Move-In Move-Out form

As a new property manager, I am curious about what procedure your firm uses when moving in a tenant. Does anyone in CA use the CAR winforms Move-In Move-out Inspection form?

Regardless of the specific form you use, do you a) complete it with your tenant as you walk thru together at move in, then have your tenant sign it? b) you, as manager complete it then have tenant sign, c) tenant completes it on their own? Or do you not use a checklist type of form and just have your tenant supply a list of stuff (damaged, stained, scatched this or that....) within like 3 days of moving in?

First - the SAME form should not be have the original of the move-in and then you COPY the original for the have the residents' live signature on both forms and the original of the move-in never leaves your office to get lost or destroyed.

Second - make sure your residents KNOW the procedure.  The move-out inspection is NOT for them to determine how much $$$ they will get back from their deposit. 

If you do your pre-move-out AND have move out procedures, guidelines, cleaning checklist, etc. you should have no surprises AND the move-out walkthrough should go smoothly!!

This is a copy of my move-out letter format!!  I mail it to residents a month before their lease end date!

I am enclosing a copy of our Check-Out Cleaning Checklist which you should use in performing the cleaning on the property. It is only a guideline and specific cleaning may be necessary for your particular home. 

We recommend that you use Busy Brooms(434-xxx-yyyy) for property cleaning and Magic Carpet Service (434-xxx-yyyy) for carpet cleaning. Both of these firms provide excellent services at a reasonable price. If you clean the carpet yourself, you may be responsible for the cost of a professional cleaning if it is performed unsatisfactorily.

You may be present at the time we perform the check out inspection of the property; however, you must so advise us of your desire to be present by e-mail and we will notify you by e-mail of the date and time range * either 10AM-12Noon or 2PM-4PM we have scheduled the inspection. If you wish to be present at our check out inspection, the utilities should remain on for an additional 3 days in order to accommodate your request. We will schedule the property inspection ONLY AFTER we receive the property keys. At the check out inspection you will not be told of any damages or assessments to your security deposit nor will you be allowed to correct any deficiencies. Under Virginia law, we have 45 days to itemize and return your security deposit as we may determine additional charges and/or damages during this period.

Please return all property keys to our office before NOON on the last day of your lease/notice AND provide a self-addressed #10/business size envelope with your forwarding address on it so that we may return your deposit as quickly as possible.

We fill our form out and have the tenant sign it in our office.  Then they get 7 days to complete thier own checklist of items that they find.  That gives them time to make any amendments.
