Acronis Back Up

 

This Monday morning started out well.  I was sorting through emails and structuring my week.  One of my assistant's was working on improving our short sale system and was going to add a field to our ACT database.  ACT is excellent contact managment software, where one can completely customize all fields, keep detailed notes, and manage thousands of entries. ACT can be networked with multiple users accessing the information from different computers.  In my custom set-up, I have fields such as short sale "approval deadline", "loan numbers", "negotiator name", "payoff" and dozens of critical fields.  I have hundreds of notes on phone calls and actions from time of short sale submission through approval.  I also have records of every buyer and seller I've ever worked with since I got the system.  There are almost 3000 records in my database.

This morning I asked my assistant to add a field referencing title work completion for each short sale.  We do this as a matter of course when getting a new short sale listing, but I wanted a more organized location to check it off.  She needed authority as "administrator" to modify the layout so I changed her authority level. Well, something went seriously wrong.acronis

My assistant buzzed me and said she could not change the records and ACT closed down.  I tried to log in and the software crashed.  We tried from different computers, same result.  I shut down and restarted twice. Same result. We could not get into the database. Basically, without ACT we are out of business.  No records, no telephone numbers, no contacts, no history and no information.  All was lost. This was not a good Monday morning.

Thankfully, I had backed up the ACT database on Friday.  I use an external hard drive and Acronis True Image software for disaster recovery.  I restored the database with Friday's data and I am back in business. If you are not backing up your data you are making a serious  mistake.  Acronis can also back up exact disk images should your computer or data be destroyed.  Backing up to an external hard drive makes sense if you are in an area with hurricane evacuations or otherwise need to physically remove the information from your office.

I used to back up when I remembered to do it. Now I have a new ACT reminder that pops up.  You know what is says?  "Back up data daily!".

Wendy, It sounds like you were fortunate to have dodged the bullet. Back up, back up and then back up again. OR.....just use all online programs. Like Google docs. Of course you knew I'd say that :)

Backing data is so important.  It is a minimal investment in the grand scheme of things.  Great reminder to us all.

Wendy- please allow me to give you a couple of tips. They say you are never backed up unless you are backed up 3 times.

We use Carbonite to back up our computers, an off site auto back up that we don't need to do anything or remember anything and we can retrieve our files and data from any other computer on the internet. This is a must if you live in Florida because a hurricane can wipe out your systems and hard drives or you could get it all lost in a flood. What good is a hard drive that is backed up but gets flooded!

Next, we went to MAC- no turning back! No viruses software needed. We have time machine hooked up to external hard drives for our macs which are constantly being backed up, again without us having to think about it.

Last- we are dumping ACT. We have this great new program for the mac called Daylight and the real estate part of it is way above ACT, TP or Outlook.

All of our short sale files are on google documents- all the contact numbers for each file and all our contacts at all the short sale lenders are all on google documents and google contacts- these can be shared among our team with a click. They can be accessed from any computer with an internet connection. After using so many different programs and having issues with all of them- google documents is a breeze. We document every phone call, time stamped, when there is an issue with the banks, we just copy and paste our document trail of notes to email or fax to them and they see we mean business. Best of all, google docs is free. Katerina

Bryant - Of course, you would say that!  I do have fear of off-site storage, though, I lose control.  Plus, what just happened to T-Mobile sidekick users?  All their stuff is GONE!!

Dick and Dixie - I was so LUCKY I backed up recently.

Katerina - Seems you and Bryant love google docs.  I love my ACT.  I've been using it for about 12 years.  I don't think I can or want to live without it...  Plus, how would I get ALL my data on a new system? And that means you have a separate contact management system and a separate short sale tracking system instead of one if you use Google docs?  Also, reference my comment to Bryant above.  An off-site storage system for the T-Mobile sidekicks just wiped out all their data.  That is worrisome.  I have not heard of Daylight.  Will look into it.  RE: external harddrive, that I would grab, it is only a little box, and take with me during a hurricane, with exact images of all my computers...Thank you for good discussion....

Wendy: Do you also log all of your contact communication for all of your current short sales on ACT? I'm wondering because it is a great program, but I am still on the fence about using it for short sale negotiations.

Sharon  - Yeah, the BP was probably up to 170 over 110....

Melissa - I log by notes....  I do not use the outlook interface.  I keep emailed communiques in a separate outlook file.  Every conversation is outlined, plus the occasional "I cannot believe this rep!" side bar!
