 for your bi weekly tips and tools for Succe$$!

Series one was a basic guideline to using the Presentations in Top Producer. I hope you have been able to open your TP7i or 8i and experiment with the many options you will have for buyer and seller presentations...

Today I want to jump to a very secret tool in your top producer system. I call this a secret tool because when I have been all over the US and if training on TP I can assure you that only 1 of 100 people that have TP will know about this "secret tool"! The amazing thing to me is that this tool is one of the BEST features you will have for SERVICE to your buyers or sellers!

If you answer yes to the following you already know about this tool and you can skip the rest of this blog and get back to work! If you answer NO to the following and you have TP - you are in for an exciting surprise!

Did you know that every buyer or seller that is in your TP system has a private website for follow up?

Did you know that you can assign a private user name and password for your buyer or seller to log in anytime to know what you are doing to SERVICE them?

Did you know that you do not have to have a personal TP website to make this feature work, however, if you do have a personal site with TP it can link direct to it for a CLIENT UPDATE button?

Did you know that any SERVICE you do on a listing or closing that you have set up in TP will automatically feed into this "secret" tool?

Now, regardless if you said yes or no to the above I have no doubt you will say YES to this question...

DO YOU WANT TO OFFER EXCELLENT SERVICE?

I know that my answer is yes and that is why I have been a TP user since 1994. This tool was one that I learned early and I love sharing it with others. As I have said, there are numerous tools within TP that I bet you have no idea how to use...That is why I write this blog! I hope this helps you!

So, now - HOW DO YOU ACCESS THIS TOOL?

First you have to add a contact into your system and then set up a listing or closing for the client...For this training I will assume it is a seller and you have entered a listing. Once you have set the listing up and you have a list of activities assigned to the listing (either a list of things you have personally set up or the generalized step by step process that TP gives you) take a few items and mark them as "DONE" -

Hint - When you mark an item as DONE it is best to go ahead and add details NOW not later...Reports will look better when you enhance the activity with personal comments.

 

So where do you find the "secret" tool? Without the icon to show you what to look for I have taken a picture of a new listing I have set up last week and will allow this listing to serve as a training guide for you! This is a new community "Partners Place Elon" and you will be able to sign in and view the follow up SERVICE just like the seller! As you look at this picture please focus on the yellow arrow and look for the little white box beside your clients name...The little box will open "manage customer web page"!

 

Now once you open the little white button you will get this page...

 

 

 Oh - how could I forget! Be sure to hit the button Add Web Page!!!

 

Now, if you wish to see what this looks like you can go to our website www.wardsmall.com and you will see CLIENT UPDATE. Once you open that it will ask for a user name and a password. Please feel free to check in often to see what I do for marketing this neighborhood.

A few other reasons I have loved this tool:

As soon as you get a listing lead you can set up a listing and a back end site for your new "prospect" - this will amaze them and remove the follow up fear!

It allows your listing/buyer/closing folder to be virtual and paperless ie: scan to email the listing and all docs you would need in a folder and with TP all "HISTORY" is stored with the email! Pull it up when you need it from wherever you are (Beach, Vegas...home): BE GREEN!

Sellers have loved it when I use it! I suggest you educate the client that you update it weekly or bi-weekly. Book one hour to sit and do this on line follow up as well as the "touch base" call!

I almost starting using Top Producer.  But my concern was what happens if your internet connection goes down?  Are you just out of business?

Hey Ralph: Your answer is...YES...However, for that reason alone I use to have the TP for moblie application but found I liked using it on the laptop...I have not found that I was ever really out of business by lack of internet connection except for once on a cruise! That was a nice break!

Liz:  I wish I could have the time to learn all these new features in TP . .TP is great when you can utilize it 100% of all it's features. . but you need to hire a person full time  to babysit your TP everyday.

HI Elizabeth - Thanks for your great Top Producer tips.  I am bookmarking them to make sure I get them all into practice.  I confess that although I have had TP8i for a couple of years, I am not using it to its full potential.  I simply must find time to use it more efficiently.

Thanks for the great advice!  I use these websites for my clients, but I wish there was a report showing how often they log in and visit.  You mention another reason you love this tool is that you scan all your closing docs to email. I don't understand how the client can view the contents of an email in their service report or website. Can you elaborate on that? I often cut and paste info into the details when I'm marking a service item as "Done." However, even that can be a challenge as the box only allows text and is limited to a few more than 500 characters.

I'd also be curious to hear your thoughts on how to manage some sort of showing feedback routine in 8i.  Here's what I do now, but it's a real kluge, and the whole process worked much better in 7i:  I create a showing feedback template specific for each listing.  When I schedule a showing, I then schedule a "Showing Feedback" email to be sent to the showing agent the day after the showing.   When I receive the reply I cut and paste the response/comments into the details section of a completed activity so that my client can see the feedback when they log in.  It has great impact when they see something repeated by different showing agents.  For some reason they don't catch on as quickly when I share the same negative feedback with them repeatedly over the phone or in person!
