Every now and then an agent who purchases my pre-written prospecting letters will call or write to ask how often to mail them.

The answer always depends upon the letters and the circumstances. If you're reaching out to short sale prospects, you need to contact them every 3 or 4 days, because they're in a time crunch.

I'd also write to expireds and FSBO's more often, simply because they might be in a mood to make a decision soon.

If you're writing to a geographic farm area or a niche market, every couple of weeks will likely do the trick.

If you're staying in touch with your sphere of influence and past clients, once a month is fine.

An agent wrote last week to ask if I had a longer set for prospecting to estate executors. His idea was that you need to stay in touch monthly for at least a year and a half.

So - the answer, unfortunately, is that there is no hard and fast rule.

Meanwhile, what prompted this post was a case of "It's not enough - it's too darned much!"

snarling dogMy husband likes cigars - one per evening. Thus, a box of 50 lasts more than a month and a half.

Two weeks ago he was getting low, so I placed an order with Thompson Cigars. It's easy to do because they send promotions at the rate of a couple each week - or at least that's what they USED to do.

Ever since I placed that last order, I've been getting promotions at the rate of 2 or 3 per DAY. The result is that I'm becoming less and less fond of that company. I'm starting to want to snarl and scream "Leave me alone!"

What does this have to do with you?

It's simply a caution.

It can be tempting to write every day, but you probably shouldn't do it. Every 2 to 4 days is probably fine for those who are in need of an agent soon, and every 2 to 4 weeks is often enough to keep you "top of mind" with prospects who may or may not be thinking of selling.

Another example of too much...

I know no one on Active Rain would be this silly, but do have to share an experience from a few years ago...

I entered my name on an agent website just to see what he was sending... and I was sorry!

The first day I got 10 messages, all written to a different target audience. He covered everything from my impending nuptuals to my move to a nursing home.

Then, for about 2 weeks, I got from 3 to 5 messages every day - equally unfocused.

I suppose he thought he was using the shotgun approach, and that one of his messages was bound to hit it's mark. All it hit with me was a thought that he was "goofy in the head."

I know of some in my inbox that overdo it.  Really...unless I am expecting an email from someone, I just delete them.  I have no time for ads, business propositions and so forth.

Marte, you make a good point, sometimes you just can't put your email drip campaign on auto-piolt, like the two examples that you gave.  The one from the broker is hilarious.

Chris Ann - Some ads I don't mind, but I sure don't need the same ones every day, or more than once a day!

Adrian - I love auto-pilot, but you do have to sort your lists and schedule your mailings so they don't all go out at the same time.

Talking about overkill.  I wonder if anyone has called to bring this to his attention.  He obviously needs some guidance. Hopefully, with the proper guidance, he can be more focused on what to send, when to send, and to whom.  This is really good information for prospecting.  Thanks for sharing.

Diana - I wrote to him the first day - and I think I made him just a bit angry.

Actually, at first I thought it was an autoresponder malfunction.

Being as non-techie as I am, I could imagine someone thinking they had messages set to go at intervals, but messing it up so they all went out at once.

But no - he intended it that way.

This is good advice for real estate professionals. Weekly emails to the various categories in your database will also create results.

Marte- when my husband smoked cigars, we used to order from Thompson's all of the time.  I agree, there's a line between not enough and way too much.

Kathy - I think I'm especially annoyed because they seem to have both of my email addresses, plus my husband's - and they all come to me in one place. I've already deleted them 3 or 4 times today.

Marte, thank you for stressing what we all know, too much of a good thing does not usually sit well with most of us. I like ice cream, but a pint every night is too much to be considered a special treat.

I have different drip campaigns that go to different people. Clients and referral partners. I have tested this out a few times and have found that once a month works the best for me.

It is really hard to get it just right.  You have to drip it enough to make them remember you, but not enough to irritate them.  I have a very nice vendor who is calling me at least once a week. I admire her tenaciousness, but I really don't have anything to say to her every week, nor business to send to her every week.

Ben Kinney has a program called the "10 Days of Pain" where you literally harass a prospect until you get the job. I can't bring myself to do it. It's not what I want my business to be about. However, as we all know, Ben Kinney is much more successful than I am.

Tammie - Good for you. Some people thrive on being pushy and obnoxious - others of us would rather get clients because we have something of value to offer, and are reliable, honest, and yes... nice. We go for long term, trusting relationships.

Dan Kennedy promotes the "assumptive approach" where you write a prospecting letter that says "I know you're thinking about selling your house." That one makes me gag.

If someone wrote that to me I'd think "You don't know one Da^% thing about me or what I think, and if I was thinking of selling, it sure wouldn't be with you."

Obviously, the obnoxious approach can work. But I don't want to live that way.

I'm glad you don't either.

Sarah - It all depends upon the list. People who need to sell (they're behind on payments) need to hear from you often. People in your geographic territory don't. Once a month is probably enough to make them remember you.

Of course, if what you send is really interesting or useful to them, they'll welcome your mail even if it's once a week.

Marte~ There is definitely a "too much" aspect to the marketing. Through our Chamber of Commerce website we have something called Chamber Chat. You can opt to sign up or not. When someone "posts", you'll see it if you've signed up. I don't want to miss anything so I'm signed up, HOWEVER, there is one business that posts EVERY day. Makes me want to stop getting the updates from everyone.
