Going out of town Listing Agent? Keep the basics in mind.

Going out of town Listing Agent? Keep the basics in mind.Yes, Listing Agent you deserve to leave town for the weekend. In fact, we all do from time to time. However, if you have active listings there are some basics you need to keep in mind.

Let's call this Scenario 1 - You leave town the same day your very attractive, and attractively priced property hits the MLS. You get immediate action from a group of agents, including yours truly. Now, I can't speak for the other agents, but I tried to call you that afternoon ( Friday), left two voice mails, sent several text messages and even emailed you with questions. 

Late the next day, you send back a cryptic message that you are out of town and don't have email access until you return late Sunday.  Really? You leave town with a new "hot listing" and you don't have email access for offers? Nor, apparently, do you have the ability to return calls or texts in a timely manner.

If you are a Listing Agent heading out of town for the weekend, here are the basics to keep in mind.

1. Take the time to record a voice mail message that briefly explains the situation. For example:
 
" Hi this is Listing Agent, I am out of the office until _______ "


Message A. "If you showed one of my properties and need immediate assistance please contact my colleague at 360- ###-###.( If you don't have a colleague, at least make sure you have the ability to check messages and returns calls once a day.)

Message B. "Unfortunately, I'm not in a location with full-time cell service. However, I will be checking voice mail each day at 5PM and will return your call".  ( If you can't provide either of these options - STAY HOME, your sellers need you.)

Give brief offer instructions:

"If you're writing up an offer on one of my listings, please give me until __________ at 5PM to present the offer to my seller(s). ( That way the offer won't expire before you return to town.)  And, thank you so much for showing my listing and for your efforts."

Scenario 2. You leave town and have active listings, but haven't been getting a lot of action.  Don't assume that while your away thing will stay quiet.  Trust me, if you want to make the phone to ring, leave town. Therefore, see above messages for scenario 1.

Finally, when you return. Acknowledge all offers immediately, once again assuring the agent(s) ( and their buyers) that you are presenting the offer(s) in a timely manner. Don't forget to thank them for their efforts. After all, they were showing properties ( your's included) while you got away for the weekend.

If you're a listing agent who is going out of town for the weekend, enjoy your time away. However, your sellers deserve your continued marketing and sales efforts, so keep the basics in mind. ( Or stay home!)

 ( By the way, we submitted a very strong offer - $5,000 over asking price, and I still haven't heard from this particular agent. I have no idea if it was ever presented.)

LOVE this post!  Being unable to reach the listing agent on a property is beyond frustrating and with todays technology I can't think of a single reason it is such a common problem.  Whenever I leave town and will be unavailable I change my voice message on my phone with my associates phone number as the contact point.  I also set up an auto reply to my email as well.  The agent you are dealing with is doing a huge disservice to the sellers!!!

As pointed out, swap "favors" with another Agent who will take care of your business while you do the same when they leave town.

And then you get the agent who is on a 2 week cruise with a new listing and her coworkers decide to take time off also.  I'm ready to present an offer and am told to present it to the seller in person by the broker who is out of pocket also. I had to contact the seller because there was no lockbox on the "vacant" property and by appointment. I tried to sync all inspections at the same time. That didn't work, inconvenient for the seller. This was a 45 minute drive one way. Had to submit all paperwork to the seller at the property. God forbid go to his home which was only 10 minutes away. He didn't have a computer (I was informed and lied to). After all was said and done and closed, I gave the agent the broker whatfors and made a complaint to the board. I was told they did that often especially when the properties were so far out of town.

Holy Geez! The way some people do business just boggles my mind. This won't totally frusturate me beyond belief, and now you have to go to your clients and explain what happened. Another blow to the way people view Realtors. Its no wonder we get a bad rap, because of agents like this. Best of luck.

Not usually a problem for me. The RE market in our area is currently so strong that we usually don't review offers until the property has been on the market for a few days. I simply state in the remarks that offers will not be reviewed until _________. That takes care of most of the problems.

That being said, with modern technology it is possible to leave town and not have anyone know that you are gone. Taking that one step further though, if you allow it to that same technology will keep you too tied up to even enjoy your few days away.

Sheesh!  This is why I don't go out of town during the 'hot' season for more than a day or two. That's SURELY going to be when a great offer comes in, and I don't want this story to be about me!

Debb, I don't see how any agent could leave town after putting a hot listing on the market, or leaving buyers hanging when a great listing comes up with having this all covered.   That is why I take vacation in October/November.

Thanks for posting this, Deb.  Sometimes I think I'm the only one dealing with agents who cannot be reached and don't leave any indication on when they will be available.  Clearly, that is not the case.  It seems everyone encounters this.

I have learned if you get a hot listing like this that you put in MLS that seller is not reviewing offers for X amount of days.  Then put specific instructions in the MLS on how to write up the offer.  Seems that right now, multiple offers are the norm and not the exception so simpler to prepare at the time of listing.

Even if I go out of town, I always have email and phone access. What does this mean "I have limited access?" I think it means they just don't want to check their messages most times. I go to Russia every year for two weeks to visit family and it's a 9 hour time difference and never miss a beat on my business. Expect for time in the plane, they will find me albeit with the understanding that we have to adjust for time differential.
