How Hard is it to Return My Call?

By
Home Inspector with Precision Home Inspection

I have a few pet peeves about what I think should be basic communication skills.

The same simple things I teach my 10 year old girl when she's making a phone call next door to see if her friends can play, also apply to professional phone calls.  Things like:

Say hello, and introduce yourself:  "Hi, this is Joe Michalski of Sherlock Homes Inspections..."  Don't make people guess who you are - it isn't a game show.

If you are leaving a voice mail message, make it useful: Give them your name, reason for your call, and a number to return the call.  I can't tell you how frustrated I get with people who just leave "Hey, it's..... call me back when you can."  (The only acceptable excuse for this is when the news is too big or the issue to o personal to be broken by voice mail.)

And The Biggie - If I found it important enough to leave you a detailed message, RETURN MY CALL!!!

I have watched my wife make 15-20 calls on any given day, and have to leave several voice mails to schedule showings, inquire about a home, etc on behalf of her clients.  I don't fault Realtors (or anyone) or not answering the phone all the time.  Everyone needs personal/family time.

But I am appalled at the total lack of professionalism I see.  Of those approximately 10-12 messages she left for other Realtors last weekend, 4 called her back the next day, 4 more she chased down with multiple follow-up calls over the next 2 days, and the others never bothered to return the call

I just can't understand that.  It's not like these people are on vacation, or trapped under something very heavy and can't get to their phones.  They just ignore you.  It's a simple courtesy.  It's good business.  It's 50% of the social convention we call communicating!!!!!

I learned my phone mannerisms and habits early in life, and adapted them to my business with the help of Russel Ray (an inspector in San Diego) who always answers his phone, and always calls back.  I adopted the same philosophy, except I have set small limits on when I will answer (not during an inspection, and not after 10 PM - my wife gets annoyed).   But if you call you will always get me or recieve a prompt return call.

I have had clients choose me solely because I was the only one that answered the phone personally or returned their call promptly.

To be sure, there are calls I'd rather not make and people I'd rather not talk to.  There are clients who make me regret my free phone help-line policy (I will talk to any client about their house-related questions even years after they have moved in).

But returning a call is so simple - even if just to say "Sorry, that property is already under contract" or "I got your call and I will work on getting you an answer."  I can't understand anyone in our business who doesn't do it as a matter of habit.

OK - I feel better now.  Off to return last night's calls.....

Joe,

We spend so much time and energy to market ourselves to simply get people to CALL US!!! So it makes perfect sense we ignore our phone when it rings, never return the calls and then spend more money to get other people to call us...

...we are such funny creatures...

Joe, I can see where you are coming from. This is very frustrating when other agents don't return phone calls. Common courtesy!

I wholeheartedly agree.  Multiple calls to listing agents who are depending on me to get my buyer financed so they can get their check at the closing table is mind blowing.  Are some of these people for real?

Not returning calls is my number ONE pet peeve, really! how hard is it!?! It is annoying because when they don't return your call you have to 'remember' to call them again, and again, and again - i sometimes feel like I'm babysitting just to get a simple answer.

Thankfully most agents in our area WILL return calls promptly..  you always know the ones that won't, and know you'll have quite a time getting an appointment to see their listing.    Then six months later the listing is still active.    How do these guys stay in business ... or even earn a living?   Part of representing your seller is to make every effort to sell the property.   I'm always excited to hear from the hard working buyer agent who has a potential buyer for one of my listing!  You bet I call them back!

Good agents (or inspectors) get lots of calls. GREAT agents (or inspectors) return lots of calls! I'm with you here. i won't answer when I'm with a client (that's their time), but I'll return it ASAP. These people are doing such a dis-service to their clients! Not sure what they're thinking.. Thanks for the reminder!

I have this problem all the time.  I'll make a call, tell my client I made the call, then wait for the agent to call back.  Sometimes it'll take 3-4 days to convey the same information I could share in a 60-second conversation.  The lack of professionalism makes me wonder how those people stay in business.  Who exactly do they call back promptly?

Successful Realtors in my area return calls pretty promptly.  If I am trying to make appointments and cannot get through I leave a message, then I email them with the request.  I believe it is essential to return phone calls promptly, even if I have a missed call and they have not left message, I call the number on my cell, say who I am and that I see they called, how may I help them.  It usually always works, and people are happy I took the time.  I have even connected with a new client this way as they were surfing numbers to see who could answer their questions.  I called back.

Well said Joseph. This is my pet peeve also. I also cringe when I witness people in my own office ask the receptionist to send someone to voice mail because they don't feel like talking to them. Just pick up the phone and deal with it.

Good that you fell better now Joe. I so agree to the point of this post. Returning calls, and mails is a huge part of being a professional. It is indeed all about respect for the other person's effort of reaching you.

I agree with you, Joe!  On the loan side, I have trouble getting responses out of insurance agents from whom I need homeowner's insurance quotes and coverage documents as well as from title companies.

Just this week I had to leave a very 'not so pleasant' message for an attorney, whom I work with ALL the time.  I had sent her 3 emails and left 2 voicemails within the past 7 days......with no response!!!  I was getting worried, we have a closing scheduled for this Friday.....where is she???  So, I called her office and left a message and made it clear that I was NOT happy.  Did she call me back?....nope, but she did send me an email.  I think she was avoiding getting an ear full from me, so she opted for the email response.  I, for one, expect a return call with 24 hours of leaving a message.

This is also a pet-peeve of mine because it lacks professionalism.  Like you, I tought my children proper phone ettiquette and my friends often commented on how professional they sounded and offered to hire them.

I totally agree.  This is one of my biggest pet peeves as well.  I have also noticed that along with a lack of courtesy around not returning calls, people have also had issues with understanding what are appropriate times to text or call.  I'm getting texts and phone calls between 10pm and midnight these days.  Who does that?!!?  Is there no upper limit on what is an appropriate time to call anymore?  I remember when 9pm was the firm limit.  No more!

Thanks for the great post!
