How could I resist a post about such an important factor of our business.  How important is your database?  Might be the most important tool you have.  A database is nothing more than "Text-in-a-box" if you're not using it properly.  There are so many programs out there today, the question is, which one is best for you?  Here's my take on the different database applications and what they can do to help or hurt your business!

Let's start with a few of the common one's we are all familiar with:

 Outlook - Now if Bill Gates would have known how Big this application was going to be, he probably would have named it "Lookout" instead.  I personally use Outlook as my database manager for all my contacts, appointments, email, tracking, follow-up, and mail merges and marketing campaigns. It does what I need, and more.  I use the Journal for keeping all my notes, emails, and correspondence tied to an individual contact.  I currently have over 2035 contacts, but that's 20 years of business in two different states. I like that Outlook works seamlessly with Word, Excel, Access, and Power-Point as well.  From a Realtor or Lenders perspective, it's a great contact manager, but was not created for Loans or Property information. There are ways to create and modify Outlook, but might be a little time consuming and costly.

Secret to Real Estate Success

 Top Producer - A great "All Around" database and contact management system, but I think it's a little to complicated and expensive for your standard Agent who has little or no technical skills.  $30-$40 dollars a month, every month, and there is a whole lot to learn.  I am a certified trainer for Top Producer Systems, and I still can't get my arms around everything that it can do. Then you start adding all the other modules like Top Connector, and Hot Marketer, and the next thing you know, you're on the computer all day learning instead of out selling and helping your clients! One of the many key benefits to TP7i is that it was designed for REALTORS® by REALTORS®.

 ACT -  Used to be my favorite application.  I used Act and Q&A from 1991 to 1998 and was very pleased with it's performance. I liked how you could modify your views and screens to be exactly how you wanted them to look. You could even modify the field names and import data from public records with little or no effort at all.  I also love the alarming tool in ACT.  It's like a hand would reach out of the screen, grab your neck, and start shaking your head to prompt you of any appointments that day. (ok I exaggerate a lit'l)

 AgentOffice - Like Top Producer, Agent Office is a feature rich application that has so many tools that most agents never even use.  I like that you can multi-task with multiple windows open at the same time, but unless you invest the time to really learn it's features and all it can do, you might want to consider something a little more simple. It really depends on your needs and your business.  Many agents have assistants who whiz right through this stuff so the "Whys" and the "How-to's" are not really an issue. It does have a great graphical user interface and is fairly user friendly.

Goldmine
- In the early 90's, many of the loan officers used to work with Goldmine.  In fact the whole Bank of America in my geographic area used Goldmine because of it's interface with their loan origination software. I only know a few REALTORS® that were using it, and as I recall, it came up a little short of their more simplistic needs.  I like that Goldmine has stayed in the game, their website shows some great stuff which tells me they may still be a player in the race to be the best.

A Different way to Build your Database

 

The power and credibility from any good post really comes from the comments of members like YOU! :-)  What database do you use? What features do you look for and use the most?  Do you mail merge, create postcards and flyer's, schedule appointments and create marketing campaigns with follow-up plans?  Do you just put Birthdays and Anniversary's with an occasional farm area or geographic neighborhood?  Are you using your database to cross reference sellers and past clients to potential buyers?  What about your referral business? 

If the goal is to ultimately work by referral, which database gives you the most return with the least amount of effort or learning curve? Are you building your database to sell one day when you retire and can collect a pension from it the rest of your life? If so, better pick a good one, maybe even update from what you're currently using.

I would always recommend that you do a thorough needs analysis before spending any time or money to learn a program  that you're not 100% happy with.  I hope readers can come away with a better understanding of what they want in an application and why?!?  Just look at some of these members posts!!  Many need our help and not just with their databases either!!  I'm here to help, are you?

BRAD: Excellent post about those that are still making decisions on which database to use. I still have     TP7i, but I'm in the process of switching over to Outlook permanently.  My opinion is that Outlook makes the most sense for the reasons that you mentioned, the most important being the seemless use of Microsoft's other programs.  It's also the program that most of us keep open, so it's not something that you think about.  It's just there.  Thanks for passing on your knowledge of each.

I tried Top Producer, and I'm a total computer techie geek. I hated it. It ran slow, and was way too convoluted for me. In the end, I used it 5 months then dropped it. They really hassled me, too when I tried to cancel. It was not a pleasant experience and would tell everyone signing up for it to use it hard the 1st month, and cancel quickly if you don't like it. Don't let it drag on.

I'd like to add one that I've just started testing, and seems promising: RealtyJuggler. It's web-based, works in (as far as I can tell) all browsers, and seems to have the functions we all need.

I'll post my own review of it shortly. But aside from aesthetics and a few things that strike me as operational oddities, I'm impressed. And the price is good too.

Hi Brad, I have used TP since 1995 and once they went to 7I I really stopped using it because I found myself more in Outlook than any other program.

My question is, which I haven't tried yet, can I export my contacts from TP and import them easily in Outlook?

Dumped TP 7i.

Too slow.  Too clunky.  Too time-intensive.  Too much down-time.  Web-based, which is a negative to me.

Decided to stay with Outlook 2003.  I own it free and clear in Office Professional 2003. 

Might look at Outlook 2007.

I'm rather surprised that there is no mention of true relational database programs here (Access, Oracle, FileMaker Pro, Openoffice.org-Base).  While these programs offer database functionality, they aren't set up for users to be able to program themselves and create data that is important to how they run their own business.  I have used MS Access for years and love it.  I am only recently changing over to  FileMaker Pro because it supports both the Mac and PC platform.  OpenOffice offers Base as another great database program, and totally free to use, as well as support for multiple OS platforms.

I'm not trying to be critical here, just wish more people would learn about true DBMS software and how easy (and fun) they can be to use

Julie - it's easy to lose sight of the basics with so many tools and so much technology out there.  Finding what works best is an individual thing.  That's why they make Volkswagens and Cadillacs. LOL! :-)

Robert - ACT and Outlook are both great programs. The others are great too, but taking time to really evaluate all that are available is crucial to the success of an individuals choice.  Research and advice from others is very important to those who are truly in need of making this important decision for their business.  You should go with the program that will best suit your needs, I know you know that already.  :-)

Like Erica,  I tried Top Producer which for me was time consuming.  To much work to do simple tasks just did the trial version tho.  I have not tried anything since and will stick with outlook.

I guess my question is, how do you keep track and keep in touch with those you wish t continue to do business with, or how do you get referral business from those you keep in touch with?  I know some folks still use the ol recipe cards to keep track of clients, what works for you? :-)

Jay - in answer to your question, YES, you can export your contacts out of TP7i and import them into Outlook. There will be some data loss unfortunately, but it can be done.  You should always backup your database in any program that you use, but TP7i's backup process is only for their application. You'll need to export using a .csv or .txt file format. Those will work best with Outlook when it comes time to import. There are fields of data in TP7i that don't exist or don't have a place in Outlook, so be careful when mapping your fields, this is where the data loss can take place. I would contact TP7i for support on how to best do that if you haven't left them already. If not, there are FAQ's and support documents to help you with that. If all else fails, just remember that "The Escrow Guy" is here!!  :-)

Thanks for sharing what I'm sure many feel or have experienced.  This post was not created to Bash any one company or program, but rather to help those to make a choice that are in the market or considering a database application for their business.  I know you're not bashing TP, just giving your opinion and that's what I asked for. David - I love Filemaker Pro for both PC and MAC!  I also have done some database creation using Access.  If you are comfortable with designing and creating DBMS, these are as good as it gets. I think the average industry professional in our business neither has the time or the wherewithal to run these types of apps.  I certainly think they are the most powerful and database applications, they just might be a little over the heads of those in this arena. I knew someone would comment on these, thank you, I'm glad you did.  This post is very young, let's see what else it pulls out of the membership!  :-)

Faina - sounds like my story back many years ago. Love ACT but everyone in my company and most my clients and friends are on Outlook. I also use a TREO 700p which keeps my Outlook and TREO syncronized and it does it wirelessly. (if that's a word, spell check doesn't seem to think so! LOL!) 

To upload to outlook, you just need to synchronize the two.   There is documentation to do that at MyTREO.net, or you can go into your active-sync manager and set it up. Thanks for sharing your comment on this post! :-)

Pat - I too use just a small portion of Outlook, but only because my use of the program is not the same as a REALTOR® or Lender.  I do use many features of Outlook, an think it's a great idea to do some web-conferences or a Video Chat Educational Series.  I may put something like that together at my TechKnowBabble or AgentAssist Blog someday soon. Gail Gail Gail, never be embarrassed for using outlook express. The difference is th same as going to an ATM machine vs walking into the bank.  You are limited to what you can do with Express compared to what you can do with Outlook's Full version. It really depends on your needs and how you want to use the software for your business. You can research Outlook on the web and see if it will do all the things you need. HP even offers free training on their website. I can give you tons of reasons to use Outlook, many of them are listed here in this post and also in other members comments!  Let me know what else I can d besides give you a "Kick in the REAR", I'm not the right guy for kicking anybody! LOL!  :-)

Brad-  thankyou, this was a very timely post for me.  I have been agonizing over which program to use FOREVER, and was starting to lean towards Top Producer, after sitting through the spiel.  It looks like Outlook is where I need to be, although the first time I tried it a couple of years ago, I couldn't get used to the look of it.  Also, TP and AgentOffice appealed to me because of the different follow-up programs you can choose from.  Lazily, I would prefer to not have to sit down and write a bunch of form letter to create my own campaigns- who has time?

I currently use both ACT and Outlook.  They integrate well together.  I use Outlook primarily for it's e-mail features and ACT for scheduling, mail-merge and database features.

Brad, I use Outlook on occasion. I have used Act in the past and find it very slow. When Goldmine came out I used it all the time. When I worked for a different company...they utilized it all the time. I still have my data base and an older version in my file cabinet. I also have agent office..although I find it an interesting program sometimes it is hard to keep up with it. Never cared for Top producer. It is all about what works for your business.

Jason and Deanna - Outlook is a fantastic contact manager not to mention all the other great features and benefits. I know how many TP7i users feel, I have spent countless hours doing the training and support for their systems and yes, either agents hate it, or they love it.  It's all about preference! Thanks! :-)

Sandi - you are very welcome. Timely is good!!  :-)  I'm not sure you can ever find a program that you will use FOREVER, but I know Microsoft will be around for a long time to come.

You do make an interesting point about the marketing campaigns and follow-up modules in TP and AO.  The letters and plans are already created which makes them both very tempting and viable applications.  The fields are also setup for your business like Beds, Baths, Sq Ft, Yr Built, Transfer date, Sales Price etc.  Other programs have to be modified or customized to achieve the same results. I would go with the one that's right for you.  There is no program that is bad unless it just doesn't accomplish what you need it to.  Evaluating all the applications available is really the very best thing you can do to make the right choice of which one to use. Only you can make that choice, but I hope the comments here will re-enforce your final decision. :-)

Brian - I understand why MANY use TP and it's for that very same reason.  If you understand how to use the different modules, and all the features TP has to offer, it can be a wonderful asset to your business.  There are so many features that I think most just get overwhelmed and don't know where to begin.  As a consultant and certified trainer for TP systems, I have seen first hand the benefits, but also the frustrations. Diane - I hope you'll get enough information and re-enforcement from this post to help you make whatever decision it is you need to make.  I'm sure this post will live on for quite some time.  Database and contact management systems play such an important role in the success of one's Real Estate Business.  It's not just Real Estate that needs good database management, it's all the related industries!  Lenders, title companies, appraisers, home warranties, etc.  Without a good database management system, there's no way to grow, track, market, or follow-up with existing and new clients! They are a MUST to ANY successful business!!  :-)

The thing some of you are over looking is I can work with someone as a buyer take pictures of here house and input all the data. Then say 2 years later they want to list with me. Guess what I have all their information already. One click and they are in the MLS from top producer. Thats a long term plan to stay in business.  also take a look a market snapshot Sorry to say this but the agent with he wow factor is going to be way ahead of he game.

We use Top Producer 7i and like it for the most part. We log the contacts we get on a property, along with our marketing efforts and make those available to our clients through the client service websites you can set up with Top Producer. Our clients LOVE it! Many of our clients check the site daily and they feel more involved with the sale of their property. We still communicate regularly with our clients but the client service aspect of Top Producer is hard to beat.

We also perform a lot of mailings from Top Producer which is great. We did switch back to Outlook for email however because the email component of Top Producer is not very effective. It seems to work for us, at least for now.

Jeff - TP definitely has a WOW factor!  Some say WOW I LOVE IT, and some say WOW, It's not for me.  And that's really ok, this is not to sell any one particular application, but to create a forum where members and readers can come to get educated and make their own decision. Mark - that's a great point. No matter what database you use or decide to use, BACKUP is the #1 most critical thing you need to do. It's happened to all of us at one time or another and if it hasn't....it will! Great point and I thank you my friend!!  :-)

I used act for a couple of years but I love Outlook.  I use it for everything including reminding me to take my meds twice a day.  I have it on my Treo and I never find myself without a phone number or an address.  I even have the gate codes to the many gated communities I serve.  Yes my data base is important, I use it every day.

Brad - I'm popping in (no time to read the comments to see if this has already been discussed) but what are your thoughts on salesforce.com?  i'm getting ready to embark on a customization for real estate...  any thoughts?  I've been struggling with the whole topic of CRM (running everything off of Outlook isn't working for me) ... sorry to be disjointed - am serving jury duty and time is limited for my online reading this week....

Darrel - looks like we are not unique.  Seems like a majority use Outlook and many have TREO's to sync.  I think any application is good if you're using it!  Outlook seems to be the dominant player, and TP is the next best one to consider. I met a gentleman yesterday who is considering going from Outlook back to Top Producer.  I'll be helping him make an evaluation to determine which one will really be best for him.  He currently uses an overlay or add-on that goes over his Outlook.  It's pretty cool actually!!  :-)

Just FYI Darrell - I keep everything on my TREO and in Outlook.  My entire life is on that Dog-gone thing!!  :-)

Jennifer - thanks for poppin in.  The question is, what are your thoughts on Salesforce?  I am not familiar with that one. Do you have more info on it?  Anyone who is interested can always go to the website you've provided to check it out. Brad - As always...EXCELLENT post! I hav to say there typcially aren't tons of blogs in a day that truly capture my attention. You meticulous way of creating a pleasing to the eye blog and outstanding content is key!

In re to the database subject...I must admit I use Outlook but Im sure not to it's truest potential. Handling our vacants and keeping track of when they expire, when to send out renewals for furniture rentals, etc probably isn't in there but I'm sure there is some way to make a reminder pop up with some work. I think i'm just wanting some program to do it all for me - HA! Not going to happen....darn!

Beth - Outlook can probably do more than you think regarding your pop-ups and reminders.  There are even some Real Estate specific overlays and add-ons for Outlook. I just got an email yesterday about a company called Pinpoint something...let me go get it, I'll be right back with the URL...

Ok, I'm back...hahaha!  It's called Pin point tools.com and it's specifically for RE and Outlook!  Might want to check this one out, it looks pretty good, especially if anyone is already using Outlook!

Hi Brad - like a number of posters (yes, I read ALL the comments!) this is timely.  I have used TP for probably 3 years - and never like I should.  I did find the applet loading time consuming (my ADD can't take it!) and there was so much to learn that I just did the basics.  At 40/month - realized a few months ago I could have purchased an Outlook Add-in or upgraded to most recent and saved money in the long run!  So I bit the bullet last month and upgraded to Outlook 2007 w/biz contact manager.  Heck of a learning curve, there is SO much to it - but the possibilities are endless! Just today I discovered I can set up links to various emails to hook into "accounts". Yeah, I have to improvise, but it's my system, so I can set things up as I like.  I just can't figure out why it gets hung up and I get error messages several times a day.....sigh.....I'll have to look into the pinpoint you mention above.

Liz - congrats on your upgrade!  Outlook with add-ons or overlays can be very powerful, but it's not what you have or know, it's what you implement!  I have heard of some other add-ons before, but this one above was just emailed to me yesterday.  If you do go with it, let me (us) know what you think. Cynthia - seems many have done the same as you.  I have seen many go to Top Producer too.  Now there is even mention of a couple programs I have never heard of.  Also, with add-ons and overlays, looks like Outlook might be the leader in our Industry.  I love posts like this that help people determine what works best for them. Not because of the post, but it's the comments that deliver the best advice. Thanks for being a part of this! :-)

So - have you switched from ACT to Outlook?  What about Action Plans? I've found Outlook is fine for basic contact info and calendars (syncs to the new iPhone) and I use it for traveling but haven't found anything I like better than ACT for our team. We need to know each other's schedules and combine notes on contacts.

Sharon - you really have your ACT together!!  :-) I understand why you use both, I have seen some new overlays that work well with Outlook, but there is nothing like ACT or TP7i for those action plans and follow-up campaigns.

Tried TP, but for me, using it was as enjoyable as a root canal. I even purchased the DVD because I wanted to give it a fighting chance since so many agents swear by it. Well for me watching the DVD was like being forced to listen to fingernails on a blackboard.

I feel so redeemed that I am not alone feeling Top Producer Angst! LOL!

Been using Outlook since. Thinking about getting an add on like Pat Zaby's RESPOND or maybe Outlook 2007 and this Pinpoint. Wonder how the learning curve is on these?

I have a client who is using Pat Zaby's RESPOND! His name i John, if you want to chat with him before you make a purchase, he might be able to give you some of his likes and dislikes regarding RESPOND. I just spoke to him about that today. John, if you read this, can you give Ginger and Roger a call?  I have not seen the pinpoint overlay, so not too sure what bell and whistles it offers. Thanks Ginger and Roger!  :-)

Brad -- Since you are a certified Top Producer trainer ... let me run this by you ... We have used TP7i for years now (it is too much trouble to change).  Yes, I know I can write custom letters ,,, but what the program doesn't let me do ... at least I don't think it lets me do ... is design custom reports.  You know, create custom fields, arrange the fields in my own way in the output....

Why would I want to do this?  Here's an example.  We have several rental properties.  I could add data about lease expiration dates, rent increase dates, repair requests, etc.... and create reports to help me stay on top of those things right in Top Producer instead of having to use different software for rental properties.

In fact, I would pay a little extra per month to have a custom report builder function.  Whenever I tried to ask this of anyone at Top Producer, I think it fell on deaf ears,  I get the impression most RE software vendors think RE agents are a little dull and we get treated accordingly.  :-(

Cheryl - I don't think it's deaf ears your request is falling on, I think it's their inability to provide what it is you need.  I know that with property management, it's a whole different ball game, TP 's vision I'm sure didn't include rentals and property management tools. You can keep your tenant and owner info there sorted by categories and such, but the reporting capabilities jus aren't there, at least the kind I know you're looking for. 

My suggestion: Do a post looking for the BEST property management tool available from other members, and see what pops up on the radar.  I know that using multiple programs is a pain in the rear...I almost said butt! LOL!  

The other option is to petition TP7i to consider a module for property management in their updates and revisions.  With enough comments from other TP users, I have seen this be very effective in the past. I can also put in a "supportive" word to their R&D team.  (not that they'll consider anything I say, since they're so big now). 

If none of these ideas work, there's always brainstorming time available, but you'll have to stop blogging for a bit to go there!! LOL!  

Send me what type of report you'd like to see based  on the fields that are available, and I'll see what I can pull together out of Top Producer.

Tom - AR is a great place to share ideas, network, and refer business.  There are great members and great information here.  You'll get out of this place ONLY what you put into it though.  Many come ad go because the just don't grasp the essence of social networking and how to utilize such a powerful tool that they don't understand.  That's part of what I love to do.  I love to help others, I love to network, and I love the business I get because it enriches those relationships, and it feeds my family! LOL!

I have heard a couple people mention it outside the blog, but they felt it was a bit slow and cumbersome.  I'm only going from here say and so be that as it may, I don't have any real feedback from direct sources.  Maybe someone who reads this comment will share their two cents!

We upgraded and I love it. It is different and some of our friends don't like change and can't handle some of the new feature designs.

Maybe you can take it for a test drive and see if you like it.

Only flaw I have is I sometimes get duplicate emails and once in a while I can't change profiles. I usually have to end task and then it will work. Our IT person at our office is working on a fix.
