The Best Agents Have Great Systems - Our System for expired listings

 

Here is our entry for the IMSD Systems Challenge.

We have been working expired listings for over 4 years now.  It is our main source of business.  From the resulting listings we get 2-3 buyer leads per day 7 days per week, 365 days per year!


Here is our system:

We start with TheRedX where every morning we import the expired listings from our MLS.  TheRedX does phone look up cross-checks addresses, the DNC list and much more.  In about ten minutes we have a list of numbers to call.


Header_neighbors_left  We sometimes check for phone numbers on a couple of other sites and we like http://neighbors.whitepages.com/search for subdivisions.  And we always use http://neighbors.whitepages.com/search to make "just listed" calls around new listings.


  TheRedX  keeps a database of expireds organized into folders and dates.  This allows us to call on properties several years after they have expired.

 

Once we make a phone contact we export the lead from TheRedX and import them into

Once in Top Producer they are either scheduled for a list appointment or added to a follow up action plan.  The action plan consists of mail outs, phone follow up calls, emails and reminder to set another action plan when that one is complete. 

 

We track these Top Producer seller leads until we either list them, or someone else does.  When someone else lists them, we add an action items to Top Producer to check for them to expire again in 6 months.  And we repeat this process until they either sell or convince us they will never sell.


This system works so well that we often go on listing appoints 1-3 years later and the sellers feel like they know us!  In fact we occasionally go out to a house we were in 2 years prior and neither the sellers nor we remember except for our notes in Top Producer.  Once we remember the house because of an unusual room but could not remember the clients.

Interesting - I thought our user agreement with the MLS disallows something that would harvest data form the database.  I will have to reinvestigate because it sounds like a nice system.

Hi Beth & Tamara, you have to be consistent and persistent.  Sometimes it feels like it's not working then you will get several appointments all at once.

 

Courtney, our mls lets us export expired, pending, etc. listings in a CSV file.  Then we import to RedX.

Hi Maureen,  we would guess, that out of 10 leads we import we get 6070% phone numbers.  Most are good if you learn their system.  Biggest problem we have is disconnected numbers and since they are snow birds we don't know if this is temporary or not.

I am curious to learn about your phone script on the initial call.

Hi guys, thanks for sharing! Do you find the market really competitive? I am in San Diego and have tried it a few times but faded away. I found many of the owners were getting dozens of calls and did not seem to want to hear from another agent, do you find that? How do you overcome? Just continue calling and mailing? I am also curious how many you are seeing weekly or monthly that expire? Thanks again for sharing!

Reblogged with this commentary... I signed up for REDx yesterday. I spent the day doing Webinars and bringing in expired leads from two years back. I almost used up the 2000 monthly limit of lookups but not quite. This post highlights the next steps to learn like white pages and Top Producer exports. I may after reading this go two more years back. It would just use the 2000 lookups for one month plus look below at how useful these leads become.

I too have just gone back to using Redx but need a follow up system too. 

Does Top Producer have a specifically written set of mailers for expireds or do you have to create the messages that you send out?  It seems to be fairly expense in the long run compared to other CMS's out there. I'd don't want to reinvent the wheel but don't want to break the bank either.  If there is a proven system that has effective messaging then I'd love to find it.

Donna, our Top Producer has action plans they developed with the Keller Williams' system.  We also create a few of our own.  Top is a little expensive, but we find it to be the most comprehensive to track everything from listings to closings and share across the team.
