Negative Edge Water Feature at the Dallas Arboretum

You have the wonderful opportunity to work with another agent on the selling of your listing. Simple courtesies and added little touches can make you shine as a professional and be the Realtor that agents enjoy and look forward to working with on a transaction.  Making the experience seamless and kept smoothly flowing is the goal.

No matter whom you represent the single most outstanding element of communication can make or break the perception of the experience.  Keep each other well informed during the process and the communication starts on day one from the offer submission.  Some tips for listing agents to help build the relationship:

•  Thank the buyer's agent for showing the property and opportunity to work with him/her.  No matter if the offer is just out of the ball park low be gracious and non judgmental.  Remember you are the neutral party than is suppose to remove emotion and get into business.

•  Let the buyer's agent know when you have made contact with the sellers and when you will be meeting with your clients to present the offer.  If your clients are out of town, explain to the agent the circumstances and in what manner they will be able to respond. 

•  After you discuss the contract offer either give your response to the agent or inform him the clients need to consider, investigate something, etc. and when a response is expected

•  Best method to return a counter offer or contract if not hand delivered is via email.  With an email you can check the quality of the scan and account that all pages are present.  It is hit and misses with fax machines.  If you email or fax be sure to follow up with a phone call message that the information was sent.  You can never trust that things came through properly so validate it will save a lot of misunderstanding and grief.

•  All deadline on the contract need to be observed - providing HOA resale certificates, providing survey, etc.

•  After you are under contract give your sellers an information sheet to fill out regarding the utility providers, contact numbers, any vendors they use i.e. lawn service, pool company, etc.  Have them state when trash pick up day is for the home.  Return the filled out information to the agent along with any instructions on how the buyers can sign up on-line for water, trash, etc, as well as websites for driver's license address change, post office delivery change notification. 

•  Give your sellers a reminder list of To Do Items to include dedicating a drawer/location for any home manuals, keys, garage openers, etc. Remind your sellers to arrange for a special trash pick up prior to the time the buyers will get possession of the home and to try to have the trash receptacles clean of debris.  Remind them that the yard needs to look groomed and interior to sparkle. 

•  Receipts for any repairs need to be sent to the agent.  Email is the best source for sending and documentation.

•  Inform the buyer's agent when the seller has made termination of utility to take place.

•  Make sure that you have discussed arrangements of how the buyer will receive the key to the home.

•  After the property closes, write a handwritten thank you note of appreciation to agent.  

Key points to remember.  Always be pleasant, professional in responses and refrain from emotional dialog. Most experiences are judged on how great the communication so make this a point to email, phone call and keep all informed.  Your goal, a seamless and great experience and to be the agent selling agents love to bring their clients to your listings.

Great idea.  I've had trouble lately just getting disclosures.  Listing agents can surely help move contracts along faster.  When you call for two-three days with no response, you must question their willingness to pay the co-op.

Connie, great post.  One thing I like to do with my listings when working with a seller agent is not only give them the disconnect dates but also a list of the utility companies and their numbers in case their client is not from the area.  They seem to really appreciate this help.

I LOVE to hear another agent tell me that they'll sell my listings anytime.  I try and go "above and beyond" for them.

Afterall, it makes us more valuable as top listing agents!  When there are so many listings out there, agents want to show listings from agents who are helpful...

And on the other side as a buyer's agent, when the time comes that there are mulitple offers, my contract will stand out due to past relationships.

Toula - when another agent says to their client - you will love the listing agent because they are so professional and will be experienced to overcome things if challenges arise (repair list!) and is just great to work with, now that is huge of getting the right step going.  I think we do think alike ... be the best you can be so others will have the best experience.

And by just being pleasant and professional, it will substantially increase the confidence of buyers agents to work with you again. I would add a sticky part of the transaction for a Listing Realtor to be a hero. Encourage your seller to rent a Pod. Closing and possession can be our biggest nightmare especially when you have 3 or more houses closing in a train. In fact communicating to above and below your transaction depending on where you sit can make you a hero. Having furniture in a Pod(s), can make it easier for the train to move in seemlessly when movers are late, or closings have a problem like funding or earlier long closings delaying your people from moving on to the next.

I specialize in listing, and rely heavily on buyer's agents. I try to teach each selling agent as if they're a part of a team, not an adversary. But it's funny how many agents--selling agents--don't return that respect.

 

Today I had 2 closings with 2 excellent selling agents. Both were kind and courteous throughout the transaction. I sent both of them thank you cards afterwards.

Thanks for great ideas and reminders, Connie!  This business is hard, but agents who treat each other with kindness and respect can make it all so much easier for everyone.  And, we have the opportunity to show our clients that realtors really do earn our commission checks.  If I do come up against a testy agent, I always try to take the high road and don't have anything to be embarrassed about later.

Thanks for the great post! It reminded me of my very first sale. The listing agent was WONDERFUL!! And it turned out that he was one of the top producers in his company, and he learned from HIS mother who was also a TP in her day. The greatest compliment in the world? On key-transfer day, when I thanked him for his patience with me since it was my first sale he said, "I never would have known this was your first! You did great!!" I was beaming all day, and still hug him when I see him at CE classes and seminars.

I would not hesitate to sell one of his listings, and from talking with other agents, he has a huge fan base! It really isn't hard to do, is it? Back to that Golden Rule!

Thank You for your post!  As a Buyer agent/Investor it's refreshing to hear comments about working together to consumate a win-win transaction.  Most of the time, however, I find myself in constant conflict with the listing agent.  Especially when I start asking probing questions about the Seller and make mention that I will be presenting my buyer clients offer in person.  That seems to be the red flag that always conjures up a negative response.  We all need to work together and understand each others Fuduciary responsibilty to their client.  Thanks again for your Post!!!!

HI CONNIE!  Having been on the other end of "wondering" where the agent is at with things this information is so valuable.   I try to do extra to keep cooperating agents updated with offers, counters, requests, etc.  I also strongly believe in handwritten thank you notes and when I get the same amount of effort from the other agent, I include a gift card for chocolates for them!  Great stuff and great feature!  -- Gabrielle

I also agree with you about the communication between agents and courtesy.  We are all in the same situation right now and it is a rough time.  Now more than ever we really need to communicate, communicate, communicate and with the utmost courtesy.  I love your list and plan to use it in all of my files and share with my fellow workers.  Thank you for the insight.
