With the real estate industry evolving at the rate that it is, many agents have adapted to include the ability to be as mobile as possible.  Gone are the days of meeting at the office or heading back to the office in order to get anything done. In fact, a good number of agents don’t even have an office. Their office has 4 doors, not just one…and it sports 4 wheels and bucket seats.

There is a mindset that needs to be adapted in order to effectively go mobile. You have to be really self-motivated. And, you have to realize that when you leave your house, you are working. You must also be able to be in contact at all times. And, you must be able to access anything you need at any given point in time. With that in mind, there are several things that one must possess in order to master the art of mobility:

1.    A good smart-phone – Don’t be cheap! Get a good smart phone…an Iphone or a Blackberry. And make sure you have a good data plan (I prefer the unlimited versions). More important than that, make sure you take the time to learn how to use it and put the tools available to you to your best advantage! There is no point in having it if you aren’t going to take the time to learn to use it.


2.    A good laptop – This pretty much goes without saying, but…when you get a computer, get something that seems to be WAY more than what you will actually need. That way, you won’t have to get a new one in a year because the cheap P.O.S. you bought isn’t big or fast enough. Get the super-gigantic hard drive. Spend the extra money for a hefty RAM upgrade. Also, invest in an external hard drive for back-up. Laptops are not that rugged…and are prone to injury.  They are also prone to be lifted by unscrupulous individuals, if given the chance. Losing all your data will suck far more than losing the laptop.


3.    A flip camera (or digital video camera) – These will automatically make themselves a useful tool the first time you have to preview a home or make an online tour of a new listing. I would recommend you get both a video camera…and a still frame digital camera. Both have distinct advantages depending on the need.

4.    Docusign – Or, some form of reliable electronic document signing and processing software. (If you don’t know what Docusign is, hit up @Docusign on twitter. Tell her @TheRealClint sent you.) This is an absolute requirement. This way, you can sign offers, amendments, contracts, etc, right on the computer and then email them wherever needed. This way, you don’t have to worry about printing documents, having to get the required signatures, making copies, etc. From a time management standpoint, this ability to eliminate these types of useless delays is a major advantage.


5.    GPS – Clients can tend to be a bit uppity when you miss appointments because you got lost on the way there. And, nothing is more embarrassing then having them sitting in your car and not knowing how to get to the next home they want to view.  Besides, you’re not a taxi. This isn’t a pleasure cruise. Get them where they want to be and do so in the quickest, safest way possible. Again, avoiding useless delays will be rewarded.


6.    MiFi or USB mobile broadband card – Again, don’t be a cheapskate here…get the mifi if it is available in your area. You will not be sad that you did. If not, make sure you have some form of broadband air card. You will need access to the internet on a screen larger than 2in X 3in at some point in your mobile career…and having one of these will make it much easier than trying to pirate wifi signals in hotel parking lots or having to find a Starbuck’s.


7.    A portable printer – Yes, a printer. That way, you can immediately print copies of documents and provide them to all parties in an extremely timely and efficient manner. Your clients will appreciate the added touch.

Remember, this isn’t just about mobility. This is about professionalism as well. Your reputation is on the line here. And, since you aren’t in an office, you had better be as good as possible because there isn’t any coffee pot to direct them to or free cookies to have them munch on while you get your proverbial "poop in a group". Don’t attempt to go totally mobile unless you plan on NOT falling victim to inadequate equipment and preventable delays. Both of which will cost you in the long run. If you are going to be mobile, you have to be able to handle any situation at that moment (as much as possible, anyway). And, these little technological marvels will make your life MUCH easier along the way.

Great job Clint!  I also have one of those thingies you plug into your car lighter so you can plug in a regular chord.  I wrote a prequal letter in my car in a parking lot the other day and had it to the agent in 5 minutes.  Awesome technologie and portability.

RE is local, and every place is different. We work in a very small town, where if we are more than 10 minutes from our office we probably won't get cell service there anyway (because we're out in the sticks). We use the office. If I worked in Phoenix, thoug, I could see going more mobile.

Clint, thanks for the mention - it's greatly appreciated. I did not get the MiFi and I kind of regret it now. I got mobile broadband (coincidentally, right before a Tweet, Meet & Greet w/ some DocuSign subscribers) and I love it. There's something really "wow" about whipping out your computer, opening DocuSign, creating the forms from templates and emailing them to your client right then and there.

Somehow, people just like knowing that it's already done and taken care of ;) go figure.

Prest -- But surely you can apply the use of a laptop and some form of electronic document service. Neither of those require cell service. GPS would be a must "in the sticks" I would think...I know I use it for hunting up here in Montana. :-)

Regardless of the need to completely go mobile or not...there are aspects of going mobile that can enhance your customer's experience with you that you can adapt. :-)

Very nice. I love the mobility that my iPhone affords me, but even more useful has been my GPS. It messes up sometimes, but probably the most helpful feature on it is the ETA- then I know if I am running late and can make a quick call.

Clint,  It's all good and I am certainly more mobile than I was when I started out about fifteen years ago, but I still need to be able to retreat to my old fashioned desk.  I think everybody has different work styles and we need to be able to accept some of all of them.  I have accepted and presented offers in parking lots, on boats, on the soccer field, in the middle of Wal-Mart.  And I spend more time working on the phone in my car than anywhere else, but I'd be lost without my office.  That's just me.

Vickie -- Mifi...it is a personal wireless data hub that allows up to 5 individual users (standard is 5...can get more if you need it) to be on the internet anywhere at any time. Google MIFI and you will be inundated with info. ;-)

A few weeks ago I attended an inspection with a buyer. The Inspectors pulled out a laptop, digital camera and portable printer and about 10 minutes after she finished her inspection handed my buyer a printed copy of the report. Awesome!

I want to get a Dodge minivan. The second row od seats swivel around to face the third with a built-in foldaway table between them. Instant office.

I think you still need a little office time each week though, to network and stay in touch with whats going on.

Hi Clint,

What a great list!  I have one more addition - I find my eye-fi card to be indispensable!  It's a memory card that fits in my camera (I think some flips take them as well).  As soon as I walk into a wi-fi area or hot spot, my pics are immediately uploaded to my online photo service.  Vids can be as well.  No more card reader.  The pics are geo-tagged and dated automatically.  The best part was that it wasn't so much more expensive than a standard memory card.  I love this little eye-fi more than I can say.

PS- I do not work for eye fi. Maybe I should look into that! ;)

Maybe you mentioned it, but guess I like to includde my power cord that plugs into the cigaretter lighter and all cords for phone, laptop, etc. That way I never run our ot power on the road.

And of course th digital camera and Flip video camera (with chargers for them as well).

There are a few things on here that I need. I have a laptop and gps. We have a document service throught our mls called Transactiondesk. Sometimes this service is too slow in sending out completed documents. It can take a few minutes to close to an hour. Who has that amount of time to wait. Docusign is next on my list as well as a mobile broadband card. I think all of these things are needed for every agent. Why waste gas to go do something you can right there. And it can be done when you are out of town too.

In Ontario, for documents we have to use originals or faxes. At this point, e-mails are not permitted.

One of these days, we will come out of the dark ages.

I couldn't get by without my iPhone. Our board just got a new MLS system that has a mobile component and it is making our lives so much easier. My car is my office...and my pantry. I'm not completely mobile yet, though. I don't have my own laptop, but I'm surviving with my iPhone and the occasional trip to the office, or home to print something off. I'd like to save on gas, though!

We've come a long way baby..does anyone rember the days of the MLS book?

My husband is an engineer producing chips for several very well known computer companies.  If you think the products we have now are awesome ...just wait.

 

One tip, if you are thinking of making any tech purchases put it off until the Christmas season.  Most companies introduce their latest product on or before Black Wednesday. Of course on sale too.

Oh, my GPS decided to be reallly really slow the other day when I was out with buyers. I soon realized how reliant I was on it as I didn't even remember where my maps were! Do they actually break after a few years, a couple of times falling off the dashboard?

The world is my office and I adore it. I don't miss going into the office at all.

I use CTM e-contracts because the support is local and they have two backup servers, one on each coast as well as in Denver I believe. I hate to keep changing my contract service but I need to find the one that will be the winner for years.

I recenly got GPS and I don't know how I survived before that! It's the realtor's best tool these days. Not sure I agree that I need Docu-sign or an internet card. I still like to go to the office, it gives me some clout. I'm sure many realtors don't need that, but I actually enjoy the comfort of being in the office to write contracts.

Clint- This is relative to who you work with and where you live. We have agents here who ride horses and compete in equestrian events- they get all their clients through who they connect with on the riding trails, at the event and the Equestrian country club. They do seem to text but rarely are they on email, not very condusive while washing down your horse after a day of training. Our market is still about who you know not who you get. ;)

We have a home office. I hardly ever leave my office. I work my entire business on the phone from home and online through email. I don't show buyers homes and 80% of our listings- we get over the phone from absentee owners. We carry between 40 and 50 listings and usually have 12 to 16 of those under contract at any given time. When we do go to a home to list a home, they are mostly luxury properties and it would be considered rude to bring a mobile office with us. That is a time for connecting not signing in certain price ranges. I love to work in my pj's in my office and sitting out on our patio by my pool. That is the life for me. I am not a person who likes to run around, drive around, especially in the heat of these summers down here. So after many years of doing our biz all different kinds of ways, from having no cell phones and no fax machines to our Mac Book Pros today- we have found that we are basically home bodies:) and loving it!

If you work with buyers I see the advantage of being entirely mobile. Katerina

Great article, for anyone looking into going mobile. I love my Blackberry with unlimited plan with data., I also used to have a mobile broadband card but I can use my BB to conect to laptop for internet connection. A mobile printer would be great, I usually stop at office stores to print. I have a GPS but I usually use my BB with Google map for GPS. What ever phone one gets is to use it to its maximum. I'm looking into getting a new laptop one not so big I have a 17" too big for car use. Once again great atricle. I'm using my Blackerry to. Leave this comment.

I totally agree. I started working out of my home about 2 years ago after leaving a partnership in a larger office in town.  I only lost one client because she thought I would not have the presence of a larger office. With my Iphone and computer I can do anyhting just about anywhere without the overhaed that I used to have.  Funny how somw customers/clients just don't have a clue and sometimes gravitate towards larger offices. Now I am happier and making about the same in commissions as I would dragginng myself into an office and having to listento all the "water cooler" talk.

All wonderful suggestions. However, in Oklahoma City I am on AT&T. The Wi-Fi sucks. I agree on the portable printer. I have had Canon battery ops for years. I love my Fujitsu S-300 portable scanner. I have the S-510 at home so this go anywhere scanner can be an asset.

I also pack a portable printer and scanner in my car.  Many times I will have an addendum that needs to be included and all I do is scan it to my PDF converter, edit the package and fax it back out on the laptop!

Oh, did I say PDF converter?  This is an absolute must - you really need Adobe 10 or Nuance's PDF Converter Pro software to edit and package documents into pdf files.

Clint, here is one way I use the scanner. If I have documents that I need from a client, and it is their original copies, or docs I need for a short sale, I can scan them in to my laptop, and that way we don't waste paper on another copy. If I am at a listing appointment, and they have the survey, I can scan that in and add it to the MLS listing. The more we can go without paper the better.

Clint -- A timely post indeed!  In the old days we were chained to the office for phones and computers.  Now, however, we need to take advantage of the tools available to us.  I have a couple friends who will go write a listing, take photos, then go to the nearest Starbucks or Panera and put it live online within an hour!!  Now, THAT's service!  People appreciate the promptness...and word gets out that you're a serious professional.   To others who commented that haven't "made the jump" yet, if you don't you'll be left behind by someone who has.  You CAN teach an old dog new tricks!!

I absolutely agree!  Our office operates virtually as well.  All forms are housed in an online portal that we can access from anywhere. As well, we can submit signed documents online back to the office. We can even chat online with our admin and office staff.  The office has an open floor plan area where mobile agents can come in to dock if they need to, hook up to the office wireless internet, and use copiers or printers if needed.

Here are options I like:
MyFax - ability to send and receive faxes over the web, delivered to your email
Google Voice - not available in my area yet, but I can't wait until it does
Portable printer - good idea, I need to get one! I have seen some that are BOTH scanners and printers too

I haven't read every single post so there might be some duplicates here.

Question one, which is better... a docusign type service or a tablet notebook with the software for producing e-documents?

What is mifi? How is it different from a cell card for your laptop?

Arthur -- Id recommend one or the other. Tablet notebooks are typically very expensive as of yet. Use docusign until the price comes down, then decide.  Mifi is a personal wireless internet hub that allows multiple users to log onto the internet simultaniously anywhere on the planet. I prefer this to aircards as there is no minutes to use (with most plans) and is more reliable than cellular air cards.

Clint -- Thanks for the great info.  I had all intentions of checking into Docusign but have not yet. I am going to do so as soon as I finish this. 

I made the mistake about 6 months ago of getting an LG touch phone/verizon and at the time did not go for the Blackberry with the service.  Now I am sorry because I could use that email on the road daily. Thinking of switching to ATT for the iPhone. Have to see which is better for me.  What do you think?  iPhone or Blackberry?

I have all of those things, plus a mobile scanner.  NYS doesn't allow electronic signatures yet, we are still required to keep the original signatures.  I don't think you need a big fancy office, a home office is fine.  However, my broker believes you are not productive unless you are in the office. So I still show up to the office from time to time to make him happy.  :)

My office is whatever Starbucks, Peets, Panara Bread or similar place that has wireless internet connectivity. In lieu of those, I have a broadband card for my laptop. Not as fast but it gets the job done.

I prepare my contracts on Zipforms and have them signed using DocuSign.

Our clients are in and from the Silicon Valley and they embrace the modern way of doing business.

I dumped the desk a long time ago.  I had a 2001 Subaru that I had tricked out with a 12 volt computer in the dash, 3 screens, one in front, 2 in back, a voice activated GPS, a wireless keyboard, and I tethered to my cell phone.  There wasn't much I couldn't do in my car.  My commercials were loaded on the hard drove and I had 2 DVD players and a game boy advance system.

Clint- Great Post!   Home Inspectors here (in Florida) have been 100% mobile for a while now. The reports are excelelnt include photos and are uploaded within a few hours.  There is no reason we as Realtors cannot and do not go the same route. 

Many people cut corners in the wrong places  and your post points out why that can be a bad business decision.  These are tools of tyhe trade, and can be written off over time.

You have to spend a little to make a lot.

Steve -- Actually, I have no idea. That would depend on the availability of certain services and the actual cost of the items needed. You could get everything on the list for around $3,000. But, the computer upgrades and mifi, etc...could be $6,000 or more. Depends on how "big" you decide to go on the equipment.

This a great conversation that Clint started. Mobile office is only going to become more important, and with tools like mifi / wireless broadband all you really need is connectivity. 

ps - if anyone wants to know how to use their USB wireless broadband card to turn their laptop into a router, let me know. Tethering the iPhone is also an option, but with ATT service being what it is, definitely having a different carrier for mobile broadband helps. This might be a blog post for @DocuSign to write!

T Starr Tann did a good post about a month back on the same subject giving her entire 'mobile' product lineup.  It was great to see how she 'mobilized' herself.  Yes we have to dump the old desk at the office which I've done this year.  I'm going to check on that DocuSign, sounds interesting.

Clint it absolutely can be done and should be considered.  I am not a real estate agent, but have worked within the industry going on 18 years and for the past 8 I have worked from home.  Eight years ago no one said I would be able to....hahah, still am doin' my thing.

Clint- You are so right.  Mobile, portable and professional.  Clients are loving the tools that Realtors can use to stay in contact and in CONTRACT.  Right now we are at the Marriott on the Waterfront waiting for our room to be ready.  In the meantime, with a laptop and an air card, we are unstoppable!  Next stop is that portable printer.  I love the way the technology gives us time to live some life!

Fabulous points, Clint.  This is actually the first post I have seen that addresses this point.  I am mobile and not even a Realtor, but a Mortgage Professional.  :-)  It is all about the networking which is hard to do while sitting in an office.  :)

Clint, I am almost there.....missing a few of the items you suggest.  The Docusign sounds like it will be a great benefit.  Can't tell you how many times I wish I had something like that so I didn't have to go back to my office to email my clients the docs they just signed.  Keep up the great work, and thanks again for a very informative post.

Thanks Clint, great information. In this market, heck in todays business world it is very important that we are prepared for clients wherever we are. The only thing i would ad is a good bluetooth for safe driving. I installed one that is voice activated and works through the sound system in my car, i love it. Thanks again i will be referring back this i know

Clint -

I am a hybrid mobile type person.....I have a desk in an office, but am rarely ever there.  MY office is my reclining couch. My desk is my end-table. I use my laptop on my lap (big shocker, I know).

I use a ScanSnap scanner (AWESOME invention). And when I need to make color copies (flyers), I go to the office to do that. Transaction Desk prints out my forms ..... I take a copy with me when I'm showing properties....if they want to write up an offer, they sign 'em right there, and I scansnap those puppies off!

 

Next steps include an AirCard and portable printer.

I can tell you the portable printer would of saved me alot of time this year. Add a bed and maybe a bathroom plus some laundry appliances to my car  and I'm set!!!!!!

Indeed, we are mobile professionals. I would add to the list a portable work desk that straps in the passenger side. They have room for files and a pull out tray for the laptop. I don't have one yet but I've been thinking about getting one.
