I LOVE reading the posts on Active Rain regarding building teams, hiring that first assistant, and exploring the options that will build your business. Those are agents on on the cusp of huge success and are looking for ways to make the jump from going it all alone to using leverage to increase your potential.

As a Keller Williams assistant, I have written about the Three L's (Leads, Listings and Leverage) in a previous post, but because there are many new members seeking out options to grow, ...well...I just can't help myself.  I'm blogging about something that I believe in.  I've witnessed first hand here on Active Rain the success stories of using a real estate virtual assistant.  (For those who still haven't heard of the concept of using a real estate "VA", and what type of services we offer, you may read more here)

In the book, The Millionaire Real Estate Agent, Gary Keller recommends utilizing Administrative/Marketing support before hiring other licensed agents for your team. Why? The foundation of your business model needs to be firm and strong, your systems for lead generation, database management and marketing need to be implemented and working consistently.

So, Lets' face it. At some point you will witness the first catch 22 of real estate: "I really need to grow my business, but can't really afford an assistant right now, but if I don't hire an assistant I will be stuck BEHIND THIS COMPUTER my whole life!" 

It is a dilemma to be sure. Especially now. 4 years ago, not many of you were spending time blogging, managing 2-10 websites, learning SEO...I know why...you were too busy! Real estate was rocking, listings were turning fast, and there was no end in sight. But now, things are a bit different. The market has changed. You may be busier than ever, but in another way. There are new technologies to learn, sellers are antsy to get their homes sold, they want to know how that will happen. What are YOU doing to make it happen..? Prioritizing your time management on administrative tasks is essential. The hours spent on those tasks are "non income-producing" hours. Hiring administrative and marketing support to handle those many hours is the first step in the path to growing your business. Cost effectiveness is second.

In choosing to hire an assistant you are also taking on the challenge of hiring, training and delegating. If you have reached the point that it is now time to consider an assistant, you should know the advantages an virtual assistant may offer over an in-office employee. Many advantages are common knowledge, but many dynamics of a real estate VA are still largely unknown.


   #1~ Real Estate Virtual Assistants are independent contractors who are only paid for time spent on tasks. VAs do not charge you for idle time, bathrooms breaks, lunch hours, sick days or personal time off. A 40 hour work week for a traditional employee can turn into a 15-20 hour a week with a VA. If your time is worth $100 an hour, you lose $400 each week doing administrative tasks.

   #2~ REVAs are already trained in most of the most up to date software, technology and real estate marketing. We know what a blog is, we know about listing coordination, real estate marketing, branding, Internet marketing, online transaction management, CMA's,...in a word, we know about real estate. Not only that, but our continued training is on our dime...not yours.

  #3~ A REVA is not in the business to become your competition. We will not take your database and run off with it. We will not share your wonderful new marketing secret. In short...we are business owners, who know about running a business, and want to see you succeed. Why?...it's in my business model.

  #4~ Want to add 3 hours to your day? Hire a VA in another time zone. We can still be working, while your gearing up for tomorrow...or writing that Gold Star blog for Active Rain;)

  #5~ A REVA can weather market shifts. Since we are not dependant on you and you alone, if your business needs change or slow down, we are OK with that.

  #6~ Need to start slow? Not sure where to begin or how much to delegate right now? A VA can be your best partner in deciding what to delegate and when, to keep you on track with your goals.

  #7~ REVAs are in business to support clients that are interested in a collaborative relationship, a partner.

  #8~ Virtual Assistance is a supportive industry. We share resources, knowledge, experience and are a "Real Estate Geek Squad". If we don't know an  answer to something, we know where to go to find it.

Once that support system is in place you are ready to move onto the next level, whatever that may be. But finding that special assistant is one task a real estate virtual assistant is up for. This is a great book from what i hear.  Ithought this post would be about agents doing million dollar listings, but the information is great....to create a millionaire agent.

Great timing with this post! I was just talking with Rick and Teri last Friday about the benefits of a VA to streamline and automate some of our systems, including online presence.

I think one of the biggest benefits is efficiency. Without all of the potential distractions of a regular real estate office, VAs can probably accomplish twice as much in half the time. And the tech knowledge is a big plus!

Hi John~ It is very true that often times being at the office makes it hard to take every task for a listing from point A-Z to be done. We can concentrate that time and punch things out fairly quickly.

Laura... again, I think VA's are more for the realtor. I know that if you new more about the lending industry, that you might be able to help. I know that there are some VA's that even help lenders. But overall, you did a great job in writing this. Some great detail, explanations, and examples....

Laura, I have an assistant who is a huge help.   It seems I could use a VA to take off some of the workload of admin tasks.  Just not quite sure how that would work.  Any suggestions?

I love your concept.  Why should I be processing anything when my time is better utilized communicating with clients or working on presentations.  You're right on target with the resourcing principal of highest and best use.

Carol~ An assistant can be a huge help and a VA can always help with overload too. If you can prioritize  the most time consuming tasks that can be delegated, a VA can even work closely with your team to get things crossed off your list. The hardest part is letting go:)

Jeff, the MortgageBroker,

 From one mortgage broker to the next I can think of a million reasons to hire VA's. I spent so much time in paperwork and especially in getting papers ready for closings that I could have been out getting new clients or at least networking. Instead I was shuffling papers, getting rates, etc. When I first started I didn't have the money to pay someone with benefits, vacation time, etc. With a VA you don't have to worry about those things. Again I think a VA would help my business grow.

Thanks for the info Laura.  I am considering stating a team and was looking at brings on a licensed buyers agent first.  But now I see that a REVA is the more economical way to go. 

I checked out your site and found the information helpful.  I will definately keep your company in mind when it comes time to make that next move.

No.8 First -- As a fellow VA with Laura, I can tell you we belong to a network that includes multiple groups of highly skilled people.  We have "People" and without compromising your confidentiality, we can get answers or ideas or extra service/skills to make you look like a hero.

I enjoy working in timezones EAST of a client.  You bet, I am up and have done 1/2 a day's work while the client gets some beauty sleep.  And, I'm usually checking pretty late at night.  Skipping across the timezones can get you extra hours in your day without taking them out of your life.

And that's no LYchee!

I love my VA and have utilized her for over a year!  I love the concept of a VA...you can't beat the advantages...but I must warn people that there are VAs out there who are unscrupulous (sp?).  I went through 3 before I found the one I have.  One stole my cc info (my fault, I trusted her too soon!) and used it to buy a new computer, printer, etc online ($5,000 before AE called me).  Fortunately I was able to reverse the charges.  Another worked for me for a couple of months and then all of a sudden in the middle of an important project stopped contact with me.  No return e-mails, no return phone calls, no nothing.  Just took my money and ran.  The 3rd had a small child that was a 'problem child' (her words) and it took her away from being available when needed.  I understand the small children part...that's why VAs do what they are doing...to earn some extra money and stay home with the kids.  It just did not work for me.

Mary, I am sorry to hear of your woes with your first 3 VA's. I highly recommend that everyone considering hiring a VA do their due diligence (as Laura stated). One thing that is a must is INTERVIEW!! Get references and INTERVIEW! You don't have to know exactly what you want from a REVA but at least have some general idea. The details can be ironed out later. As a REMAX VA, I have found that each agents needs differ. Some want a REVA to handle everything and some want to keep both hands on the pulse. Neither way is wrong but know your basic needs and where you can benefit the most. One of the most rewarding things about my career is that I can watch agents become more successful that they ever imagined and I benefit as well. It is most definitely a win-win situation!
