I remember a time, not long ago, when I was told that technology and email would save me time and be a more efficient, inexpensive and effective way of communication. Well, part of that is true.  However, it seems the more people I meet, the more email I am receiving and sending.    

I don't know about you, but for me, it's an all day and evening endeavor.  Something I use to do a few times a day, I am now doing all day long.  In searching for a solution to filter out the many emails I receive, I was really looking for a way to reduce the SPAM.  I hate SPAM!

Phishing is another thing that drives me crazy!  If it takes me 3 passwords to get into my secured network laptop, why is it so easy for them to get in?  Phishing is when you get an email from the Bank (appearing to be your own) and they ask you to click on a bunch of different links, then enter private and personal information.  DON'T DO IT!   JUST DON'T DO IT!  Your bank will NEVER send you an email like this. 

Do you hate SPAM and PHISHING?  It's pretty common to find that REALTORS® and LENDERS have way more SPAM, because they're out there marketing to the public. Having your email visible on public websites is among the easiest ways to get an in-box full of this stuff.


There are many companies selling products to eliminate spam,
and even more discussions on the efficiency of those solutions. There is one solution, however, that is free and actually does a pretty good job at eliminating the unwanted deluge. I'm speaking about G-Mail!  Now, first of all, this won't work for everyone, but for those persons using standard email accounts like @comcast.net or @sbcglobal.net and the like will find this solution worthwhile.

GMail includes the three pieces of technology you need to get free spam filtering. They are:

  • The Google Spam Filter
  • Free POP Access
  • Free Forwarding

So, the scenario goes something like this:

  1. Sign up for a GMail account.
  2. Give GMail the login information for your POP account.
    (From Outlook, Outlook Express or any other email program)
  3. Let GMail collect your email for you, and filter it through their spam filter.
  4. Set your Outlook (or whichever program) to stop receiving from your POP account, but instead to receive from GMail.
    (Keep outgoing email settings the same) Do Not Change.

The end game is that Google will filter your email and deliver it straight to your in-box, just as before, but with the spam removed.  When you reply, it'll still look like it's coming from your regular account, not from GMail.  Email overload will only get worse as time goes on if we don't do something about it.  I have seen cases where it got so bad, and out of control, the only cure was to change the email address.  For many of us, that's just not an option!

It's helpful to know there are tools out there
, and ways we can get around having to manage something that for some of us, has become un-manageable!  There may also be other cost effective and efficient solutions out there more suitable to your needs.  This one works for me.  :-)

I wish you had posted this 2 days ago when I tried to set up a gmail account. My comcast keeps getting full and I haven't mastered my Outlook so I was figuring I'd just have stuff go to gmail cause they had a lot of space....NOT

After I set it up...wrong...and everything from my outlook and comcast and aol went into it ...I discovered there wasn't a good folder system to set up for clients.

To make a long story short...I couln't undo it and had to delete the whole thing. What a pain!

I definately won't be trying it again!!

Brad - I have Earthlink and find it great for spam and all the rest.  It has filters so you can send emails straight the email hell, where they belong, by sender / subject / many things. You can even 'sort' incoming mail by the same parms and get them to go to certain folders automatically.  I have found support at Earthlink super and rarely go away without a solution - the other day I had a tech spend 3 hours with me to get something right... 3 hours !  now you have to admit that is pretty dediciated for a support person. Anyway - it works for me, so maybe you should check it out.   BTW - love all your articles, I can see why you are on the 'chain gang'  - thanks for all the great issues you cover.

Joan - Sorry I didn't post this sooner, I was finishing the 12 Days Of Christmas Post and commenting...

I just had this discussion today with a client, so I thought I'd put up this post about it.  It's working for them just fine.  I also use yahoo.com mail.  I have no problem creating folders in either program!   In Gmail, once you're logged in, click on settings, then click on the labels link at the top.  You can create as many folders there as you like.  You can even designate certain emails to go right to those folders.  Next time, call me so I can help you. :-)

Linda - my youngest son is 11 and also uses gmail.  He's the one who just showed me how to create folders and labels for Joan.  These kids are so darn good these days, I think we better listen to them! LOL~  :-)

Hi Brad, I am so glad I have my gmail account.  I haven't done the pop account thing yet though.  Rarely get spam.  Great post. I love all that you do.  I am going to the clustrmaps again. I couldn't do but I won't give up.

Jill and Ron, you need to check with your ISP. (Internet Service Provider)  this should work with any POP and SMTP email account setting.  Not sure who is hosting your domain or how your email server works with that domain. Let me know if it works or if you need additional help.  :-)  

BTW - having your email like that in the comments is another way to get spam.  Anyone who reads this post or your comment, picks up another address to sell.  I would suggest going back in and removing it from your comment now that we've discussed it.  Just edit your comment here, then backspace it out.  If it matters..   :-)

Richard - I have heard great things about Earthlink.  Another is Astound!  I will tell you though, for those who don't have Earthlink, Gmail will do everything you listed that Earthlink will do.  Not sure what Earthlink charges or if they do, but Gmail is FREE and since it is owned by Google, I'm confident that it will only get better. :-)

Rosemary - they always get you with the subject lines don't they?!?  You just have to do your best to try and not open those emails.  Once you open it, they capture your info, then sell your "live" address to others who in turn do the same thing. STOP SPAM if you CAN!!  That's all we can do.  :-)

Great tip, Brad!  I must admit I have turned into an email junkie.  My latest tool I have fallen in love with is a system that will convert all voicemails that come to my phone to emails.  Oh what would I do without my tablet PC?????

Oh Beth - I am so jealous, can I have your tablet PC for Christmas?  Please?  You can ask Santa for a new one, I want yours! LOL~  :-)  I love the idea of converting VM's to email, but as many VM's as I get a day, now I would really go NUTS!!  No rest for the weary!  Hope you have a great Holiday!!

I have so many email addresses. I have a Gmail account but never use it...I stick with my outlook but I have a few filtering systems that have gotten rid of the majority of spam. When you expose all of your info on a place like activerain you also open yourself up to those extra spam emails and phone calls you might not have gotten before.

My battles with spam are the stuff of which books are written.  My server filters about 100,000 a day and I filter another several hundred a day. 

The cost of spam is little recognized but it's significant.  Now we have agents spamming each other.  I get listings from agents in TX and CA. 

I was at a CE class a few weeks ago and one of the participants asked if I knew where he could buy e-mail lists of the membership.  I asked, "What makes you think that agents want to be spammed by you?".

"They would be glad if it was something they needed", he said.

So, he believes that he has the right to determine what comes in my inbox. 

That is hubris.

My son loves his gmail account. As a senior in high school, he literally gets hundreds of emails from colleges. I use Outlook, and love it, no problems.

Nobody likes spam, but it's easy to delete. I just ride my "X" and go on down the list...really it takes only a few minutes...

BTW, your page takes forever to load...why is that? Anybody else notice that?

Brad - Gmail is good, that's for sure.  But I prefer Trend Micro's PCcillin.  It's not free, but it is very reasonable.  The biggest thing I like about it is that it shrouds your personal information (bank info, credit cards, etc) in multiple layers of protection.  Very secure.  Good post!  Makes one think about evaluating their options!

Cynthia - I totally get it!  Been there, done that, got the T-Shirt and read the book!  I used to get about the same amount, but I'd say 90% of mine was JUNK!  Viagra, Discounts, Africa $$$, Macys, Banks, etc.  I still get some that slip through. 

I even get them from Activerain spammers (not members) but I know those spammers have to do it one at a time, so I will peek at theirs, but now I get 90% less junk than I used to.  I use gmail and yahoo to help me and my email curse.

Neal - that is so true. So where is the defining line of how to best market yourself as a REALTOR® or Lender?  I guess you have to find a way to take the good while dealing with the bad.  Can't have one without the other.  Maybe this will help those members who have the same email curse that I had. 

This will be a good starting place to evaluate the problem.  For some, this may just be a pro-active idea and way of dealing with the email curse before it gets them too! :-)

Wayne - that works too! The problem is there are so many other ways for these folks to get your email address.  Some of them get it by hacking into systems that contain your info, and your ISP never even knows it.  I have read numerous articles about these systems getting hacked into, even the VA reported their system getting hacked, remember that?  All we can do is try to game the gamers, and smack the hackers! LOL!

Kelly - there is always the "X" delete method which works for many like yourself.  Like I said in this post, this isn't for everybody, but for the few that need it, it's an alternate solution.

Regarding your BTW, it's because you are using Internet Explorer, if you try Firefox, you will see a huge difference.  Many who have switched to Firefox have emailed me and been very grateful and satisfied with the results.  Maybe I will do a post about ALL the reasons Firefox works better with Active Rain after the new year.  Thanks for being patient for it to load in IE, and also for taking the time to comment about it.  Happy Holidays Kelly!  :-)

Marc - that is another dilemma that has been a challenge for us all.  Every email client offers different solutions to SPAM, folders, rules, etc.  Gmail will allow you to select those items which you wish to have go into the spam folder.  I'm sure that on occasion, some slip through the filters, but this is common with many email programs, even Outlook an Eudora have the same challenge.  I like to create folders and have the appropriate emails directed right to that custom created folder.  Only have to deal with it once, and from then on, the emails are all organized!

I always breeze through the SPAM folder just in case there might be an email that is of importance or value to me. Too bad there's not a FIX-ALL for everybody!  If I find one, you know I'll post about it!  :-) Thanks Marc!

Brad, as always, helpful and informative information.  But I have a question for you...as I clicked on your blog, I received error messages.

The first was "an error occurred inside a plug-in contained on this page."

The second message was "The plugin did not initialize properly."

I believe the content of your blogs are invaluable.  I subscribe and follow your recommendations to the TEE.  I don't understand what is happening...

Gail - I have know idea what caused that, there is nothing on my Blog that requires a plugin for starters.  I just went to check my RSS feed reader from AR and this is on an Outside Blog and look what I got:

 This tells me they may be working on something right now, but I'm not sure of that! 

I think there is something else going on, I have no idea what on my post or Blog could cause that. There are only 2 graphics in the entire post.  They are only pictures.  Sorry you got that, I'll have to check it out.  Try firefox and see if you get the same errors. I think IE and AR are having a little spat right now! LOL!  :-)

Brad, I thankfully don't get many on AR here (yet) but am constantly getting them on my business account.  I still use AOL and they have a spam folder so it's not that difficult to breeze through it and pretty much can hit 'delete all.'

Carole - AOL I'm certain, does a great job removing and reducing SPAM for you.  It's nice when you have control of your email. :-)   This is more a scenario for someone who isn't paying for that service, and wants to try and save money using a free service like Google.  You know any time we can try to save money, some of us need to do that.  (call me a penny pincher LOL!)

This would be more for someone who has an email like comcast or sbcglobal, and even THEY are coming up with better ways to protect clients from Spam and Phishing.  :-) Thanks for reading, commenting and sharing!  :-)

John - the only time I like spam EVER, is when I'm in Hawaii eating a Musubi!  Otherwise I hate the stuff.  Your comment reminded me of a guy I once new who said "Spam is so much fun", and look what happen to him! LOL!!~

Here's one that just slipped through my filters today:  Classic example of SPAM SPAM SPAM!!!

I am writing this letter with due respect and heartful of tears since we have not known or met ourselves previously.
I am fatu Keitha and I inherited this sum from my late father who died in recent crisis in Cote d'Ivoire.  I wish to request for your assistance in investing this sum in lucrative venture or manufacturing and real estate management in your country. I have Eight million,Seven  hundred thousand United State Dollars. USD($8,700,000) to invest and I will require your assistance in receiving the fund in your account.  I will be glad to give you some reasonable percent from the total sum for your assistance.
Before the death of my father on September 14/9/2005, he gave me all the necessary legal documentation concerning the deposit of the fund in the bank, I am 21 years old and a university undergraduate and really don't know what to do. Now I want an account overseas where I can transfer this funds and after the transaction I will come and reside permanently in your country till such a time that it will be convinient for me to return back home if I so desire. Linda - just like yahoo offers Yahoo.com FREE email addresses, well Google offers FREE emails too.  But with Gmail, you have free forwarding and POP access.  With Yahoo, you have to pay for that additional service.  Good to know if you ever need a fix for spam or just need an additional email address to use online.  I use mine when I'm on-line and don't want to enter an email that I know will be getting Spam. It works great that way too.  :-)

Brad - Thanks for all the tips.  I have been filtering my email throught Yahoo's business email filter and have found it was also kicking out email I wanted.  Outlook 2007 does a pretty god job of flagging spam and putting it in the junk mail box.  I also use junkmail email address when signig up for stuff online so the junk mail get routed away from my general mail.

I use my spare email address for all on-line sites that require an email.  It really helps filter out the junk.  Glad to see it's working for you too! Still have to check it, but it's way less to try and manage.  Happy Holidays my friend!  :-)

I thought you would enjoy this... at a local university students were asked about their technology preferences... so the 18-20 year old crowd. The opinion was expressed that they only use email to talk to 'old people' and that email contains so much spam etc they just use their facebook account, instant/text messaging, chat etc to stay in touch.

I thought that was interesting. Especially since the first time I signed up for My Space I was contacted by a lot of 'friends' who didn't know me and didn't have the same types of activities in mind that I did :) lol

Angie - the study conducted must have had my son's participation from Cal Poly! LOL!  That's all he does is text message and AIM.  I guess I'm an Old People!  I have a myspace account too, but try to not get too involved if you know what I mean! haha!  Thanks Angie for stopping by and sharing!!  :-)

FYI on Gmail.

One thing about gmail is that they do key word scans of your emails and place advertisements around it.

So it may be free but they still are SPAMing you. You just do not know it.

So it is not really free. Google is make big $$$$ on those ads they place in the email client itself they just do it in a less obvious way.

Brad you know more about Google and their products than I think I'll ever know about anything. Thanks for the information. I wanted to mention that my son who is 12 wanted an email account and we went with GMail. It has been a very safe email solution so far.

I just ignore both.  Hating anything only brings you down and I have bigger fish to fry. 
Also, I never use spam filters because some leads get caught in them.  I just "shift", drag, and delete.  Done!

My Internet provider does a pretty good job of screening out the spam and Outlook 2007 makes blocking senders of junk mail very easy (right click and Add to Blocked Senders list, which puts these e-mails in the Junk Mail folder automatically).  I still get the phishing e-mails as they change their return e-mail addresses, so you can't block them, but they are pretty easy to spot, so it doesn't take long to delete them.  I've been able to reduce my e-mails from 300 a day to 100 a day in this way.  It makes a difference.

Greg - I have done quite a bit of research on some of the google tools out there but I do not claim to be an expert.  My 11 year old has a google email account as well, it seems to be working out just fine.  Thanks for the comment!  :-)

Gail - I use outlook as my main email provider, I send everything else to Yahoo or Gmail.  I have two different accounts I have to use because my work email is on a corporate network! Very secured, but stuff still gets through.  Thanks for commenting Gail, always great to hear from you.  :-)

           I always recommend my customers for Google email service for Businesses as they have the exceptional SPAM Guard and other Security features which very few service providers OFFER. Of Coarse, It costs $50/year/user but it worth.
