In the modern technology days, we rely much of communication via emails, text, ichat, blackberry messenger, video and other fun ways. In our market place here in Manhattan New York, everyone is very busy, always working, we usually communicate with our buyers and sellers through emails most of the time, but if the client's preferred method is telephone, we will set a time a aside to talk on the phone at their convenience.
Many times we also receive phone calls from other agents request to see our exclusive listings, we prefer to receive appointment requests by email, because most of the time we are on the street where there are a lot of traffic, buses, sirens, other people talking or even on the subway station where there is no reception. If someone leaves us a voicemail, usually it will take us longer to get back to them compare to if they sent us an email.
Sometimes when we finally have the time to dial into the voicemail to retrieve message, it is very frustrating if the person leaves the message lack of voicemail etiquette...Please try to do the following if you intend to leave a voicemail for your buyer, seller or co-broker.
Speak in a normal tone of voice, if you are in a meeting then please call after the meeting. I can not hear you if you are whispering because there is other people next to you in the office.
Speak slowly, everyone has different rate of speed talking but do your best to slow down if you are a fast talker.
Leave your full name, I meet and talk to many people in a day, there may be multiple Michael, Mike, Mikey, or Jenni, Jennifers that I know. If you just leave me your first name I may not be able to get back to you right away since I am not sure who you are.
Subject matter, are you calling in regards to a property? are you a co-broker? mortgage company? What is this in regards to?
TELEPHONE NUMBER or reply method. If you leave me a 2 minutes voicemail, that is great, but if I have no way in returning your phone call because you did not leave me your phone number, that is not so great. Repeat the phone number or email address slowly so I can write them down.
Lastly, SHORT AND SWEET. I think we can conclude a voicemail under 60 seconds.
