So, the burning question! Which system do I recommend...?

Well, I'll tell you what I use and therefore, feel comfortable recommending. It's not the only option, obviously; there are gazillions of (well, maybe a few dozen) real-estate-specific contact managers, and I'm sure some of them are fabulous (and I'm equally certain that some of them aren't).

Let me disclaim that I'm not an expert on contact management from a choose-the-best-one perspective. However, I am a bit of a power user of the two "jobs" I believe a contact manager should do well, and I have test-driven enough systems to know that all CMS's are not created equal in performing those two jobs (to read about the two "jobs" I think a CMS should do well, go here.)

I'm using and loving Ixact Contact. It's a Canadian company, but I haven't found anything in it that makes it "foreign" for USA'ers. It does (almost) exactly what I want it to do, (almost) exactly how I want it to do it, without much muss, fuss or extensive learning curve. I've been using it about two months now and have only found a few issues to, complain about gripe about mention to Ixact Contact management, some of which they've already addressed and others are on the list to address. But even these issues are pretty easily worked around in the interim.

What I like about Ixact Contact (well, one of the things) is that it does a lot of things without doing A LOT of things if that makes sense. No, it probably doesn't, so allow me to explain.

Anyone who has used Top Producer is aware of its steep learning curve. But once you've mastered the program, you probably love it because TP will do almost ANYTHING you can think of, if you can just figure out how to make it do it. But that's a big IF for most users. A huge IF. And many new Top Producer users throw up their hands in frustration after a few hours of messing with the program and kick themselves for agreeing to a one year contract on a program they don't understand.

Well, Ixact is what I call "Top Producer OFF Steroids." It does a lot of things, but not so many things that you can't figure out how to do the basics. As a former Top Producer power user, I do get a little befuddled occasionally with Ixact because it doesn't do some obscure thing I want it to do, but I'm realizing that's part of the beauty of it.

Anyway, I've gotten rave reviews from the agents I've sent to Ixact Contact, so I feel pretty good recommending it to anyone who doesn't yet have a contact management solution they're happy with.

I'm waiting on the new Keller system.  I'm not thrilled that it is not optional, but it makes little sense to pay twice for something.  I just hope its good - since I'm not given an opt-out.

So many agents have mentioned the upcoming KW system (obviously, KW agents!). It would scare me to commit to (and learn) a system that would be lost to me if I left the company. That's why I never fully embraced the one RE/MAX provided. You just never know how much of your information will be exportable and then you're stuck learning a whole new system OR losing all your information if you leave abruptly.

Hi Jennifer - THANK YOU!  THis has been my conundrum as well.  But i have opted for so many "outside" options and there is just so much I can do in that department.  I have to pay for the system anyway.  My feeling - for what it is worth is that I will have to import everything to excel like I have it now.  I'll keep it simple and just keep the essential information on it and if I decide to leave - work to import all the most saliant information - by hand if necessary before departing.  I'm not wild about the way this is being done.

Right now I have the system set up as one Excel page per month - what I've signed them up for and what contacts I have made with them.  I am generally only working actively with about 10 people at once and I have about 450 in the database in the form of contacts, past clients, etc.

It will be the past clients, friends and current clients or people that I'm in my most active mode with that will require the work.  But most are on something of autopilot. 

I think keeping the basics on Excel will give me a comfort level.

Jennifer - Thank you for sharing.  I currently use Wise Agent but each CMS seems to make a person want more.  Although I love Wise Agent and all of the bells and whistles, I value your opinion and will check it out.  Thank you!

Thanks for the Ixact Contact, will check them out. It is a problem for me. We tried Realty Juggler and were very disappointed. Did not work for us.

Mike - I'm not really sure why Realty Juggler didn't do it for me. I certainly don't recommend against it - I just didn't get into it the way I did with IXACT. Real helpful, I know!

Good information.  I am looking for a crm that is cloud based,  I am a Keller Williams Agent and afraid of all the eggs in one basket.  Love the KW technology though just don't want to have everything in one basket so to speak.  I'm looking at wise agent and Ixact.  I don't like the so much per transaction though after 1000.   I can see that getting very expensive down the road.
