Going Paper-Less Challenge.... Can It Be Done? | It's Not Easy Being Green

                     paperless

Hi everybody
paper smiley,

Does your office look like this one up above? ..................Well does it?

If it does well then I think it's time you need to start a Green program of trying to implement some paperless programs into your office and business ... or at least start to declutter... I digress....

It Aint Easy Being Green.....

The Office

In the past few years because of Adobe Professional and Scanners and programs like Drop Box we have been able to do business with clients across America without paper.... practically....

Let me explain.

For example, one of our last transactions was from a client who lived out of state who owned a condo in our area, was renting it and needed to sell it.

The lease was ending soon and the tenants were moving out.

First off, they found Lisa and I on the inter-net most likely because of Active Rain and our other sites that we have in place.

They wanted a high tech husband and wife team because they liked the idea of having two agents that were married service them and it was a perfect match. It was something they preferred...

Hooray for us....

Ok,

We drew up a Listing contract in Word and then proceeded to convert it to a PDF file form of the contract. We then emailed the PDF file version to the sellers.

They then signed it on their end and eFaxed it back to us. So far only only one person had to print it out onto paper.

We then listed the property and it sold rather quickly I might add/brag.

Pricing it right is still key in our market as I'm sure it is everywhere...

The agent who brought in the buyer of this condo was also technically savvy for a better word, so this made things easy.

The buyers agent EFaxed me his signed by the buyer contract to me then I forwarded that to our sellers.

Ok hang on I'm almost done....

The sellers then signed and EFaxed back to us which I forward to our office admins and the attorneys involved.

The attorney's then forwarded that email to the condo association for review. All of this in record time.

Our admins in our office never looked like this picture below and they love us for that as well.

That's one way we have tried to make it a greener world this year.

paperless

In these days of technological advances in the Real Estate Industry, we as Realtors®  need to keep records.

Here in NJ like many other states we are required to keep all transaction records for a 7 year period.

For us to get rid of all our papers would be impossible I'm sorry to say but I do have all this "stuff" on my computers just in case of any disasters that could happen in the future... You never know.....

As well as a secure backup system to keep all of these files exported onto an external HD, so we are doubly safe.

For my upcoming sojourns into the more modern ways of transacting business and going greener, I have started using programs such as DropBox and will be looking into Docusign as well.

It's an investment into the future as I see it...

Going green now more then ever is imprortant and I am always on the lookout for more ways to do this.

These are some of the things we will be looking into this year to help us achieve a greener transaction.

  • We send out our ecards through the Jaquie Lawson website.  A very Classy organization I might add.

Thus cutting down on snail mailing marketing and using no paper at all.

  • We will be looking into programs such as Docusign and start to use Cloud Based programs such as Drop Box

  • We are also going to be implementing some new technology coming form Microsoft hopefully in the near future.. More to come on that when/if it gets released.

Last but not least for Marketing we will be putting more QR Codes into our listings as the popularity of this phenomenon continues to grow. We still don't see a good app for this on our Black Berry's but I have heard the I-Phone has a good one so the testing continues...

    And technology grows and grows......

As long as we can keep ahead of this curve and adapt to the changes without harming our planet anymore we are all for it...

Don't let your office get to look like this one.....arrow

Messy Office

Now I'm off to go do some cleaning. This post has inspired me to do some Green Spring Cleaning.....

Cmon Spring.....

go green

Good point.  I think until the title companies get on board there is going to be a lot of paper floating around.

I should have guessed you would use Jackie Lawson, I get very good feed back from clients using her cards. Paper less is slowly becoming my reality.

The QR codes I still don't quite understand. I have one but not quite sure how to use effectively.

Richard - I'm right there with ya... Title companies and some old school lawyers are still  only using fax machines as well. Can be very frustrating dealing with them on a digital level... Oh well... Guess we gotta do what we gotta do...thanks Richard

Maria - I have been using Jaquie Lawson cards now for many years ... love em... so do my clients... nuff said?

as far as qr codes it's still up in the air about these I think and it could go either way but I'm thinking they will catch on when the apps for our phones catcht up to them...

Robert, that's a lot of paper images, I can just imagine the shredders going crazy on day 1 and 2 of the beginning of the 8th year making confetti. At least being paperless, it's a touch of the delete button. Nice post.

Great Post.  Like what you said, someone in the transaction chain will be printing out what you emailed them. I am doing my part by using my Ipad in all my contracts and showings and that has helped tremendously in cutting my paper usage.
