When you're in the middle of a transaction, and you're emailing the other agent, lenders, appraisers, title companies, make the subject line of your post the seller/buyers names, with an arrow... like this:

 

SUBJECT: Brown----->Sever

 

Then, all involved know exactly what the email is about and can file it appropriately at one quick glance, without even opening it. Simple!

The subject line should always be

SUBJECT:  Property Address: Client Name - Brief Description

SUBJECT: 999 Mockingbird Lane, Charlotte, NC 28278: Joseph Seller - Home Inspection Repair Addendum

this allows for three subject search headers plus, you don't have to open the email to know what is is about and sorting is much easier. If the sender doesn't include the information in the subject header, OL will allow you to edit the subject line.

Carolyn- that's a great suggestion. I never knew you could change the incoming title in Outlook - t hat will certainly make searching esier.

Each transaction gets its own email folder in my main server and then sent to Top Producer for further organizing.

To keep folders sorted title listings as Listing>Street Name

Likewise for buyers use Buyer>Client Name

You can also create your rules for organizing based on part of the subject header. If the rule is set to send all incoming messages with the header containing the words "999 Mockingbird" to the designated folder created under the main property folder, all messages will be sent directly to that folder. You can also include your rule to send all sent messages referencing the property address to the same property folder.
