Everyone understands the importance of Customer Service. Without proper customer service, you can literally watch your profits and your clients walk out the door. When it comes down to it, there is someone out there that offers the same service as you do, it is how you perform your service and handle yourself that is going to set you apart from the competition. Below are 10 key phrases that will assist in providing exceptional customer service. 

The 10 most important words:

"I apologize for the mistake. Let me make it right."

First, acknowledge the problem by simply listening to your client (we all want someone to listen to us). Second, apologize. Lastly, correctly fix the problem as quickly as possible.  

The 9 most important words:

"Thank you for your business. Please come back again."

Always thank your clients for their business. This is also a great time to ask for referrals.

The 8 most important words:

"I'm not positive, but I will find out."

Even the best of us don't know everything. So, if you don't know something, find out as soon as possible.

The 7 most important words:

"What else may I do for you?"

See what else you may do to go the extra mile.

The 6 most important words:

"What is most convenient for you?"

As clients, we are always happy to here that someone is looking out for us.

The 5 most important words:

"How may I assist you?"

This questions reinforces to your client that you are here for them.

The 4 most important words:

"How did we do?"

Always ask for feedback. You will not know exactly how you did, unless you ask.

The 3 most important words:

"Glad you're here!"

Clients love to feel welcome and are more likely to return. Return clients are great!

The 2 most important words:

"Thank you."

I think we all knew this one. Simple, yet very effective.

The MOST important word:

"Yes."

Clients all love to here, yes. Become a yes person.

 

After you have read over this list, take a moment and reflect on your own experience; when was the last time you felt someone went out of their way to provide outstanding service for you? How did it make you feel? Do you feel that all your clients feel satisfied when you step away from the closing table or when the home inspection is complete? Take these phrases into account when you perfect your customer service skills.

All of the 10 statements are important.  I think the most important is the first one - about taking responsibility for our mistakes.  Too many people don't do this.  I have found that often when someone is upset about a mistake that I've made, when I take responsibility, it seems to totally disarm people - they don't expect it and it really helps to make things right.
