Four Reasons Why Email and Text Are A Communication Dream

Email, texts, chats, instant messaging, pings....the list goes on and on. Technology abounds. Some are quicker than others to jump on the technology bandwagon. I hear complaints from people who say that they want to speak to live people. They don’t want to receive an email or a text. Here’s why I have learned and come to embrace each of these valuable modes of communication.

There are times when an email or a text just won’t do for providing an adequate explanation or for providing the emotional support that may be needed. There’s definitely something warmer about a phone call in comparison with a text or an email.

However, do not discount the value of email or text just yet. There are ways to utilize this technology to enhance customer service whether than detract from it. Long ago I was once an novice investor looking to purchase investment property. As I set out on my quest, I managed to find a Realtor who said she was up for the job. We headed out together on a couple of occasions. It wasn’t the match that I had hoped for. I’m definitely not a needy, hands on type by any means but this lady was missing the mark. She had a cell phone on her hip that stayed glued to her ear the entirety of our scheduled appointment. Every few minutes she would interrupt our conversation to take one of her calls.

It was from this experience that I take my philosophy on this subject. Upon my initial meeting or phone call with a client, I explain to them that I do not take phone calls when I am actively in an appointment with a client. This is to provide the client who has scheduled a time block with me the undivided attention that each and every client deserves. But does that mean that other clients are neglected? Absolutely not!

TextEmail and text are life savers. Now I am not going to spend an exorbitant amount of time email and texting while with clients either. Let me tell you why:

1.  A quick two or three word text to answer a question or set up a showing for someone is a whole lot less distracting than full blown phone conversations. Your client who is in your presence is appreciative of your undivided attention and the client or agent who needs just a quick response is also appreciative.

2. Email and text make great paper trails. So many agents hate to keep communication logs. Communication logs are just as essential as keeping transaction files. You won’t miss these communication logs until you need them. Here’s an example, I had a BPO agent apparently tell the BPO mill he was working for that he had not been able to do an interior inspection because I had not contacted him. The BPO mill supervisor sent me an email, politely asking me to cooperate. Problem solved. I simply forwarded the original email that I had sent to the BPO agent which clearly was date and time stamped showing my communication with the agent. Whoops! Sorry BPO agent, that excuse is not going to work. I’ve got evidence.

3. Email and text come in handy when an absolute after hours question must be handled. As a Realtor it can get difficult to maintain “set business hours.” Heck, as much as I love my time off, there are times when I catch somebody up at night asking me questions via email or text. If I’m awake, I am likely to respond. They are satisfied and I haven’t been inconvenienced one bit.

4. The Generation Y (born mid 1980’s and later) are not only tech savvy. They are said to be plugged into technology 24 hours a day and actually prefer to communicate by email and text. As more of the Generation Y population jumps into the housing market, you are likely to cross paths. Will you be able to adequately meet their needs is the question.

No doubt about it - this is the way of the world now.  There is no turning back.  You just need to know your audience and make sure you are not shoting yourself in the foot with respect to peoples preferences when it comes to their communication choices.

I become so accustomed to email and text that I oftentimes forget that a phone call really goes a long way. HOWEVER, I am able to multi-task and filter my time more wisely using technology. Even something like Skype has been a blessing.

Lori and Connie, I can't even begin to express what a true time saver email and text are. Heck, on the downside though me and my husband text each other now more than we talk on the phone. But for business it's awesome!

 

Elizabeth and Tamara, I am a true believer that the best way to show people how much you value them is to give them yor undivided attention. Glad I am not alone in this theory.

 

Gita and Street, I am notorious for sending clients texts and emails while I am in office meetings. I call it "Multi-tasking"

Armando and Raine, it can definitely be a faster way o get in touch with clients at times. In fact I have had a few clients who will not call me to save their lives but will emai or text me in the blink of an eye.

Bob, you have made a wise point. I always ask my clients what s the method that they prefer to be reached. Many do not care. I just listed a home however where the seller was adamant about receiving phone calls and NOT texts. Your point is so true!

Pascack Valley, I would be lost without m texts and email too! I am seriously addicted to my technology.

I haven't abandoned the phone yet. I love email and texting, but I try to gauge my clients preferences and likes and follow their lead. If they email or text me, I'll follow suit. Otherwise, I'll text away.

Texting and email are becoming more and more important. Texts are so fast and useful it is amazing.

The only problem is that it is hard to build a relationship through them when they are the only source of communication. Face to face is still so important.

I agree that text and email can be great time savers and communication devices, but there are times they aren't appropriate.  Also, it's important to find out how your clients feel about these.

It drives my hub to be crazy that I rarely pick up the phone and actually call someone anymore. Email and text are just sooo much easier for me because I'm a really talkative person so there is no such thing as a quick phone call. When necessary, I'll call but I'm with you, email is the way to go!

Great post! email & text communications are good ways to stay connected & keep current. Email is easier to manage then cell phone calls & text but they do need to be managed and shouldn't be allowed to disrupt your face to face time with your clients. When it comes to work hours and family time we all need to keep a balance and try to keep business hours and non-business hours.

I must say I prefer face to face and phone calls.  But am ok with sending and receiving emails and texts. I just fear hearing.... "I never got your email??" I then have to decide if this comment is genuine. Did my email get delayed? Did it end up in SPAM? Why didn't they get my email? I find myself calling for the important things and emailing/texting on minor.

In today's environment you want to be flexible to handle all types of communication.

Love, love, love, emailing and texting!  It's fast, you're never "interruping" someone, as they can read it at their convenience.  And I am not a "Gen Y" er either, but I definitely keep up with technology!

In general (with clients, family or friends) I find it annoying when they pick up the phone jut to say I can't talk now. I think that is why voice mail was invented for, ok pet peeve done.

In general when I'm with clients I have phone on mute or silence it when it rings. Also txt or emails make things clear and convenient.

I have a bunch of clients who are only available to communicate most of the time through text or email.  I don't know what I would do without it sometimes.
