Mondays seem to be my busiest day of the week?  Guess it is the catch up day after working over the weekend.  Whether it be helping buyers do their "due diligence" on a particular property they may be interested in.  It might be the day the stager, painter, carpet person etc gets in contact with new sellers to get their home set and ready for the market?

Just as I help and assist my clients, I too need support.  That is where my full time, licensed assistant comes in.  She is ready at the helm to manage my office and deal with daily marketing, activities and support for me and my clients.  Actually, I consider them "our clients".  I could not live without her, she is an intricate part of my operating system that keeps my business running.  Most of my clients always address my assistant in our Thank you notes we recieve after a transaction.  She keeps my marketing pieces out in front of other agents and the public.  She is a live person that answers the telephone.  I know I have connected with more ad calls because the person on the other end actually had someone to talk to.  Maybe if there were just voicemail they may not have left a message?  Also, If I am on an appointment and cannot speak to one of our clients right then and there, they always know they can get to speak with my assistant.  It makes them feel like they "got their message across, someone hears me and is listening". 

You may say, that is really nice for you, but times are too tight to have an assistant.  I have to let mine go or I can't afford one?  I say, You can't afford NOT to have one.  They do the daily tasks of keeping your name out there in front of your past clients.  The push of advertising that you may not have the time to do.  If you don't have the time to do it then can fade away from the front of people's minds!  You of course, have to have someone competent  and dedicated for the task, believe me it will increase your production.

You say I can't afford an assistant, I say you can't afford not to have and assistant!

Audrey-  Ahhh and what a good Assistant you have :)  Seriously this is true, and I have had that conversation several times on that I can be much more productive if someone else is doing certain things, and I do certain things......it just makes good sense.

Lisa,  When hiring an assistant you will need to make sure they fit your business ideals.  Maybe a similar energy level as your own.  Sometimes friends are not the best fit?  What if you have to fire them?  Go on Monster.com and put an ad on Craigs list and see if you get a few people to interview.  I have a an interview sheet and a personality test that you can do to see if you are a fit.  Just let me know if you need it.  I would say take your time and don't just snap the first person up.  I think when you meet with the person, you will sort of know that if you want them or not.  If you want, I can email you more details on this subject.

Audrey, you are so right on the mark with the need for an assistant. As a business grows, the Realtor needs to focus on the selling and the relationship and leave the contract to close and other administrative details to other experts. Thanks for reiterating this.

Gary, If some agents are busy enough and sit down and figure out the math.  They may see that it may only take 4 to about 6 transactions to pay for the assistant.  Depending on time, areas of the country etc.  The most important part of that statement is that if you hire an assistant the time they free up for you to actually work at selling homes by putting the marketing pieces in front of everyone, they will almost always pay for themselves.

Thank you so much for all the helpful information.  Your interview sheet and personality test is wonderful.  I will be using them when hiring in the future.  I can't thank you enough for sharing such valuable information with me.  I also love the way you have notes to yourself for the interview.  Reminding yourself to listen and not dominate the conversation is the key to success when interviewing.  You're a very smart woman.

Great post on being three places at once. I want to do that too! I just wrote a blog on licensed assistants, asking how best to compensate them. Can you share some of your successes and failures from your personal experiences?

Audrey, as a home inspector I have learned the true value of having a staffed office to facilitate scheduling, answer questions, serve the customers by providing courtesy copies of inspection reports (they accidentally deleted) and of course, marketing.  This is one reason we are enjoying our growth during a down market.  Customers want customer service.  Be the one who provides consistent, world-class customer service.  Good blog!
