Know Your Numbers!

In preparing for the new year, here is something that has worked well for me, so I thought I would share it with it with all of you.  I learned this from being coached by Brian Buffini. 

I post my numbers on a grease board in my office.  List your buyers, and your listings.  Another column for closed transactions.  You can make it as simple as you like or, in more detail if you choose to. Simple works better for me.  I can focus better on where I need to go.  My next column are the numbers that are my goals.  I list 6 months, then 12 months, of transaction numbers that I need to attain for my business. The last column is where I post my referrals, by the agent or person who sent it to me.

I, also, post it on my Buffini website tracker, and in my daily book.  Joe Neigo, from Buffini and Company, had tracker cards designed for us.  You list on the card the number of transactions you want to have for this new year.  As you accomplish a transaction, under deposit, you circle it.  When it closes you mark an X on it.  He is a broker/owner in Chicago, Il and keeps his in his suit, inside pocket.  On the back of the card, you can list your goals and then, one good affirmation. 

You need to look at these numbers every day.  You need to know where you are now, where you need to be and where you want to go.  By looking at these numbers, every day, you are more likely to reach them.  If at mid-year, you are ahead of your goal, whoo hoo, celebrate.  If you are not on course, go after it and get going, so that you hit your end of year goal!

I only post my goal dates by 6 months, then 12 months.  I have tried it different ways, this is what  gets me focused on selling.  Everyone will probably tweak it to work for them:)

Frances, that sounds like a good system and one that would be easy for me to use as a Loan Officer.  All I would have to do is change Buyer and Listing to Borrower.

Hi Frances, great advice. In order to achieve success, it is important to define your goals, track progress and adjust accordingly. One of my primary duties during my corporate career was the quarterly business plan and variance analysis. I am amazed that more organizations don't follow that process.

Fran - Great stuff.  I have been pretty good at keeping up with  the Buffini Tracking Site in terms of closed sales and active listings but have not been good at all at tracking calls, notes and pop-bys.  Do you keep this area up to date?  How often do you update it?  How often do you call through your entire database?

Whatever system works is unimportant as long as you have a system. And i agree with you Buffini's is the best!

One item though. If your goal for June is four transactions and July is 4. If june you hit 5... you still need to hit 4 for july...not three!

Great idea Fran!  I think I'll start tracking 2008 much more visually, so it's always on my mind.  I track my numbers now, but... out of sight, out of mind.  I continually hear good things about Buffini.  RE/MAX offers is, so I think I'll give that a try after I move.

Al, I update and post my notes, calls and popbys everyday, Monday thru Friday. I post on my tracker that is on our Buffini website. I try to call my clients a couple of times a week.  I set aside this time especially for the calls.  We call it the Power Hour.  They need to hear from you more than they did before.  Contact and care will help us all go forward, successfully.

Jen, It makes quite a difference! Yes, Brian Buffini was once a very successful RE/MAX Realtor:)  He is at their conventions, too.  I expect to hear you are soaring above the crowd, soon!  Happy New Year!
