How Important is your Database? Think Inside the Box!

How could I resist a post about such an important factor of our business.  How important is your database?  Might be the most important tool you have.  A database is nothing more than "Text-in-a-box" if you're not using it properly.  There are so many programs out there today, the question is, which one is best for you?  Here's my take on the different database applications and what they can do to help or hurt your business!

Let's start with a few of the common one's we are all familiar with:

 Outlook - Now if Bill Gates would have known how Big this application was going to be, he probably would have named it "Lookout" instead.  I personally use Outlook as my database manager for all my contacts, appointments, email, tracking, follow-up, and mail merges and marketing campaigns. It does what I need, and more.  I use the Journal for keeping all my notes, emails, and correspondence tied to an individual contact.  I currently have over 2035 contacts, but that's 20 years of business in two different states. I like that Outlook works seamlessly with Word, Excel, Access, and Power-Point as well.  From a Realtor or Lenders perspective, it's a great contact manager, but was not created for Loans or Property information. There are ways to create and modify Outlook, but might be a little time consuming and costly.

Secret to Real Estate Success

 Top Producer - A great "All Around" database and contact management system, but I think it's a little to complicated and expensive for your standard Agent who has little or no technical skills.  $30-$40 dollars a month, every month, and there is a whole lot to learn.  I am a certified trainer for Top Producer Systems, and I still can't get my arms around everything that it can do. Then you start adding all the other modules like Top Connector, and Hot Marketer, and the next thing you know, you're on the computer all day learning instead of out selling and helping your clients! One of the many key benefits to TP7i is that it was designed for REALTORS® by REALTORS®.

 ACT -  Used to be my favorite application.  I used Act and Q&A from 1991 to 1998 and was very pleased with it's performance. I liked how you could modify your views and screens to be exactly how you wanted them to look. You could even modify the field names and import data from public records with little or no effort at all.  I also love the alarming tool in ACT.  It's like a hand would reach out of the screen, grab your neck, and start shaking your head to prompt you of any appointments that day. (ok I exaggerate a lit'l)

 AgentOffice - Like Top Producer, Agent Office is a feature rich application that has so many tools that most agents never even use.  I like that you can multi-task with multiple windows open at the same time, but unless you invest the time to really learn it's features and all it can do, you might want to consider something a little more simple. It really depends on your needs and your business.  Many agents have assistants who whiz right through this stuff so the "Whys" and the "How-to's" are not really an issue. It does have a great graphical user interface and is fairly user friendly.

Goldmine
- In the early 90's, many of the loan officers used to work with Goldmine.  In fact the whole Bank of America in my geographic area used Goldmine because of it's interface with their loan origination software. I only know a few REALTORS® that were using it, and as I recall, it came up a little short of their more simplistic needs.  I like that Goldmine has stayed in the game, their website shows some great stuff which tells me they may still be a player in the race to be the best.

A Different way to Build your Database

 

The power and credibility from any good post really comes from the comments of members like YOU! :-)  What database do you use? What features do you look for and use the most?  Do you mail merge, create postcards and flyer's, schedule appointments and create marketing campaigns with follow-up plans?  Do you just put Birthdays and Anniversary's with an occasional farm area or geographic neighborhood?  Are you using your database to cross reference sellers and past clients to potential buyers?  What about your referral business? 

If the goal is to ultimately work by referral, which database gives you the most return with the least amount of effort or learning curve? Are you building your database to sell one day when you retire and can collect a pension from it the rest of your life? If so, better pick a good one, maybe even update from what you're currently using.

I would always recommend that you do a thorough needs analysis before spending any time or money to learn a program  that you're not 100% happy with.  I hope readers can come away with a better understanding of what they want in an application and why?!?  Just look at some of these members posts!!  Many need our help and not just with their databases either!!  I'm here to help, are you?

BRAD: Excellent post about those that are still making decisions on which database to use. I still have     TP7i, but I'm in the process of switching over to Outlook permanently.  My opinion is that Outlook makes the most sense for the reasons that you mentioned, the most important being the seemless use of Microsoft's other programs.  It's also the program that most of us keep open, so it's not something that you think about.  It's just there.  Thanks for passing on your knowledge of each.

I tried Top Producer, and I'm a total computer techie geek. I hated it. It ran slow, and was way too convoluted for me. In the end, I used it 5 months then dropped it. They really hassled me, too when I tried to cancel. It was not a pleasant experience and would tell everyone signing up for it to use it hard the 1st month, and cancel quickly if you don't like it. Don't let it drag on.

Brad - I'm ashamed to admit that I don't even have a database.  :(    I don't keep track of clients, referrals or anything else.  Admitting that you have a problem is the first step to redemption right???

I'd like to add one that I've just started testing, and seems promising: RealtyJuggler. It's web-based, works in (as far as I can tell) all browsers, and seems to have the functions we all need.

I'll post my own review of it shortly. But aside from aesthetics and a few things that strike me as operational oddities, I'm impressed. And the price is good too.

Hi Brad, I have used TP since 1995 and once they went to 7I I really stopped using it because I found myself more in Outlook than any other program.

My question is, which I haven't tried yet, can I export my contacts from TP and import them easily in Outlook?

Dumped TP 7i.

Too slow.  Too clunky.  Too time-intensive.  Too much down-time.  Web-based, which is a negative to me.

Decided to stay with Outlook 2003.  I own it free and clear in Office Professional 2003. 

Might look at Outlook 2007.

I'm rather surprised that there is no mention of true relational database programs here (Access, Oracle, FileMaker Pro, Openoffice.org-Base).  While these programs offer database functionality, they aren't set up for users to be able to program themselves and create data that is important to how they run their own business.  I have used MS Access for years and love it.  I am only recently changing over to  FileMaker Pro because it supports both the Mac and PC platform.  OpenOffice offers Base as another great database program, and totally free to use, as well as support for multiple OS platforms.

I'm not trying to be critical here, just wish more people would learn about true DBMS software and how easy (and fun) they can be to use

Robert - ACT and Outlook are both great programs. The others are great too, but taking time to really evaluate all that are available is crucial to the success of an individuals choice.  Research and advice from others is very important to those who are truly in need of making this important decision for their business.  You should go with the program that will best suit your needs, I know you know that already.  :-)

Jay - in answer to your question, YES, you can export your contacts out of TP7i and import them into Outlook. There will be some data loss unfortunately, but it can be done.  You should always backup your database in any program that you use, but TP7i's backup process is only for their application. You'll need to export using a .csv or .txt file format. Those will work best with Outlook when it comes time to import. There are fields of data in TP7i that don't exist or don't have a place in Outlook, so be careful when mapping your fields, this is where the data loss can take place. I would contact TP7i for support on how to best do that if you haven't left them already. If not, there are FAQ's and support documents to help you with that. If all else fails, just remember that "The Escrow Guy" is here!!  :-)

David - I love Filemaker Pro for both PC and MAC!  I also have done some database creation using Access.  If you are comfortable with designing and creating DBMS, these are as good as it gets. I think the average industry professional in our business neither has the time or the wherewithal to run these types of apps.  I certainly think they are the most powerful and database applications, they just might be a little over the heads of those in this arena. I knew someone would comment on these, thank you, I'm glad you did.  This post is very young, let's see what else it pulls out of the membership!  :-)

Faina - sounds like my story back many years ago. Love ACT but everyone in my company and most my clients and friends are on Outlook. I also use a TREO 700p which keeps my Outlook and TREO syncronized and it does it wirelessly. (if that's a word, spell check doesn't seem to think so! LOL!) 

To upload to outlook, you just need to synchronize the two.   There is documentation to do that at MyTREO.net, or you can go into your active-sync manager and set it up. Thanks for sharing your comment on this post! :-)

Pat - I too use just a small portion of Outlook, but only because my use of the program is not the same as a REALTOR® or Lender.  I do use many features of Outlook, an think it's a great idea to do some web-conferences or a Video Chat Educational Series.  I may put something like that together at my TechKnowBabble or AgentAssist Blog someday soon. I tried Outlook, but just couldn't get used to it.  I manage to stay organized most of the time,

Gail Gail Gail, never be embarrassed for using outlook express. The difference is th same as going to an ATM machine vs walking into the bank.  You are limited to what you can do with Express compared to what you can do with Outlook's Full version. It really depends on your needs and how you want to use the software for your business. You can research Outlook on the web and see if it will do all the things you need. HP even offers free training on their website. I can give you tons of reasons to use Outlook, many of them are listed here in this post and also in other members comments!  Let me know what else I can d besides give you a "Kick in the REAR", I'm not the right guy for kicking anybody! LOL!  :-)

Brad-  thankyou, this was a very timely post for me.  I have been agonizing over which program to use FOREVER, and was starting to lean towards Top Producer, after sitting through the spiel.  It looks like Outlook is where I need to be, although the first time I tried it a couple of years ago, I couldn't get used to the look of it.  Also, TP and AgentOffice appealed to me because of the different follow-up programs you can choose from.  Lazily, I would prefer to not have to sit down and write a bunch of form letter to create my own campaigns- who has time?

I currently use both ACT and Outlook.  They integrate well together.  I use Outlook primarily for it's e-mail features and ACT for scheduling, mail-merge and database features.

Brad, I use Outlook on occasion. I have used Act in the past and find it very slow. When Goldmine came out I used it all the time. When I worked for a different company...they utilized it all the time. I still have my data base and an older version in my file cabinet. I also have agent office..although I find it an interesting program sometimes it is hard to keep up with it. Never cared for Top producer. It is all about what works for your business.

Sandi - you are very welcome. Timely is good!!  :-)  I'm not sure you can ever find a program that you will use FOREVER, but I know Microsoft will be around for a long time to come.

You do make an interesting point about the marketing campaigns and follow-up modules in TP and AO.  The letters and plans are already created which makes them both very tempting and viable applications.  The fields are also setup for your business like Beds, Baths, Sq Ft, Yr Built, Transfer date, Sales Price etc.  Other programs have to be modified or customized to achieve the same results. I would go with the one that's right for you.  There is no program that is bad unless it just doesn't accomplish what you need it to.  Evaluating all the applications available is really the very best thing you can do to make the right choice of which one to use. Only you can make that choice, but I hope the comments here will re-enforce your final decision. :-)

Brian - I understand why MANY use TP and it's for that very same reason.  If you understand how to use the different modules, and all the features TP has to offer, it can be a wonderful asset to your business.  There are so many features that I think most just get overwhelmed and don't know where to begin.  As a consultant and certified trainer for TP systems, I have seen first hand the benefits, but also the frustrations. Linda - thanks for your confirmation of this post.  It has already been very useful in helping some members look at what's available, and which direction they want to take their DBM systems.  This is not to lean anyone in any particular direction, rather to educate and help them make a choice as to what's right for their needs. Diane - I hope you'll get enough information and re-enforcement from this post to help you make whatever decision it is you need to make.  I'm sure this post will live on for quite some time.  Database and contact management systems play such an important role in the success of one's Real Estate Business.  It's not just Real Estate that needs good database management, it's all the related industries!  Lenders, title companies, appraisers, home warranties, etc.  Without a good database management system, there's no way to grow, track, market, or follow-up with existing and new clients! They are a MUST to ANY successful business!!  :-)

Neal - WOW! You have used them all too!  You could have written this post and probably should have. LOL!  So which one do you use now?  Are you primarily using Outlook to manage your "very successful" business? I would be curious which program you spend the most time in to get your desired results?  Having the knowledge you do about each of these programs can be very helpful to the other members here, thanks for sharing Neal!

The thing some of you are over looking is I can work with someone as a buyer take pictures of here house and input all the data. Then say 2 years later they want to list with me. Guess what I have all their information already. One click and they are in the MLS from top producer. Thats a long term plan to stay in business.  also take a look a market snapshot Sorry to say this but the agent with he wow factor is going to be way ahead of he game.

We use Top Producer 7i and like it for the most part. We log the contacts we get on a property, along with our marketing efforts and make those available to our clients through the client service websites you can set up with Top Producer. Our clients LOVE it! Many of our clients check the site daily and they feel more involved with the sale of their property. We still communicate regularly with our clients but the client service aspect of Top Producer is hard to beat.

We also perform a lot of mailings from Top Producer which is great. We did switch back to Outlook for email however because the email component of Top Producer is not very effective. It seems to work for us, at least for now.

I personally prefer Outlook because it came with my laptop and it syncs with my Treo.  I've tried AgentOffice and thought it was too clunky and slow.

Brad - that is the really sad part.  I don't keep in touch with anyone I've ever done business with.  I never keep in touch.  I'm like a fair weather friend.  I really have to get a better system and start  to take  using the contacts I've made.

Jeff - TP definitely has a WOW factor!  Some say WOW I LOVE IT, and some say WOW, It's not for me.  And that's really ok, this is not to sell any one particular application, but to create a forum where members and readers can come to get educated and make their own decision. Mark - that's a great point. No matter what database you use or decide to use, BACKUP is the #1 most critical thing you need to do. It's happened to all of us at one time or another and if it hasn't....it will! Great point and I thank you my friend!!  :-)

I used act for a couple of years but I love Outlook.  I use it for everything including reminding me to take my meds twice a day.  I have it on my Treo and I never find myself without a phone number or an address.  I even have the gate codes to the many gated communities I serve.  Yes my data base is important, I use it every day.
