Social Etiquette with Business Emails
Over 125,000 billion emails are sent and read each day and approximately half of all these email are read on a smart phone or tablet. Emails have replaced a lot of snail mail which is why the USPS is in financial trouble.
What does an email communication say about you? Do you have an email signature with the name of your business and your contact information or does it just end with the message? Are there typos or colored fonts in your email? When you send an email, it should be clear and concise and include a signature line or lines just like a header on a regular letter would have that you type and send. Does your email include a picture or your business card at the bottom? This is a nice feature as readers will remember your picture and company name for future communications.
When sending business emails, here are some simple etiquette rules to follow:
Use 'Black & White' text as colors are distracting and sometimes difficult to read. Use a business font and not some curvy or decorative font. Do not use CAPITAL LETTERS as it looks like you are screaming at the recipient of the email. Make sure there are not any typos as today most email has a spell check to use just before sending off your email. Instead of just typing, put in an introduction like 'Good Morning David' or 'Hello Tim & Mary' to make it directed at them and not mail merge to 100 people.- If it is more than 2 or 3 lines, skip a space between subjects and make paragraphs as it will be easier to read.
No cussing or threats as these types of messages sometimes never go away and follow you forever. If you are mad, cool off before replying. Your email doesn't have to be a book. Type your email to cover the facts but it doesn't need to be a full page. If your communication is lengthy and complicated, use the telephone and talk personally with the person. After reading your email, a reply that you recieved it is polite and doesn't leave them hanging Do not send bad messages through email like death notices, divorce announcements, or other life shattering news. Call on the phone if possible if it is regarding a long and complicated subject matter. If you are too busy to talk right now, email and set up an appointment to call at a later time convenient with both. Send a text if you want instant results as more people check text messages and read their email later. For instance, if you are running later. Better to call if possible. Try not to use 'Emoticons' or 'Smiley Faces' as they are not business like.
Here is an interesting chart showing what people are doing while reading email.
No 'Driving' while reading your email or text messages and no replying!
