woman with packagesOne of the common complaints you seem to hear about real estate agents is they don't answer their phones or they do not return calls promptly.

While that is, indeed, an issue no matter what market you are in, I have a pet peeve that I simply need to get off my chest.

It seems like such a small thing and goodness, why on earth would I get so upset, but it is driving me crazy.

Agents, when you call me, please stop for one second and consider what I may be doing during the course of my day.  I may be in the car driving (highly likely), or at a home inspection or walking down the street to the settlement company or walking into my office or one of a million other things. 

One thing I am usually not doing is sitting at a desk, waiting for the phone to ring, paper and pen in hand, ready to take notes.

So, please, when you call me, if at all possible, call me from the phone number you to which you wish the call returned so that all I have to do is hit "last call" or "missed calls" to get your number.

Particularly if we have a bad connection - it happens - and I cannot hear your name clearly, because if I hit "missed call" and get your office, I have no way of getting in touch because your name wasn't clearly understood on my voice mail.  So that's a call that doesn't get returned - at least it seems that way to you.  Of course, if you had called me from your cell phone, it doesn't matter if I have your name - I have your direct number.

If I am in the car, in particular, I can hit "missed call" and return your call in a nano-second.  If you leave another number for me to dial, well, hey, guess what, that ain't happening until I can write down the number - and who knows who long THAT can take. 

And I know that must be frustrating on YOUR end, because after all, you are just calling to ask a quick question about a listing and you sure would like the information sooner than later.

Hey, I'm happy to give it to you...but I don't drive and take notes, nor am I going to put down my armful of files on a busy street to stop and write down your phone number.  But in many instances, if you would simply call me from the phone number you want me to use, I could - and would - call you back right away.

Otherwise, it will simply have to wait.  And depending on what kind of crazy day I may have scheduled, it may be a while before I can get to it. 

So, help me out here...don't sit in your office, dialing on your landline, asking me to return the call to your cell phone.  Call me from your direct line or cell phone and make it easier on both of us!

How true is that. It is such a pain to listen to a voicemail and trying to write down another number to call back especially if the voicemail isn't clear.

Susan.. I have a quick work-around for this.  Make it a practice to inform clients and agents you work with that you will return calls ASAP.  With the understanding that it might take *some* time because the client you are working with takes precedence, and that the person calling will get the same attention and care when you are dealing with them.

Susan, great post that applies to clients as well. I have strict policy where I may not be able to take your that minute, but I will return your call no later than by the end of the day. I will return your call if you let me know where to reach you if I don't already know. Otherwise I have no way of keeping my promise.

Susan, I have had similar frustrations. There is an agent in our office who doesn't give out her cell number even to other agents. She blocks her number. Well, don't expect an answer until I get back to the office.

Sorry, Justin, your phone call is a request that I do something based on something you want. It might be something wonderful, like where do I send an offer (check the mls) and it might be yet another lame call about whether the property can be subdivided to put up a mini-mall (again, check the mls). Therefore you need to make it easy for me to get back with you with relevant information.

Between headsets and bluetooth speakers in cars, about half the calls from agents are unintelligle. And "hey's it's Mark, give me a call back" leaves me wondering whether it's yet another website marketer, a lender cold-calling agents or one of the other 43 Marks that I know.

Wow, everyone, a lot of great suggestions here:

Leave clear messages, don't rush through your phone number OR your name and give both at least 2x.

If you are calling for specific information on a property, how about giving a little bit of info in the message instead of just "call me."

My voice mail message - which I adapted from Fernando Herboso's voice mail message - basically says when I am with a client, they get 100% of my time and I will return the call as soon as possible. 

My beef is not with clients - they are all on speed dial and they are not the culprits - but rather with agents who are sitting in their office and want me to call them RIGHT BACK on their cell phone.  Sorry, I cannot always check a text message while driving or outside in bright sunshine (LOL), so the call has to wait.  And inevitably they are the agents who are snide about how long it took me to call them back. 

Now, what to do about those non-message calls we are expected to return?  LOL  Another post, right?

I do agree completely that when you are out and about, it's so difficult to call people back when they leave a voicemail and give you a long garbled phone number to reach them at.

That's a great post. Another good suggestion - instead of leaving me a longwinded message on my voicemail, send me a 1 line text. I will see that message quicker, and respond immediately, saving everyone time!

Exactly why I don’t make presumptions about why other agents don’t answer their phones, don’t return emails, don’t update the MLS, etc. I have no idea what might be going on in their lives.

Exactly.  When I do grab phone messages, I always grab both numbers.  The number the agent said (or, rather, the number I heard) as well as the number the call came from.  That way, if the former doesn't work, there may yet be hope.

Not always though.  If I have to go to plan B, many times I'll get a receptionist at a large office, and all I can say is "a woman called in the past 2 hours".  You can see that doesn't go far.

I wonder if anyone is teaching simple phone etiquette in schools?  I suspect not.

You must have hit a nerve here Susan! 60+ comments? I have a few issues with all this too. My biggest are agents calling from 'blocked' numbers. I never answer blocked numbers - let them leave a message and I'll call back. Could be sales calls or collection (!?##) calls? Just kidding... ;-)

Also, when my cell phone rings while I'm driving, well sorry, my life is a little more valuable than taking that call right now. I know what I'm like when I'm on the cell in my car....can you say inadvertant lane changes? Really! So I never take calls in my car..... So I can only hope they leave me a clear message so I can call back.

Susan:  This is such a huge problem, I've come to expect the discrpency between the number that one calls from and the one they want you to call back on.....The other bad thing is when agents have multiple e-mail address and phone numbers all over the internet and tell you "That was my old number", who knew and how many other clients did they miss out on because they didn't fix their number or e-mail after they changed it?

Susan, I've done that a couple of times mostly because the building I'm in has lousy reception.  But I'm certainly aware of this having to deal with many other agents doing the same thing...I'm much more aware now and considerate.

I am guilty of this because my cell phone gets such bad reception at home and in my office that I will usually call on the landline but leave the cell phone number as a call back.  The good thing is if the person hit last number dialed they'll end of with me anyway since I work in a small office.
