Quick question for you...How you organize your contact list? For years, and I do mean years, I used to struggle with organizing my contact list.
I Tried Everything
I tried everything imaginable...Outlook, notebooks, index cards, you name it. I even paid a monthly fee for a contact management program that I barely used. Yet even after all of these attempts I couldn't seem to find a method that I really liked and one that worked for me. So I gave up and went back to basics.
My List Was Too Big
But before going back to basics I determined that I was trying to stay in touch with too many people. It is extremely difficult for me to stay in touch with a large number of people, so I paired down my list to make it more manageable. In the past I had heard that you should divide your contact list into A, B and C clients, but I did not do it. Why? Because it was too much work! I never wanted to take the time to organize my list, yet I was willing to waste time and money trying to figure out the best way to manage my contact list. As I look back on it, it didn't make any sense whatsoever.
The Best Of The Best
My "A" clients are those people who have sent me referrals and those who will definitely buy or sale in the next 6 months. This group has the least number of people. My "B" clients are those who have recently settled and those I feel would more than likely refer me to their friends, family and colleagues. They also include those who will more than likely buy or sale within the next 12 months. My "C" clients are those who might refer me and those who would buy or sale if the right opportunity presented itself.
Constantly Update Your List
By organizing my list this way it is very easy for me to add and drop people from the various categories. My doing so, my lists can't get but so big. The "C" list could grow considerably if not maintained closely. This is the main list that should be evaluated every 6-12 months. Those on the list who have not referred someone to you in 12 months should be removed.
What A Relief
It wasn't an easy road in terms of the time it took to organize my list, but it was a path that I definitely needed to take. I now feel confident that I am reaching my base on a regular basis and I have eliminated that nagging feeling that people are falling through the cracks.
