Most everyone who uses any version of Outlook, knows how to enter a contact. One neat feature to do when you add a contact is to put them in a Category.

 Categories will make life easier when you want to bring up a group of people that conform to what you are looking for. When I am adding a contact, I put them in as many categories as I will ever use that person in. Outlook has a Master Category List. However, I add many other categories to it. Thousands of ways to use your data base.

So for instance, I add Maria Labie and put all her information in there. Before I save I add her to several categories. I would add Maria to Lender Category, Christmas Cards and Personal Friends. So depending on what I am searching for Maria would come up different categories.

One of my Categories is Service Industry (here I add inspectors, handy-men, electricians, plumbers etc). Another Category I use is Past Clients, this category comes in handy for my follow-up campaigns and just staying in touch with past clients.  Let me give you an example how I use it.

When I go into Outlook Contacts, I can search different ways, lets say I want to look for all Past clients, I search my Category Past Clients and then put in the category I want to search by, in this case Past Clients. I bring them up in a list format. ( Play around with it as it depends on what purpose I am using them for )

Outlook Categories

In this case, I am going to be traveling somewhere and so I pull up all Past Clients in a list format, now I print it out and take all my list of  Past Clients with their phone numbers with me in my car. In fact, I  leave this list in my car. Then if I am stuck in traffic, or waiting on an appointment to show up, I have their phone numbers right there and give them a call.

I recently stated a Category called Activerain. Then when I get personal emails from activerain members, I add them to my Outlook Contacts and put them in the category called Activerain.

 

  • Tip if you use Plaxo, there is a feature there where you can grab all of their signature and it opens up Outlook and automatically puts them in there. I am all for automatic.  then I have automatically added their name, company, email, address, website.

If you want to be in my Activerain Contact's category, send me a email with your signature and I will add you to my Outlook Contacts under the Activerain Category.

Yes, Missy!  Did you catch my blog post on database?  I use Outlook and sync up with my Treo phone...and it works awesome.  My top categories are Prospects, Clients, Realtors, but I put everyone in there.  I never forget a brithday...thank you for putting this out there.

I actually helped a competing home loan expert learn to mail merge email from Outlook...that's how much I think the information is helpful.

Missy, if you saw my database on Outlook you would cringe.  (Probably similar to the cringe I make when I see a messy closet.)   Now I simply have to buckle down and start at the beginning, and adding each contact to a category (or several categories!) is probably the best place to start.  Thank you for this!   And please do add me to your AR category.  I think you have my email address, if you need me to send it again just let me know.  Again, thanks for the kick in the tushie to get me going on this.

Missy, I have a question for you? I get confused between categories, distribution list and contact list.  Is there any way to print labels from a category list?  I use to use the category list but when I could not figure out how to print labels I quit using it. 

I have added additional contact list to be able to print labels but my husband has to do print them because I get so confused.  This gets a little labor intensive as they all have to also be in a master contact list because I want them all to sycn with my TREO.  SO MUCH TO LEARN!!

I hope you had fun at the game and they beat the socks off of Notre Dame.

Joanne, just drag them into the folder of where you want to save it, it only takes seconds.

Marchel, I don't know if you can do labels from categories but my guess is you could, maybe some in the group can answer it. Why don't you ask it in the group ? I do know that you can set up groups of contacts and mail email or letters from there. I have one for my daughters dance studio and if I need to send a message I do it all from there. I started with a distribution group called Dance Alliance. It stays on my contacts list, so I just click it on and all the names come up.

Missy:  As always, thanks for the info - I always learn a lot from you.  I use only Outlook for all my contacts and know about categories by don't utilize them - maybe because I don't have near as many contacts as you LOL.  They are growing though and this is the time to start organizing them - I do use distribution lists and have considered taking a class as I know Outlook is very powerful and I could know a lot more.  Congratulations on winning the game - I have a nephew at U of M and I know he must be very excited and was probably there.  How is your daughter doing - must be good since you said you were at the game with her - what a great day to spend with your daughter!

Excellent!!  I've been out of the Outlook program for years...but I may need to get back in touch with this.  I have the By Referral Only program for all my contacts but it's a bit different. 

Great tips to call your past clients in traffic and so forth.  Somedays you could really get some calls accomplished!!  (making it less frustrating to be in traffic)

Good post.  YOu can also rearrange your columns in every view except address card and detailed address card view.  To rearrange the columns...it's as easy as click, drag and drop!

1. Move your mouse over one of the column headers
2. Left click and hold
3. Drag your header over between two other column headers
4. Release the button to drop the header and it will "snap" in place
