I'm interested in knowing how you manage your contacts?  I find that I have 4 databases and that is really taking too much time.  This how I am keeping contacts so far:

1.  Two online email account addressbook because I don't get a lot of space.

2.  Online resource that has campaigns built in.

3.  Broker's online system.

4.  My own website's prospecting conduit.

5.  Outlook -- sort of outdated now

Any thoughts, suggestions, or ideas would be greatly appreciated.

Hi Susan,

Welcome to Active Rain.  Judging by the number of posts you have made you really hit the ground running.  In answer to your question about contact management it truly comes down to preference but you are quite right in thinking that you need to consolidate your information.

Having your leads in multiple systems will ultimately make it difficult if not impossible to keep track of them.  Especially when you become the head of your own team and are relying on your team members to service your leads as well. 

I use Top Producer 7i.  It is the internet based version of the system.  The company that I am affiliated with, Keller Williams has got a version of Top Producer that was customized for us, but the system as it is for everyone is well worth the investment of time and money.  Not only does it come bundled with ready to use and ready to customize content for hard copy or e-mailings, it also integrates with outlook and can be used to funnel your emails through.

The email feature is really worth the price of admission.  Once you link your emails to your Top Producer account when you receive an email it automatically gets attached to the appropriate contact that generated it. So if Jane Doe is in your contacts and she emails you or responds to what you send her, the emails, in their entirety get attached to her "file".  So that weeks, months or even years later they are still there should you need to access them. 

The notes feature also allows you to keep very detailed records of every contact you make with each lead.  You can also categorize your leads to make mass emails simple, and they don't go out looking like mass emails, they look like you sat there and typed each one with your own hands.  You can also do a very effective drip campaign using either materials you create or import or those that come pre installed. 

You can also pay extra and have your entire data base available in either your treo or your palm, including the notes.  Oh, and since the whoe shebang is internet based, if you are not at home in front of your personal computer, as long as you can get internet access and a machine to type on, you can have your leads, all of them right where you are.  So, whether you are on vacation to London or Lompoc, when you need your information it's there.

I'm using my broker's online system, LeadRouter. It prompts me when it's time to make a contact with a prospect, which is helpful. It basically sends me a reminder email saying you need to contact this person.

Susan: As I mentioned in a previous post I am using a marketing person. I feel I have different groups of people to market to and I need various types of e-mails to send to them. I don't have time to do all that work.

it depends if you want an online solution or off line or desktop solution

Desktop -- Agent Office -- you can google that and find it

Online -- Top Producer is for the power user, TheWiseAgent is less but does for the most part what top producer does and there are others that incorporate other features like virtual flyers

E-Agents.com has a single property domain tool but they also have a CRM tied to it for email campaign tools
