Microsoft Outlook - Words of Wisdom

I want to thank everyone that has been giving me guidance as I find my way around Active Rain.  As I was preparing to really get into this blogging thing, and was reading and observing, etc.  something happened that has slowed my progress on learning to blog.  But, never fear, I'll be back at it soon. 

Here's what I'd like to share.  I didn't know this, and maybe someone else out there doesn't either, and my mistake can help you! Believe it or not, once your emails (Personal Folders) gets to  2.0 GB, it becomes corrupt, and it's looking like it's next to impossible to access.  No warning, it just disappears! A screen will pop up and tell you to run the Inbox Repair Tool, (what it doesn't tell you is that it probably won't work). Trying ScanDisk doesn't appear to work.  Long story short, you may find something that will allow you access, after many hours, days; but you probably won't!

So, the moral to this story is to back-up or Archive your Personal Folders files (your emails), just as you would your contact database, financial database, etc.  I know I will from now on.  I had no idea that all the years of saving emails as a paperless traill, would end up like this - if I needed to access something, I so far can't possibly get to it!

Debbie, good advice. I am trying to figure up how to get my past clients folders out of outlook into a file separate. Should I use a disc and store them. I have been using outlook for 9 years so you can imagine how many I have in past clients folders.

Missy, here's how you do it, my husband just went through this with me so I could tell you......

We actually bought another hard drive, created a folder called OUTLOOK Backup PST and then....

In Outlook, go to File, Export, Export to file, Personal file (pst), select folders containing your past clients (check if it includes any subfolders if they contain subfolders you want to archive); Save as (name it what you want, and where you want it to go), then finish. 

Voila!

I'm still finding emails that I don't have in my Address Book, emails that I wish I had, etc.....good luck!

great advise.  However, I do not use outlook, but am thinking of trying it.

Good advice -- Every time Outlook asks me if I want to archive, I say "no".  I'll have to be more diligent in the future.

Candy, I know there's several different email formats out there.  We've always used first Outlook Express and then Outlook.  Except for the little incident, we've been quite happy with it!  Good luck!

Sharon, yes, I wish we had known that there was a limit.  The funny thing was, I had just asked my husband the week before, if there was a limit and he said not that he knew of.  And then bam! We definitely back up now!  Debbie

I am happy to see you back, hope whatever happened was good--like selling real estate like crazy so no time for blogging.  

I've always used Outlook Express and did not know of the limitation--thanks for the heads up.

Hi Cynthia, it's good to hear from you.  Yeah, I did manage to get busy!  By the time I actually sit down to try and do some blogging/comments, it's 9:00pm and my brain's not functioning.  I try to get on AR at least a couple of times a week; I need to get more consistant.  Hope you're having a great week!
