How to Use a VA for Lead Management

One of the most important pieces in growing your real estate business is getting leads, right?  You want buyers.contact  You want sellers.  You'd love to get a buyer and a seller out of the same person.  But it would be nice if they were of the real variety, wouldn't it?  By real, I mean the buyers and sellers who are actually ready to buy or sell.  They most often don't just walk in off the street anymore.  The are usually jumping at you from your computer.  But then what?

Many of you are doing your best to work your leads properly and that's a great thing! However, managing leads is not a quicky task.  It takes a lot of time and dedication to property manage your leads.  Here are a few things that a Virtual Assistant can do to manage your leads:

  • Send out initial response e-mails - The first response is critical to happen as quickly as possible after you receive the lead. The reason for this is because the "lead" is going to other realtors' websites just like they visited yours. Whoever responds first, wins.
  • Set up drip campaigns - The drip campaign is so important for your leads because it keeps your name in front of them, for as long as you need them see it.  The drip campaign does not and should not consist simply of sending out e-mails.  It should consist of telephone calls, e-mails, and regular mail contact.
  • Implementing drip campaigns - Setting up the campaigns does nothing if you cannot adequately keep them going.  Time is the biggest factor here.

Your primary objective is to be in front of people, helping them buy and sell properties - whether residential, commercial, or land.  You cannot adequately do that if you are sitting in front of the computer.  That's where a VA comes in.  Your Virtual Assistant can handle many of the marketing tasks that you need to do in order to keep your business running smoothly.  But how do you actually turn these tasks over to a VA?

  1. Have a conversation with your VA in the beginning of your relationship to discuss exactly how you would like to have your leads followed-up.  This includes whether you want the VA to make phone calls to the leads or leave that task to you.  Whether you want to make use of regular mail or only e-mail.  This is critical in ensuring that there are no misunderstandings in how your leads are handled.
  2. Have your lead notifications either go directly to your VA or set up a rule to forward a copy to them immediately upon receipt so that they can act quickly.
  3. When you receive leads from telephone calls, open houses, or walk-ins, send that information to your VA so that they can immediately take action.

The most important thing is to stay in constant communication with your VA.  When your VA needs information from you, provide it as soon as possible.  If something is not going the way you want or anticipated, speak to your VA about it immediately.  This will keep the relationship moving along productively and both parties happy and satisfied!

Lead management is a great task to turn over to a VA. Too often we are late in responding to leads (if we do followup with them) and fast response is the key. It's often the first agent to respond that gets the business.

Sharon - Thanks for your comment.  This is one area that I didn't adequately comment on in my post. Oftentimes, agents simply don't have the time to follow-up at all, let alone appropriately, to the leads they get in.  So, you may pick up a few and do a little here and there but not as much as they should or as much as they could with assistance!
