With The Right Tools, You Can Be Free as a Cloud!

With the right tools, you can be free as a cloud!

I was prepared to write a piece extolling the life altering benefits of using Outlook to manage everything:  contacts, email, mail-merge, appointments, birthday reminders,  to-do lists, CRM,  etc.  I was thinking how cool it is that I access everything I need via Outlook through an exchange server which makes me not particularly device dependent.  Emails I send throughTool my iPhone, iPad or laptop are accessible from any of those devices.  If I make an appointment while out on the road and set it up on the calendar in my iPad, it magically appears on my iPhone and at my laptop.  And get this… I haven’t plugged a cord into anything to “sync” all those activities.  It happens magically through the….cloud.

Then I realized that’s the tool that I don’t think I’d like to operate without - the CLOUD!  Don’t get me wrong, Outlook is awesome!  I couldn’t run my business without it.  My iPhone and iPad share equal parts awesomeness but would be virtual paperweights without the connection to the cloud.  My laptop has the computing power of what used to fill a warehouse of vacuum tubes back in the 60’s.  But none of this hardware and the collective software upon which they run is worth a damn without some sort of cloud-based network.

Now, I’m using the term ‘cloud’ in the broadest sense of the word.  You might be able to simply substitute ‘internet’ but it’s not the same thing.  The Internet is an access portal.  The Cloud is more magical.  I can use DropBox to store photos, slide decks, and videos and it lets me access that data from any internet connected device.  Exchange server technology lets my devices all talk to one another so that even if I drop my phone in the toilet, the only thing I lose is the co-pay to replace the device, enter a few account codes and usernames, touch the screen of the new device, and voila!  I’m back in business.  NOTHING LOST because it all resides in the cloud.   The same goes for my music and reading library.  Between Amazon and iTunes, all my music is safe and sound and with my Kindle or iBook apps, all the books I read to stay abreast of what’s new are with me all the time rather than stacked up on my bedside table or cluttering my cubicle.  What’s more, each device knows exactly which page I’m on in all the books I’m reading!

Is the Cloud a tool?  Absolutely!  Could I run myCloudsbusiness without it?  Probably - but I would be super grumpy and likely on a road to total burn-out.  Some people think that connectedness and ever-advancing technology keeps us plugged-in all the time.  That may be true for some – but for me, it provides the freedom to work from multiple environments and locales.   I can get more done in less time and jump back and forth between up-time and down-time with just a few steps out the back door to a favorite fishing hole on the river where I can watch white puffy clouds cross the sky and remind me why I love what I do!

Hi Chris - I have been a big cloud fan and have used cloud based CRM's for years.  I use gmail for my email and love the fact that everything sincs up with my phone, computer etc. Our listing and purchase agreements are also up in the cloud so that you can either do work at home and/or the office or out on the field on your laptop.  My listing presentation and cma tools are also cloud based.  Oh - and Docusign - very cool cloud based computing.  My clients young and old LOVE it.  I am currently looking for a new could based CRM that is reasonable in price.  Any suggestions?

I don't understand exactly how all this works, or the difference between the internet and the cloud, so I like your explanation - 'the cloud is more magical'.

I've never enjoyed real estate more, and that's because these new tech tools make life so much easier. With the help of an assistant, I've been convering my paper files to Dropbox and CD's.  It's very liberating!

I started going paperless and using a cloud a few years ago and I love it! My files and contacts are always with me AND they back up every day. So I can always retrieve the previous version of a file - GENIUS technology. I couldn't survive without my cloud!

Hi Chris, excellent post.  There may someday be one beat all end all app.  But today it is a collection of apps that use the cloud.

Congrats on the feature! I went to hit the suggest button but...

I can always honor you with a reblog!

I hope you are enjoying your time in SFO and I pray your home and family is safe. Are the wildfires under control yet???

I personally love the cloud!  I hired an agent and really am not setup to do that like I used to be so I decided just to put the docs he needs on GoogleDocs and grant sharing permission on those files. Nice! Looking forward to Google Drive.

Actually, the Drew is a tech genious who owns an iphone & mac. He will convert the GoogleDoc file into a mac ready versoin so we each use our preferred platform. Man that's impressive! More to come on Drew soon.

Sincerely,

Cathy Bureau

Thanks so much for this, Chris.  You have me intrigued by your use of Outlook.  I have been using Dropbox for a year and love the Cloud but I don't even know where to start by getting my Outlook hooked up with an exchange so that I can do everything you say your are doing with Outlook.  I've used Outlook for years but about a year ago switched to Google Calendars for my calendar and then I use a different CRM and then still Outlook for my email  Would love to get it all set up like you have it.

Wow!  Thanks so much to everyone who's posted a response here!  I apologize for making this a blanket response to the last 20 or so commenters but please know that I've read every single one!   I am so grateful for the comments and also glad that this post has been helpful to those of you just beginning to experiment with cloud-based computing.  I have so much to keep learning and adapting and look forward to more posts from all of you as you find solutions that fit your individual needs.  That idea alone is one of the super-coolest things about the cloud - just how customizable the it is for each of the very different ways we all sell real estate!!
