/09 08:19 PM
Everyone always loves to hear they do a great job - but getting something in writing is the icing on the cake. Not only can you read what your clients truly think, you can also share that with prospective clients as well. Prospective clients love to see what other's experiences were like before deciding to work with someone. I always start reading customer reviews now on large sites like BestBuy.com and Amazon.com. If you can ever "look under the hood" before you buy or sign up for something it always seems to be easier to make that decision. Go after those

real estate systems: What does McDonalds and Real Estate have in Common??? - 03/03/09 07:41 PM
I want to paint an image for you. Imagine Real Estate in Terms of a McDonald's. When I think of McDonald's, I think of the single handed best systematic business I have ever seen. No matter where you go, you know what to expect when you step foot in the food chain. Can Real Estate be treated the same way? I think so. You come into contacts through a variety of methods (open house, website, 1-800, sign calls, flyers, etc...). Each time a contact comes into your system (think McDonald's) you have a specific, pre-determined plan to follow up and follow

real estate systems: Who Needs a System Anyways??? - 01/29/09 09:06 PM
I think everyone and every business needs a system...Systems will help make business predictable and easy to duplicate over time. Below is a video clip of the system I have developed in real estate. It is called "The Real Estate Flow Matrix" and can be used to describe each phase of the transaction from prospect to close. Consistency is the key to wealth in Real Estate. The more models and systems you use in your business the more consistent you will be with your actions. If you would like to learn more about the systems and models used in The Automated

real estate systems: Write Emails that Get Opened... - 01/24/09 01:06 PM
Prospecting for and following up are the most important things to do in Real Estate. So why does it usually fall on the way side? Simple, Agents get busy with being busy and fail to make it their number one priority. What if you could automatically prospect for leads using email follow up? Simple, your business will GROW! Automated follow up is nothing new in the business world - but automated emails that have a higher response rate is. Writing an email that looks like you are actually writing it can be a little tricky but will work very effectively. Check

Adding a listing into to Top Producer or any contact management system (CMS) for that matter is a way to leverage the technology to do what you are supposed to do with every home for sale. Once you have created or have created for you (The Automated Agent), systems then allow you much more leverage with technology to handle more and more...My goal is to create systems so easy-even a Cave Man could do it... If you do not have the time or energy to create bullet proof systems and models I encourage you take a look at what The Automated

real estate systems: How Many Leads can you Handle? - 01/21/09 06:05 AM
Have you ever felt like you have too many leads? Is the pipeline about to burst? Lets face it, there is only so many people you can keep track of in your head and on sticky pads before someone gets dropped. Truly successful agents figure out how to handle a ton of leads without any falling through the cracks. One of the best things I have ever done was to create follow up action plans in Top Producer (or could be any other CMS) for that matter. An action plan is just a simple reminder to touch base with that person

real estate systems: What is in YOUR 20%?? - 01/19/09 07:23 PM
Have you ever taken the time to figure out what your 20% is? Chances are, that you have been so busy you haven't taken the time to determine what you should be doing to grow your business. Real Estate is a never ending waterfall of busy work if you let it be. Between scheduling showings and reading activerain blogs who has time to think? The 80/20 principal is this according to Wikipedia: The Pareto principle (also known as the 80-20 rule,[1] the law of the vital few and the principle of factor sparsity) states that, for many events, roughly 80%

real estate systems: Big Dreams/Goals in 2009 - Why You will Succeed...or Fail.... - 01/17/09 07:55 AM
2009 has just started and you are either well on pace to have an awesome 2009 or you are doing the same old song and dance. Have you made any changes yet in 2009? This was a great quote I heard from some where but cannot remember who it was from (any help?). "The only difference between now and a year from now is; the people you met and the books you read." One thing is certain in Real Estate - If you do the same things consistent over time you can expect the same results. Successful or not. So what

real estate systems: Stuck on Top Producer 8i... - 01/14/09 05:40 PM
Learn to use it to your advantage. Having a Contact Management System (CMS) is essential if you plan on doing any type of large volume business. I have been using Top Producer for about 3 years and have become very familiar with the inner workings of how the system works. In doing so I have been able to use what I like and ignore the rest. There are 5 main functions I use Top Producer for and it works great: Contact Management - Having built mutliple follow up plans within Top Producer I have been able to handle many contacts at once

real estate systems: How many Listings can YOU Handle??? - 01/13/09 06:18 PM
How many listings can you manage without having a mental breakdown? How many before your service starts to slip and get sloppy? How many before lead generation starts to take a nose dive? Systems can solve everything! The upfront time it takes to create a system, build it and figure out how to implement it can be timely. The time you save in the future can be enormous! Taking a listing is important but making sure you do everything that you need to do as well as everything possible to get it sold is equally important. When you create a sound

real estate systems: Do you have a System... - 01/11/09 08:54 AM
Are you constantly reinventing the wheel with each transaction? Do you fly by the seat of your pants with every deal? There is good news and there is bad news. The bad news is if you keep going at this pace, you will never achieve a high level of success without having huge trade offs (time, stress, burnout). The good news, if you implement some simple systems that make your business predictable and manageable you to can have a life as well as a business. The first time I read The E-Myth, by Michael Gerber, a light bulb went off in
