You Should and Shouldn't Create 2 Contact Folders - Outlook

I received the following Outlook question from an agent in Seattle...

How can I create two Contact folders in Outlook?

Before you create another folder consider the following:

* Why perhaps you shouldn't create another folder:

  1. Instead of a separate contact folder could this be a new Category?
  2. When syncing most programs sync with the primary contact folder.  Yes there are add-ins you can get to sync sub folders.
  3. Now you have two contact folders to maintain
  4. In some instances you will need to move a contact from one folder to another

* Why perhaps you should create another folder:

  1. If you do not want to sync a large list of names to your cell phone (i.e. Farm list)
  2. It's another way to keep your database segregated

That's another quick Outlook Tip from Jeff.

I miss Outlook 2000. I really liked it better =(  And I'm a total geek. I love new technology. But with Outlook, 2000 was my favorite.

Jeff - That' some good advice. I never thought to just add a category.

Lisa...yeah Outlook 2000 was pretty good...and I had a hard time letting go of Outlook 2003.  Now that I've used Outlook 2007 though...I like it.

What version do you currently use?

Hey...we have a Timeshare there in Daytona...The Grand Seas.  Another 10 months or so and that is paid off.  It's been one of the best real estate transactions we've ever done.  We've never been back to Daytona but we've used it to go to Arizona twice, Palm Springs, San Diego and Hawaii twice - which is where we now live.

Let me know if I can help you better "embrace" a newer version of Outlook with some targeted training to help you reap the benefits; saving time and less frustration.

Robert...most of the time a new category will help us accomplish what we want more easily than adding another contact folder - but it just depends on how you want to use the information.

Thank you for your comment.
