A Transaction Coordinator (TC) is a person who manages all the paperwork required in a transaction, from listing through to closing.  She is trained on legal compliance so she know what disclosures to send out, what documents must be signed when, and sets the deadline dates based on the contract.  As you know, top salespeople are NOT good at doing paperwork, so they rely heavily on a TC.  She is the person who reviews all the documents, compiles them in the file, and prepares the file for final Broker verification.  Most of the transactions are being managed online nowadays, so the TC can be located virtually anywhere.  Large brokerages hire a full time TC on staff, but smaller brokerages use an independent TC who works for multiple brokerages at a time.  A TC is an extremely valuable team member!

NOTE:  Although I referred to a TC as "she", simply for the sake of clarity in writing, please note that a TC can be either a gentleman or a lady business professional.

How do you find a great TC? Please post answers if you know of a reliable source to find educated, trained TC's.

Joyce & Doug, thanks for stopping by to comment.

Doug, you are exactly right, it the art of delegation!

I am constantly amazed by how many real estate agents and brokers don't use a TC or never heard of one before!  They are definitely living in the dark ages...

Regina - I don't know what I would do with my transaction coordinator. I am not a paperwork person and don't have to be so I can focus on selling real estate.

Linda, that's great!

Melissa, I think it's because guys are not as detailed, and I have found very few that like doing paperwork.  Even my husband tries to get me to do all his paperwork!

Hi Regina: When I start hiring agents, I will definitely use a TC. An excellent way to keep your liability down re missed deadlines, etc.

A good TC is worth his/her weight in gold...managing the paperwork after it is fully executed is the basic responsibility of the TC.  Dumping the file on your TC's desk is not what they are for.

I see this so often that my assistant spends countless hours tracking down missing paperwork from a TC that blames the agent representing the other side who has just dumped their file on them with no explanation of what is going on.

I'm not a paperwork person either, however the job of selling real estate deals with paperwork and accuracy of those documents.  The person hired as the real estate licensee is the responsible party for making sure all the t's are crossed and the i's dotted.  After that the TC can easily make sure that the Broker File is accurate and in compliance.  That is their job.

Teri, I agree, a TC is invaluable and should be respected as an important team member!
