Getting Organized - Taming the "Someday" Pile

organizationOrganization Tip #2

Do you make a habit of collecting awesome marketing ideas or stacking up projects that you would like to tackle "someday" when you have time?  In my job, as a team assistant, I have a boss who is an idea person.  There is no shortage of great ideas in this office!  However, it is possible to get stuck in the idea phase without a little organization.

Time to Tame that "Someday" pile!

First divide the pile into at least 2.  Label one for marketing ideas you would like to utilize, and one for projects.  Keep them in file folders only!  Boxes and larger bins leave you too much room to overwhelm yourself.  Discard what you absolutely know you will never get to or do not need.  Of course, if you are an assistant, make sure your priorities are the same as your boss before you discard anything.

Keep in mind that extra time will probably never magically appear.

You will need to budget that time and make it happen for yourself.

"Someday" Pile Intake - As you add items to your folders, always place them in the front of the folder and write the date they were added at the top of the page.  Periodically, flip through these.  Chances are, an idea that has been lingering in your folder for over a year, is one that you will not choose to do.  If so, discard it.  The dates will help to give you a framework for understanding you subconscious desire to do or not do a project.  Without them you may continue to hold on to an idea, always thinking it is a good one, and never actually putting it into action.

Make the Time!  Make sure that you are actually spending the bulk of your time on activities that generate income.  It is very easy to get bogged down in non-income generating tasks.  We all like to say that there just isn't enough time, but the truth is that we just haven't chosen to make it a priority.  You can budget as little as a half hour each day and still accomplish more than you would imagine.  Just don't bite off more than you have allowed time for.  Set small reasonable goals and check them off when they are done.  You will feel accomplished and motivate yourself to continue.

I would have to say do not make this pile.  Have 20 minutes a day you go through the stuff and it will never build up.

Get, or use OneNote on your computer.  Scan in the document, and send to one note.  Organize the files.  If it is too much of a hassle to take a minute to get rid of the paper... is it worth keeping?  Throw away all of the scanned and unscanned papers.

Then, if you have a tablet of inking solution, you can make notes on the ideas in OneNote.

That can be great too, but there are some great projects and lead generation ideas that you might miss out on.  Just because you cannot complete something immediately does not mean that it shouldn't be done.  Filing it away in a cabinet may mean that it gets ignored.  However, I must concur with taking time at the end of each day to return your workspace to normal.  These 2 folders are meant to keep that beautifully clear and organized workspace that we all love to face each morning.

Lane - I love that idea.  I feel nothing but peace and calm when I stop for a minute and think of a life in a paperless office.
