Time management and my daily "to do" list

Although at this time I am a boutique brokerage, which means, I am the broker/owner without agents working for me as "independent contractors," I have some very strict procedures/time management in place. Here is a simple list that I follow no matter what--that means whether I travel, am sick, or plan to have family & friends time:

1. Evening before, I make a "to do" list of all the important items that come to mind. It doesn't need to be specific, but something like "Lot 13, Nautical Heights: escrow check, gate opener, seller back in town." Or "Beachcomer Restaurant: showing at 10:30 AM". This is never more than a page long, easy to peruse.

2. Evening before, put together whatever I will need for the next day: contracts/packets/information.

3. First thing in the morning on waking up, check emails - these can change your whole day. And, of course, check your iPhone throughout the day for new ones.

4. Reconfirm all appointments for that day! Yes, this is very important, as changes frequently occur.

5. Start on the "to do" list and get as many items as possible done.

6. Small items that come up during the day: If it will just take a few minutes, not disrupt your day, get them done right away. Often this is only answering an email or making a call or two. Get it out of the way. If not, put them on your "to do" list.

7. Block out time for BIG projects/transactions: Multi tasking during big projects that need your concentration is not a good idea!!!

8. Take small breaks and small snacks, but don't eat a big meal. That will drag you down the rest of the day. Luncheons? Only if it's business, not with friends unless your "to do" list is REALLY short.

9. Meetings/showings: Bunch up trips that take you away from your office.

10. Towards the end of the day: check your "to do" list, make sure you got done what needed to be done. If not,  write up next day's "to do" list, and put the items you missed at the top of it.

This list is so important because all it takes is for a new client to call and disrupt your day - which is a happy event. However, you still need to get all the other things done on that list!!!

WITHOUT MY LIST, MY LIFE WOULD NOT RUN SMOOTHLY.

Hi Hella, I'm a list-kinda gal, too! Most days I do it first thing in the morning - after I check my emails because I'll have a better idea what my day will look like. I have a big calendar on my desk and write all my tasks into it for the day. I try to get them done according to importance, too, if I run out of time there are some things I can move over to the next day.

Rose: I keep mine in a book including logging in all calls and other events of the day. It's usually just a quick note, name phone number etc. That gives me a central place for ALL happenings of importance for the day. I then transfer meetings and new contact information where I keep those.

Andrea: I found if I get it done the night before when I have lots of quiet time, I sleep better. Otherwise I keep waking up and worry that I might not remember. Usually I hit the deck running in the morning and then I tend to scramble if not prepared. And one phone call or email can change the order of my day.

I create a "to do" list all the time and it has served me well. The most important goal for the list, is to do my least favorite item first, so the other stuff can go a lot quicker.

Joe: You know, I tend to do those first as well. Otherwise they hang over your whole day.

Michael: Time management is everything to me. I learned that very early when I decided to go into business for myself.

Bob: I absolutely need to do it the night before when I have "discretionary" time to get myself set for the next day. Hate to start a day in a rush.
