The first rule in writing a business letter is so basic that I learned it in college - decades before I knew that someday I'd be writing marketing letters and website copy for real estate agents.

Teddy bear in dunce capIt goes like this: Never, ever, ever, begin a business/marketing letter with the words "I" or "We." (That rule extends to all forms of focusing on yourself rather than the reader. So "My name is..." is also a no-no.)

That was one of two rules drilled into our class. The other was to find out the name of the person you're writing to and use it - spelled correctly. In other words, avoid "Dear Sir or Madam."

You can get away with saying "I" if you're the customer - No one in business ever tosses a letter that begins with "I need to hire you..." But when you're marketing your services, your reader's initial reaction to an "I introduction" would be "Do I care who you are or what you want?"

Simple, isn't it? And yet...

This morning I received an email from a SEO person that began: "I would like to setup a 10 minute call with you to go over a competition analysis report that I generated for your website and your niches top 10 competitors."

(Notice that he ALSO used "setup" when it should have been "set up," and he forgot the apostrophe in niche's.)

What really bothers me... here is my rant...

I know there are plenty of uninformed people trying to market their services. They haven't studied the psychology of marketing and they have no clue that an opening sentence like that one is almost an automatic trip to the round file or the trash bin on a computer. And, like this person, they don't know basic grammar and don't hire a proofreader. They're hurting their own chances of success.

What really bothers me is that people who are holding themselves out as experts are selling marketing letters that break this basic rule to real estate agents who are trusting them to BE experts.

To me, it stands to reason that if a person knows nothing about marketing, they'll seek help from someone who is supposed to know. Thus, if they buy a book of letters or a set of letters - or if they hire a writer to create custom letters - they should reasonably expect that those letters will help them, not hurt them.

But that's not the case.

This week I was checking to see how Panda 2 had affected my Google placement, and I saw other real estate prospecting and farming letters for sale, so decided to check out my competitiont. One book for sale on Amazon offered a look at the inside pages, so of course I looked.... and could not beliieve my eyes when I saw letters that began with "I."

Who are the "experts" who wrote these atrocities?

Checking other sites that offered samples, I found the same thing.

And it makes me mad. Agents should be able to trust that what they buy to promote themselves and their business should help them - not hurt them.

Grrrrr....

Thanks for opening many eyes about marketing/business letters. We need to keep in mind that for most people we are writing to it's WIIFM.

Lenn - That's sad. What is there not to understand about "It's not about you - it's about the client?"

Bill - This kind of basic psychology is something I think they should teach in school - along with things like how to balance your checking account. Unfortunately... they don't.

Laura - Yes, in some cases, 3rd person works.

Ronald - I don't even remember what it was called any more.

Jahe - You had a good teacher! Another "rule" in copywriting is that the body of the copy should contain 3 or 4 more times more "you's" than "I's." (In their various forms, of course.)

Jill - Many do... you're not alone. At least "My name is" is better than "I want..."

Jimmy - Absolutely. If you want them to do business with you, they need to feel like the center of your attention.

Evelyn - Yes, it's easy to slip into bad habits - both in writing and in speech.

Karen - Oh no, please don't say "Of which I can think." It not only sounds ridiculous, but grammarians now say that ending your sentence with "of" is perfectly acceptable. There's a story roaming around somewhere about Winston Churchill (I think) making fun of stilted grammar by saying something along the lines of "Of which I can think."

Jenn - Yes, it is. And maddening. People who turn to experts should be able to trust that their advice is good.

Patricia - Oh, but I'll bet you do!

Jeff - Yes - we humans are almost always tuned into "Station WIFM." And when you write a letter and they can't see it in the first few seconds... goodbye letter.

Marte:  Speaking of marketing "experts..." there are so many of these self-appointed "Gurus" out there trying to proclaim to one and all that "I am the greatest.'  Mohammad Ali got away with it quite nicely.  The rest... well, they just look silly with all their "first person" use.

I (starting with I since it's just a comment) would hope that agents have learned a long time ago not to trust all these "experts" that load down their email with the wonderful services they provide.

I was either taught all wrong, or not taught at all.  If your name is on the letterhead, then they will know from whom this came or they will have to wait until the end of the letter to find out.  I would not be bothered by a my name is..., but I clearly understand your point.  Now, when you call someone on the phone, do you say "Hello, my name is or do you just talk and then introduce yourself in closing?  If you don't introduce yourself when you first start talking to me on the phone, chances are that you will not be allowed to finish the call with me.  Then, a phone call uses different etiquette than a letter, but still, the call needs to be all about the person you are calling.

Marte, don't ya love some of those long-standing rules that you learned in college? This is so simple, and so timeless. The professor who taught that may be gone, but those words of wisdom live on. Thank you for sharing your lessons, your thoughts and your "rants"...all GOOD!!

Karen Ann - You are so right. The minute anyone tells me they're the expert I start wondering if they know anything at all.

Aaron - That would be nice, but it takes experience to sort the real gurus from the frauds - so plenty of people get led astray before they learn the difference.

Christine - You're welcome. We ALL need reminders now and then - it's so easy to slip into habits that aren't helpful.

Valerie - You bring up something I hadn't thought about. I would imagine that it would be difficult to learn another language without first understanding your own language. It does bother me that schools don't insist on students learning the basics such as reading, writing, spelling, and grammar. They should be a part of every class, not forgotten when the kids walk out the door of the English classroom.

Michael - And that's the reason for the rule. Nobody wants to liten to a self-serving marketer.

Nina - I'm hoping for the best for my grand-daughter, because she's in a private school, and my son pays close attention to what they're teaching.

Richie - What a perfect way to respond to constructive criticism. Good for you!

Wanda - It never hurts to check up on yourself - and to read your own website from the customer's point of view.

Roger - Yes, the rules do change when you talk on the phone. If you don't introduce yourself, people aren't likely to talk to you!

Marte, several years ago a fellow AR member told me this. She recommended the book, Cash Copy by Dr. Jeffrey Lant. It is now out-of-print but I was able to find a copy at Goodwill for $5. That is a great resource for writing marketing copy. He covered this same issue in the book. I use the words "you" and "your" a lot in my expired letters. I should probably use that same approach in my blog posts and my profile page.

Tammie - I haven't read that one, but do have a bookshelf full of copywriting books by some of the masters: Claude Hopkins, David Ogilvie, Eugene Schwartz, and of more recent vintage, Bob Bly and Herschell Gordon Lewis.

Betty - Just keep reading about it and practicing - and pretty soon you'll feel like it IS one of your best accomplishments.
