ClipboardWe all know with our work to focus and prioritize what we need to get done in a day and in a week doing time blocking allocates time to a task. But we need to

Get Good At This Time Block Thing.

A few ideas to work on it --

Change your setting - instead of doing your heads down project at the office, go somewhere else, the coffee shop, a home office, an unused conference room. Somewhere with less rather than more distractions. I thought once a coffee shop was better but the music in the background was AWFUL

Visualize what you are doing - be prepared in advance with your materials, notes, clean desk, files. It will make your concentrating and getting going easier

Phone calls all on hold - this goes if you are in an office, alert whomever it is you are NOT taking your land line calls, or on your cell phone, they go to voice mail and the phone is turned off

Early is better - I have found the first part of the day for heads down time blocking seems to work better than mid to late day. Get something unpleasant and prioritized out of the way first thing

The calendar has YOUR NAME on it - schedule this block of time as YOUR time, and don't deviate off it. With YOUR NAME on the calendar it reminds you how you have scheduled this window of time to get this important task done

The Pre- Time Block Window you don't check email or voice mail messages - Messages checked the night before are ok, but if your time block starts at 10 a.m. DO NOT check email or voice messages prior. It is another distraction and you will lose concentration

Be tough with your rules - if someone intrudes to connect with you during your ZONE, be nice and tell them you will connect with them LATER

Door Signs - At home or office, put up a do not disturb sign, to let people know you are serious and BUSY with a task at hand

Commitment - with your TOUGHEST needed time blocked assignments, work, fitness, personal needs, stay with it and GET THEM DONE.

You will be amazed how good you feel each day, or weekly when you knock those toughest assignments out of the ball park with your productive TIME BLOCKING self.

Gary--I find I am more productive working from home without the potential distractions at an office setting. Almost like time blocking when no one else is around. Very important to stay scheduled in this business.

One of the KW BOLD Laws is " It's not about selling real estate, it's about sticking to a schedule". If you schedule it in, it's more likely to happen. I talk big, but have a tough time following my own advice!

Scheduling your time is the only way to make any money right now.  There are too many distractions these days and before you know it, the day will be gone and you will have just responded to urgent situations and not have gotten anyone on the line to buy or sell with you.

My biggest challenge is keeping myself on task.  For example, right now I am supposed to be writing a blog, not reading and commenting on them.  This self discipline stuff is a killer!!  I just don't think there is much hope for me.  Thanks for the tips though.  Maybe a change of scenery is what I need....

Wow, do you have good timing, or what? I really needed this set of tips today! Thank you Gary!

Yes I have heard different prioritizing strategies over time but you can use something simple like I do. I have green time. That is money making time. So I must not lose my green time. If I am on a long personal call and it travels into my green time, it is time to go.

If, like me, you're your own receptionist, you can't block out time with no interruptions. I have to work after hours for that.

Gary,

One of the most consistent skills a truely successful person has in any field is effective time management. We can all learn more about how to implement this vital part of our daily life.

Actually, I'm awesome at this time-blocking thing.  Why just the other day I... hold on, I just got interupted by an un-shceduled prompt-to meeting... I'll finish this blog later.  ;-)

Hi that is a great suggestion.  I have some areas blocked off but I have to be more disciplined about protecting them.

I love time blocking! I put my cell on silent when I am time blocking and try not to check emails much, just to be most efficient.

Gary, my time is the biggest problem I have keeping other people from taking. I cannot just do one thing without interruption.

Thansk for the reminders.  I am working toward getting better about this, as I tend to be pretty scattered.

I also like the part about getting unpleasant tasks out of the way first.  If you have to eat a frog during the day, you might as well do it early and get it out of the way.

Hi Gary, this one thing I really need to implement from now on. Still in the process of organizing my home office, get my listing, short sale & buyer package ready. So this time blocking think will be next. Have a wonderful new year.

Gary,

I thought I had this time-blocking down to a science!  But I got off track a couple of weeks ago and it went down the tubes! I'm just cleaning out my emails and found your wonderful AR blog!  Time-blocking is now going back into my 2011 Business Plan!

Thank you so much!

These are great, great tips for time blocking Gary.  Visualizing what you are doing really helps in focusing and getting things accomplished!  It can be really tough to find personal time with our crazy schedules.
