How to Cut Back on Paper Usage at the Office

Looking for ways to cut back on paper usage? Following are a few ideas:

  • Remember, the greenest paper is no paper at all. 'Digitize' your office by being aware of what is being printed and look for ways to cut back. Keep files on your computer instead of having paper copies but be sure to have a back up! Best Ways to Backup

  • Print on both sides of paper when appropriate. Have extra copies of paper you don't need? Do not throw them away, use them as notebook paper or print on other side.

  • Use an internet fax program (examples: Efax.com, Myfax.com, Fax2Mail). These services allow you to receive and send faxes via e-mail. This way, you choose what is being printed.

  • Download GreenPrint, a program that analyzes the content of each print job and allows you to choose what to print: add and remove pages, remove images, ads, and text. The program even creates PDFs and tracks how many pages, trees, and money you have saved!

  • Ask that your office post all memos in one central location instead of distributing copies to every employee. Or skip the printing all together and post memos online or send via e-mail.

Hi Paige,

We're also trying to use both sides, yet not in our printer. We've had jamming problems, but we use them other ways when we can. Mongo fax is in everyday use by us all and we love it. Among other things we've tried to cut down on things as much as possible without sitting in the dark.

I really like the idea of Greenprint, I'll have to check that out. I already use EFAx and can't speak highly enough about it! All of my faxes go directly to my email as .pdf attachments. I can then email them to other people without having to print them. And of course the convenience is great, don't have to wait for the office staff to call me about a received fax or have a second phone line in my house.

Another tip is one that I've been doing now for a few years. I have two young boys who love to draw and make paper airplanes. So I keep a drawer full of paper I don't need anymore that they can use instead of buying blank paper for them all of the time. Then of course when they are done with them I put them in the recycling bin.
