Working with Notes in MS Outlook

One of my goals for 2008 is going paperless. I hope to find a good scanner at a reasonable price shortly. Today I receive an email from a prospect who found me thru Active Rain. He lives in Florida (tell me this platform does not work). As I started to look over my written notes of the phone conversation I notice I was doing the same old thing. A small piece of paper that I know I would lose. I look up and notice the note pad on Outlook.

In note you can color code your notes. I will mark or color all notes dealing with prospect in Red.  You can even change the Folder View. Here is how to set up or customize your note folder:

•1.       Right click on the note.

•2.       Choose Categorize.

•3.       Select a color

It is just that easy. Give it a try.

Thanks for the tip Frank..... It would be interesting for people to analyze how much time is actually spent looking for information that has been written down on "little bits of paper". Making one's notes electronically is certainly faster and more productive.

OneNote is pretty cool.  I've been playing with it in my Tablet for a while now.  One thing I noticed is that I had to go get the driver to allow me to "print" into OneNote.  This lets me take a document (pdf, doc, whatever) and put it into OneNote and then ink over it.  

I also have that goal of eliminating all of the little pieces of paper... and all of the paper contracts here at the house (my broker seems to like paper... they can have it).

Yea it is cool - I keep forgetting the notes are there.  I often use this when I can't find that elusive pen when the phone rings.

In addition to a scanner, I found having an email fax account is great.  I fax myself my executed agreements and other paperwork and it gets emailed to me in PDF format.   It also serves the dual purpose of having easy access to receiving and sending faxes.  Note, I don't send unless I have to as it does cost extra.

Thank you so much, Frank. I just went over and played with it. All my notes are in yellow and I added a new category for green notes.

This will be so great, what a fantastic idea.

Paperless is THE way to go.  I don't even have paper transaction files anymore.  It took me a while to convert everything to digital format and to scan in the past 10 years worth of files, but it's so very much worth it.  Once you get used to the notes in Outlook, you'll never go back.  I have a call log in my calendar that reoccurs every day at 6AM - every phone call I make or receive (when I'm in front of the comp) gets logged into that calendar file.  Gotta love it!
