Pick up your phone and callYesterday, I received a inquiry from one of the sites I syndicate my listing to. She wanted to see my listing at 1216 Birk in Ann Arbor. She had requested on the showing request form that she preferred to be contacted by email.

 

Well, I am not going to email someone that I don’t know, have never talked to and say, “Sure, I’ll meet you at 1216 Birk in Ann Arbor, site unseen. I want to know who I am meeting, both for safety reasons and to get to know them, their specific needs through a phone conversation. I am not a Realtor that just opens the door for people. Nope not gonna happen.

This person, let’s say Wilma had given us her phone number so I called her.

Here is how the conversation went.

“Hi, Wilma how are you? This is Missy Caulk, you requested a showing on one of my sites for 1216 Birk in Ann Arbor. I know you preferred an email but I really like to speak with internet visitors before we go look at houses.”

“No problem”, she said.

Then the conversation started. I found out she had not been pre-qualified and was just contacting the listing agents on different web sites. Sound familiar?

 

I was able to explain the different ways Realtors in the State of Michigan are able to represent a person, including Buyer Agency. In the course of the conversation I encouraged her to visit my best search site: Search Ann Arbor Houses and told her we have Google Maps, Satellite Images and multiple photos.

“Oh, she said, we have been on your site before and really like it. We are registered under my fiancé name.In fact, we just emailed Pattie to see if we could see some other homes."

“Great”, I said. Pattie is one of my best Buyer Agents and she can show you not only what you picked out but also 1216 Birk in Ann Arbor. I would rather she show you that home, as you see I am representing the sellers and I would prefer to keep it that way. You can have Pattie’s representation for you 100%.

“Gosh, no one ever told us about Buyer Agency before”.

Well, we make sure before we show any houses that you understand the law in Michigan on Disclosure of Agency Relationships or the different ways you can be represented in a real estate transaction. I would have shown you 1216 Birk in Ann Arbor out of my fiduciary responsibility to my sellers, but I could not represent you the best on this house. (Yes, we practice dual-agency in Mi, but I have team of Buyer Agents, so why I?)

Now my blogging friends, what if I had not called her?

If I had not called her, we would not have found out all this information, and she would not have understood the different ways she could be represented in Michigan by Real Estate Agents.  

 

I promise you it would have been a one time showing.

They are now pre-qualified, they met Pattie at the office this morning and went over the Michigan Disclosure of Agency Relationships and looked at six homes including 1216 Birk in Ann Arbor.

I hear ya loud & clear Missy.  And if you had no registration or no such form, you probably wouldn't have ever even known this person existed, except as a hit on your site's back end.

I'm always so amazed when I get the calls from buyers wanting a "pop-up" agent, who have never had Agency explained to them. Their comment is usually "geez, I just wanna see the house - no one else made me sign anything". I don't do pop-ups either - too risky for my safety AND my license.

You did the right thing of course. I would hope no one would meet someone at a property based on an e-mail??? Very risky to say the least.

Missy, I get those emails quite often wanting to see a house at a particular time.  I'm with you no way am I meeting them without talking to them.  We really need to keep that safety issue in mind at all times plus are they even a qualified buyer.

Missy.....  you can get so much more in a 10 minute phone call than you can get in an e-mail. And it's easier to go over things on the phone. I just send an e-mail as a follow up if I get their voice mail. I had one client that went back and forth with e-mails.  I asked them to call me on my cell, but never heard from them. I don't have tome for that...

Missy, and how fortunate to communicate with a rational person willing to understand the concept of agency and representation. I'm often put off by folks -- they think agency is some boilerplate redundancy that wastes too much of their time.

Two weeks ago we had a young agent in Corona, CA who opened a door on her own to meet someone, she was stabbed and raped. She ran out of the house completely naked to someone who stopped to help. They later found the attacker, he lived in the same neighborhood. We can never be too cautious.

Nicely explained Missy.  I have been on the fence about registration on my sites or no registration.  I won't go show a propery without a discussion either - it is always a waste of time.  Do you think that when a buyer is ready they will contact you and then you can have the discussion?

Miriam, Well of course but buyers are looking at more than your web site, as there are hundreds of them, so when they register, I have a system to stay in touch so that when they are ready they remember us. But, a phone call is first.

David, I think more, based on the comments on Part 1.

Andrew, it is required here in MI, yet so many agents don't take the 5 minutes to do it. By the time Pattie met with them all they had to do was sign.

Jeff, some people would rather communicate by email and that is fine, until they are ready. But, I won't show houses to someone on line, I must have the discussion or else I am a door opener.

Missy pre-qualifying and going over agency law are two things every agent should always do but many times it seems to fall through the cracks. You handled this beautifully.

I read both posts and do agree with you, so long as the potential client has given permission to call. I'm laid back and low key in that way. Truthfully, if someone specifically said they prefer to be contacted via email...I'm not gonna call them. If I miss out, then so be it, but I want to respect their wishes first and foremost. Of course, there's no way I would meet someone at a home without talking to them, qualifying them, etc. I probably would have emailed them asking permission to call them and explaining why I need to speak with them...

Missy, I will not meet someone at a property before I have talked with them and found out if they are already working with a Realtor and if they are pre-qualified. Otherwise it is a waste of my time and theirs if we are viewing property that is out of their price range.

Just e-mailing leads back and forth doesn't cut it at all...I agree. The buyers think that they want this but they really don't want this either.

Missy- This just brought up the point that no one should ever go meet someone alone without meeting them first. A woman called the agent in Fred's office and she was murdered at the showing. This is serious stuff!

MISSY - As much as I love e-mail, when it comes to dealing with buyers, I always speak to them on the phone.  If I can't get them on the phone, then it wasn't meant to be.  E-mail is great for saving time, but if we meet people without speaking to them, all of the benefit may be lost, and time will be wasted.
