Are you in charge of your time or is someone else?  Time managementI believe the most important part of your success in any business is to master this one area of owning your own time and the failure to do so will result in total burn out and an agent’s eventual demise in this business.

One of the Secrets of A Successful Real Estate Agents is:

 *You work a normal work week or less with plenty of time off to be with your kids, husband, wife, significant other and friends. You have time to pursue other interests.*

I want to drive this point home to you. There are so many excuses that agents give me to not take time off. I do not know whoever started this big lie; that you have to available 24/7 for your clients. This is just not true. Some agents feel that they are servicing their clients by sacrificing all their time to them when in reality that very act causes agents to be inefficient and is actually a disservice to their clients. If you are currently working with clients who expect this from you than you need to change the clients you are attracting and you must set up a schedule. Now, this schedule is not set in concrete. Of course there will be times when you are not able to abide by your schedule due to the constraints of a situation. Realize that most circumstances in which you feel you have to be there 24/7 are ones that you have created yourself through your actions that others pick up and then form their expectations of you from.

Sit down with your planner this weekend. The first thing you schedule in is your one day off a week. We now take 2-3 days off or we mix up the time off like taking blocks of time off. Sometimes Nestor and I take different times off so one of is available but we always come together for one family day off. Our day of choice to always take off except for emergencies is Sunday. We go to Church on Sunday so it is nice to just have the rest of the day off so we can feed our spirits.

Now the next thing to schedule into your planner is your fitness program. Making a date with yourself to exercise helps you to keep up with your program. Then you write in your family activities that are important to you, like you child’s baseball games and such. If you are married, you write in a date night.

You will now schedule your “Hour Of Power”. This is your self development time. You can meditate, read uplifting books, write in your journal, say your affirmations, review your goals and dreams and any other activity that helps you to grow as a person. If you work more on yourself than you do on your business you will always be successful.

Now you are ready to get to work on your business appointments. The rest of the time in your planner is for appointments and real estate related activities such as your marketing and prospecting.

This one act alone sets the tone of your business. When you do this with your planner it is much easier to say “No” to prospects who will defile your time. It is hard to explain but the people who respect your time will start to come to you because you are respecting your time. Self Respect is felt by others and they respond by treating you with dignity. The ones that don’t will fade away because like attracts like.

Here is a real life example on how it just worked for me: ( I am only sharing the parts of the conversation that have to do with calls and showings)

I called a new buyer referral yesterday. I called him during my regular work hours. The time of your first initial call to a prospect is very important. It sets the example for what is an appropriate time to call you. It sets the tone for the rest of the relationship.

Then I ask him what days he has off, what hours he works. This gives me what I need to work with. If the only hours he has off to look at homes will be on my days off then I will refer him to another agent and earn a referral fee. This way I still make money but I do not compromise my values or my most precious commodity; time.

Now I listen. He tells me that he works from 2:30 a.m. to 12:30 p.m. then he usually goes home to go to sleep and wakes up at 5:00 p.m. and goes back to sleep at 9:00 p.m. until he goes to work again. He has Saturdays and Sundays off but he likes to spend those with his daughter who he only sees on the weekends. He is talking, I am listening. Without any interruption from me, he works his schedule for showings out by saying that he can look at homes right after he gets off of work around 2 p.m. That is perfect for me. He is a great match for me. We can do this.

Sidebar: Nestor and I are listing agents. We work with buyers by referral only and we make sure it is a good match. Buyers are much more time consuming than listings.

I then tell him that we have a home office and that he can email us with any questions or needs at any time. He can call us at our home office during work hours and on weekday evenings up until 9:00 p.m. This sets the boundaries. Also, when I disclose it is a home office our clients just do not call us late hours and during dinner, etc.

Notice that I did not jump into the conversation and say, “Oh I will show you homes whenever you want me to.” In other words, I did not hand over my control over my time to him. I see agents do this all the time, like they are afraid they will lose the client.

I have never ever had a client who would not use our services when I do this. I tell all my clients I go to Church on Sunday. The only exception I make to this rule is if I have an Orthodox Jewish client who is observing their Sabbath on Saturday and the only day they have to see homes is on Sunday. That rarely happens because my Jewish clients have other days during the week in which they can look at homes and they do not want to interfere with my Sabbath day either.

Time is the one thing that once it is spent, you can never get it back. It is gone forever once you spend it. Think carefully if each thing you are doing, each person you are working with is the wisest and best use of your time. You are only given so many minutes, hours, days and years so spend them wisely. I found that by asking myself, “ How is this serving me? “ helps to keep me on the right path for myself, my family and my clients.

Katerina, were you in my brain or what?  This post is touches a topic that I have been struggling with severely over the past year.  Your comment If you work more on yourself than you do on your business you will always be successful.  We do need to give ourselves some attention.  I'm finding that out.  It's a tough one that I need to work on for many reasons.  You hear that comment being made by people all the time in the business, "If you just go on vacation, all the business just happens and your phone rings like crazy".  That's so true.  You give to yourself and the success keeps on coming.

Katerina, It is amazing how much you can acomplish when you are organized. My first sales job was with the Campbell Sales (Soup) Company. They taught "plan your work and work your plan." I never forgot it. It works.

The other thing is the telephone. Cell phones have made many of us slaves. I can't believe the people I see with the bluetooth in their ear all the time. It is better to olny answer during certain hours and let voice mail handle the rest. Do your call backs during your designated phone time.

Katerina, Well done. I agree completely that WE are in charge of our schedules. There are folks that I just won't work with because their hours don't fit into MY schedule. My rules our very simple:

I will answer my phone from 8-8 7days a week or call back within an hour. I shut my phone OFF at 8pm.

I don't work on Sundays.

I don't take appointments after 5pm or before 10am(with very few exceptions).

I don't do spur of the moment appointments. All appointments are booked minimum 1 day in advance. I always try to book 2 or 3 listing appointments on the same day so I can leave and do them all at once. And I try to do this twice a week. The rest of the time I am at home on the computer and the phone. 

And I rarely work with buyers unless they are long time customers of mine. 

It is very rare that anyone has an issue with this. And if they do best we know that upfront so I can hand them to someone that can accommodate them.

Our jobs do not have to be that time consuming.

Katerina, I agree it is a big fat lie that we can't take time off. I have on my voice mail, that I will return calls after 5:30 the next business day. I have been teased about it alot. But, that's OK. I can see who is calling and IF I want to pick up, I will. But, I don't have to and that is the point.

Katrina - Good golly gee whiz.  Every retail store has their hours posted.  Unless he's on call try calling your doctor at home - oh that's right you would need his cell phone number to do that.  Well, how about your accountant or lawyer?  How many of us sit around the house all day waiting for a plummer, electrician or appliance repair person?  Go to the car lot to take a test drive when they are closed and you will get to ear the silver bracelets.  I heard someone, I forget who, say one time that if people don't respect your time they don't respect you either.  Maybe that is why there are so many over priced listings out there.

Katerina, I like the way you think.  I haven't worked on weekends for years.  I just don't make myself to clients on Sat-Sun.  If they ask, I say I have commitments already.  I do, my commitments are to the time I spend with my wife and family, and myself.

If you don't control your time someone else will.

Katerina, this is a fabulous post! I needed this today as I have been feeling a little stretched. I am just beginning in real estate and still work full time in nursing to keep a steady check and insurance. I am off to a good start with 3 listings now and two more I am adding in the next week as well as a couple of qualified buyers I am working with. It is not always easy to keep myself from getting over extended, but I am working on it... looking forward to being in a position to transition to only working in real estate. Thanks for some insight and good reminders of what is important! BTW- would you mind if I share this with a couple of friends in my office who are in a similar position as myself? Hi Katerina! Great post. I have been anxiously awaiting the first one....Ok. I need to sit down and make myself do this tomorrow. You're right. It's necessary!! I should've thought of it before, but I think my mind was a little cluttered. I have lots of clothes and shoes I never wear so my daughter MADE me go through each piece of clothing---one by one--and I feel so much better! This will help me feel better as well. Thanks lady!

Like the last one....working with someone who lives in Florida (dad took care of sale for his daughter who is my client in Iraq)...and time difference was a big thing.  Bottom line, balance with time is the key...

Bill, you are right in remembering to make a plan and work your plan. Also, your comment about cell phones is so right on. Many of our modern conveniences to save time actually take up more of our time. We were supposed to have less paperwork with the computer and actually have more! I screen all of my calls with caller ID. I do not have a phone in my bedroom. I choose not to be a slave to my phone. If I am teaching Tristan I am not going to get interrupted with a call. You should write a post about this too. This is so right on! This is  a lot like our hours. 

We don't work on Sundays.

We only go out on appointments once or twice a week and fit all our appts in during those hours.

Now, Nestor and I have different schedules so that I can homeschool Tristan. So I do not talk on the phone until 2 p.m. most of the time and Nestor answers the phones between 9 a.m and 5 p.m. and I take over and answer from 5 p.m. to 9 p.m.

It is best to consolidate your time and do all of one type of project at a time. We save tons of time from working from home because I don't have to put on my makeup, get dressed up, etc.

As successful as Broker Bryant is I behoove all of you to follow these examples and get your life back! It does not have to be hard! Katerina

Michael, I am a workoholic  too. That is why this is so important. I found that if I change focus to something different, like a hobby. That is also renewing. The time to work on yourself can be used as part of your 'work'. It is easy once you start to do it. If you resolve with yourself you will see that everyone around you begins to respond differently to you. It was not always easy, now it is, but that is because after many years I have created a system. Part of it is being a mom. As a mom I have raised 5 kids to grown ups and one more, a 5 year old now on his way. I homeschooled, worked from home, made the food, made their clothes, ran businesses, took care of clients, and to do all of this, I had no choice but to create boundaries and a time system that works with such a demanding life. OOH, this is a hard one! Your life is really being stretched. I am a firm believer that you must do what you love and the money will follow. But my disclaimer is that it is not always easy and don't hold me to whatever outcome you have.:)  Subscribe to my post because you will get more training to help you through this. Make sure you utilize Active Rain and blogging and online marketing to make better use of your time. Also, work with listings, be a listing agent. You can work with a few buyers, but for time constraints it is better to refer your buyers and work with listings. You have more control of your time. Katerina

James- We have not done an open house in over 7 years. They are not a good use of time in our area. We work in a high end market, most communities are gated and do not even allow signs. Not a good way to drive traffic. Also, we tell our sellers that this is not the best use of our time or their time. The sellers expect all kinds of things before we talk to them, then it is our job to educate them. We educate them to what marketing is and how we use it to sell their home, to gain maximum exposure for their property. Maybe a topic for a future post? Thanks for your comment. Katerina

Sally- It is a different pace and culture in Hawaii. The pace alone is conducive to less stress. That is why Hawaii has the longest life expectancy in the entire USA.  But I know you do have a schedule too. Mondays and Fridays is office day. You take time off to do things with your husband. There are times you get out of balance during a transaction and the hour difference is something you worked with. But that is not an every day 24/7 occurance for you like it is with many mainland agents. You still go take those beautiful photos of the Hawaiian scenery! Katerina

I am a rookie...just over 1 year in the business.  My hardest thing in this is the scheduling with my 3 kiddos, husband, life, health, etc...I feel like if I don't do everything the buyer wants, then I will not make any money!

Great way to reinforce what my husband has been preaching to me....BUT PLEASE!!! PLEASE!! Don't tell him I said he was right on this one!

Dawn- Yep, your husband is right on this one but we won't tell him. It is hard to take care of everything as a mom and also work. You must set the groundrules when you first meet the buyer. You have hours. They will respect you that way. Being afraid of losing the buyer because you won't sacrifice everything for him shows him that you do not have self confidence and that you are not of  value. You are of value and being a person of value you must behave as though you have something to offer other agents do not have. Katerina

Just wanted to let you know how much enjoyed this post! I'm very guilty of neglecting my family and my personal time for the sake of real estate. I'm working on it though, I started planning my days ahead of time and taking time off to spend with my family.

You are such a great coach - you ought to write all of your great advice up into a book.  I have been guilty of being too flexible with my schedule and am slowly learning that it is unhealthy to be available 24/7.  If I have someone who makes unrealistic demands I try to refer them out.  I try to work with everyone but if someone is completely unrealistic or is verbally abusive, I choose not to work with them.

It is very unhealthy and it leads to resentment and then burn out. Referring out is a good thing. Sometimes we are just not a good match for someone and also, it is funny sometimes someone will be abusive to you but not to the other person you refer them to. It is personal dynamics. Katerina

Great post.   I like the "hour of power".  I've found that when I consistently budget my time and stick to it, I have productivity that is leaps and bounds above what I normally have.

Katerina - We have found the "joys fo referring out" too. I found a few new tips to tweak what I'm doing as well. We work with lots of buyers so we do work Saturdays and some Sunday afternoons - but it's our choice. I'm looking forward to that book - will I have to pay extra for an autographed copy? :-) Keep it coming girl!

Cyndee- Gosh, if we could just get some more hours added to our days, right? Then my book could get finished. Right now we are in a survival mode with just making it through this market! As long as you are taking time off at different times, it does not always have to be Sat and Sun. Sometimes I will work on Saturday but take Friday off if there is some reason for it. You get blocks of time off because of the kids and that is a good thing. Katerina
