William Johnson

Yesterday, William Johnson, wrote a post titled, You've Got Mail.  The post was about using Microsoft Outlook. I responded to his post, because I love OUTLOOK. I have been using it for about 7 years as my main contact manager.

I asked William to consider starting a group on Activerain for people wanting to share ideas and learn Outlook tricks. So he thought it was a great idea and he started the Outlook User Group. If you use Outlook, or in many cases tried to use Outlook and want more tips and interaction please join us.

Most of you have heard of Outlook Express, it comes on your computer with Internet Explorer. Microsoft Outlook is NOT Outlook Express, it is a full comprehensive program that is a way to manage your email, listings, sales, contacts, tasks, calendar and journal all in one spot. Outlook logo

Last March, when I attended the RE/MAX International Convention in Atlanta, I went a day early to take Pat Zaby's class, which is CRS approved on Microsoft Outlook. I have been following Pat Zaby for years with his newsletters. He is an Outlook Pro. He always has great tips that I try to implement.

One of the main uses, that I found most helpful about Outlook, is the way you can categorize your contacts. There is a Master Category List and then you can add to that list. When I got home from the RE/MAX Convention, where I met hundreds of Realtors from all over the world, I entered their cards into Outlook. I started a new category called RE/MAX agents around the world. If I ever want to contact them, all I do is a Search by Category and up they all come together. One email to hundreds of people with one click, one letter etc.

I also have a Category of Past Clients, boom Search Past Clients and there they all are, once again, one email, one click, done.

Folders: William spoke in his post about using folders for everything, and I do. I set up a folder for each buyer and seller by their names. ANY correspondence I receive from them, I drag it into their folder. When the transaction is closed I drag it up to my Past Clients folder. If I get a call a few years later to list their home, all the information is there. No more digging in the basement for banker boxes full of transactions closed in previous years.

There is so much to learn, and as much as I love it, I am looking forward to learning more from you all who use OUTLOOK in this new group. It sounds like a wonderful program, Missy.  I have Outlook Express however I don't have Microsoft Outlook and I didn't realize there was a difference until reading your post.

The group sounds very helpful and worthwhile.....I'll look further into Microsoft Outlook and if I get it, I'll join the group.

Missy, if you laugh at me I won't hear it.  Honest.  I have Outlook and have never used it.  My contact management system is a 3 parter and I'm so tired of the extra work.  You have just given me a reason to get off my duff and do something about it.  I owe you ice cream :-)   I'm heading over to the group to join it right now.

I LOVE Outlook!!! I thought I was the ONLY ONE!!!  Most of the people I know have Top Producer..bought it, am paying for it...don't like it at all!  I'm glad to see there's more of us!

I have been using Outlook as my main contact manager for the entire time I have been in real estate but there are so MANY things I don't know!  Plus it seems like I figure something out and then go to do the same thing the next time and have to figure it out all over again.  I am so glad you asked William to start the group, I joined as soon as I saw your post!!!

I have looked for other contact management programs and could not find anything else I liked plus outlook links with my TREO!

Missy, the group sounds excellent.  I am toying with the idea of putting outlook on my computer mainly to have the address book/database I need.  as you know I'm a big fan of gmail and google calendar - but for maintaining easy to use contact databases, it doesn't cut it.

Though I wonder if, for my own purposes, if Outlook Express, which is already on the computer, will work for me.  I just need to have an address book that will do a mail merge with documents and print address labels.

Marchel, LOL, yep there are certain features I have to refresh on because I don't use them that often.

Leigh, what web version ? Are you talking about where outlook is online so matter where you are you can access it. I have heard something about it but I thought it was for big corporations etc.  Please tell us more.

Hi Lake, lol  Karen, I don't know I have never used express but I thought it was strickly for email. I'm sure on Google you could compare the 2.  My daughter was using only google until last year and I made her change it was too much searching to put the important doc's together.

Missy - I joined the group before completely reading the post - I have used several CM programs and tossed them all except for Outlook - I have a lot to learn about it but so far - I find that this is the best for me - I can sync it and so much more - thanks for encouraging the forming of the group.

We use ACT for Realtors. We stopped using Top Producer several years ago. If I would have know about Outlook then I would have used Outlook. Nestor is really in charge of the contact data base. I am very blonde when it comes to that part. Katerina

I have had quite a few of "The Big Dog" techee guys tell me Outlook has major security issues.

Do you know about any security issues? I have tried to use the Outlook that came on p.c. but it won't let me in.

One of the guys told me not to bother with it.

TLW, I know of no security issues with Outlook. I have used it for 7 years and never had anything except typical email spams. But, I use internet crusade for my email provider.

Sally, when I was at the Re/Max convention Pat Zaby used Outlook 2007.

Hello Missy, May I say what a wonderful job you did in getting the word out in a post that was just beautiful. I love all the comments you received and your answers were right on.

I called Pat's office this morning between appointments and got back to load of post comments that needed answered.

I wanted to spend a bit of time here and try to fill you in on my progress. I explained to Bill ? , in Pat's office what I was hoping to accomplish with the group and of course invited them to join and post blogs on Outlook. I suspect strongly Pat will not have interest in doing that since teaching seminars are his lively hood. I do know that he knows a lot of shortcuts and a lot of tips on best use and I am going to try and get him to share those and maybe guest write from time to time, as I mentioned your associate Leigh,

Would it be wise if the changed the Group name top Office users and that would give us a forum that could provide a much larger audience and participants in all aspects of Office and it software systems?

I think it will be a bit limiting to define only Outlook as it is not all that complicated and once we put out what we know, that would then limit the usefulness of the group, as least once the members get up to speed.

What do think about the idea of expanding the nature of the group?

I will send a copy of this in your private e-mail as well with mu contact information and maybe we can discuss this when  you have some time.

Missy - thanks for bringing this to Group status. I'd vote against changing the name and focus to Office - since different people use different Office programs, I'd have separate groups for Outlook, Excel, Word, PowerPoint, etc. I like the idea of guest posts. Outlook doesn't replace ACT for me, but is useful.

Well done, informative post on this one. I've used Outlook in the past and for some reason just got away from it. William is a wonderful gentleman who obviously knows the business well. You've both convienced me to get back on tack managing my emails. Thank you.

Missy, I don't even use the email portion of Oulook properly!  I overload my in box until I crash the system! If I would just file things it would help, but it is a bit like my desk; if I file it I can never find it. 

Perhaps I should listen in to this group and learn a thing or two.

I have been thinking to write a new blog from one that I did on my past with Outlook, I hope that you remember one, well, I did a Flash Tutorial, very short, very easy to understand to get automatics comments, maybe with the idea that I gave on the past blog that I did about this technique you got the whole idea, but this will be much easier for everybody and faster.

Also, I learned other thing, that you can create many databases for outlook, so you can make outlook faster, I have one file *.pst just almost 700 MB  and I decided to leave it alone that one like for  old archives and use other new *.pst databases, that's awesome and I finally did my OUtlook so fast !!!!  It was a turtle before, not it is a rabbit ! !!

Ray, I do remember you post. Please join the Outlook Users Group, we need experienced Outlook users, like yourself over there. I didn't know you could use *.pst files that way. Do a post on it and put it in the group.

The reason why I love Outlook instead of other contact managers like Act! or Top Producer is because my Treo is able to Sync with it seamlessly without the use of another program or conduit to install on my Treo.

I am delighted to have seen this Outlook group.  Joined immediately.

I have Office Pro 2003 so I decided to dump Top Producer, and I recently acquired a Treo 700WX, with Windows Mobile 5.

Looking forward to learning all that folks can share, and maybe learning enough to contribute.

I am very excited about this group.  I have Outlook 2003.  I tried Top Producer for a couple of years but it just wasn't working for me- I like my outlook too much!  I was thinking of upgrading to the 2007 version.  I saw it at my CRS technology class and it looked very nice.  Missy- are you using Pat Zaby's Respond for Outlook?

Ginger, I am not using Respond yet, so far I'm OK with just plain old Outlook. I know Leigh Brown bought it, so maybe she will jump in and comment.
