Should this be a secret?

There's an age-old problem in the real estate industry! I guess there are many; however this problem is if you should tell your clients that you're going out of town? How much information it is too much information for your clients? Since we live in an age of instant communications with cell phones and computers it is now possible to be away from your client in another town, state, or country. The bugaboo becomes Murphy's Law, which is, if something is going to happen it's going to be while you're out of town.

Most of us cover ourselves with another associate or assistant that will take care of any problems. Some say the can't afford to pay for another agents time; I can't afford not to. 

How does this make your client feel especially when you haven't told them you are going to be out of town? How would you feel if the roles were reversed? You spend months nurturing each client in a trusting relationship but I know several agents who won't tell their clients anything about their personal life. I have watched several occasions businesses weather out of town are on vacation, 80% of the time nothing happens. It's that other 20% of the time it becomes an agent's nightmare.

If the other agent hasn't told their client that they are leaving town you are usually the blunt of anger or accusations. If the other agents instructions are poor and is not a very good bookkeeper, you could end up almost rewriting a whole contract. Especially if you can't reach them for some period of time. Now that's scary!

If I'm going to be gone longer than a day or two and I'm leaving the area; I always tell my clients about my plans and who is backing me up. Most of the time this is okay however there are cases when a client is caught in an awkward moment and anger follows. It might not be anything you've done but this is the last straw and stress explodes all over you. What are you going to do?

I really think it depends (which seems to be the answer I'm giving more and more these days!) Depends on the client, where we are in their transaction etc.

Today's world makes it easier for us to be reached.  We are always with cell phones, Ipads, etc.  I can handle just about anything that comes up.  However, I do tell when I will be out of town for a few days, but I am always reachable.  If I'm going to be gone for an extended period, then I will get someone to cover.  Even then, I'm still reachable by email.

I was gone for a short vacation about 2 months ago (Wendesday to Monday, just down to Florida). I told clients who said I needed it. I did have a colleague do a few things for me, but I still was checking messages and on my phone several times throughout the day.

Excellent point.. I let them know at least 30 days ahead of time, where, why and when I will return.  After I come back,  I write a "letter from the Heart" appreciating their business and because of their business I was able to have that vacation.  I say TELL THEM.

Paul, it's important to have someone fielding our phone calls while we are away on vacation.  Our clients want the comfort of knowing they can reach someone they can talk to while we are away.  Otherwise, we're dropping the ball.

Paul...Great blog!!  I make it a point to always be connected...even when on a personal weekend, vacation, or such.

With today's technology, it really has been wonderful for us smaller 1 and 2 man operations.

My clients can reach me 24 hours a day 7 days week. Rarely do I have anyone be disrespectful and call in the middle of the night. If I am at church, or in a meeting, I will call back as soon as I can.

My clients know they can always call me direct on either my 800# or my work  # as both ring to my cell phone. So the call is always free when trying to reach me.

They can e-mail me, text me, Facebook, linkedin, google+ plus me, tweet me (though none tweet me), they can contact me via Active Rain, and other ways as well.

I upload to my database all documents in the file so I have it even if I only have my iPhone with me.  If I am going to be gone for more than one day...and am not flying...I might take the hard files with me in my briefcase.

I am way easier to reach now than even 5 or 10 years ago. 

I do not normally do listings where a lockbox is needed as I normally only sell farms. 

In the rare instance where I do have a listing that I need backup on...I have a local small broker that will cover any showings for me.

This day and age there really is no excuse to not be available to my clients and those either interested in my listings or in using my services.

Is it perfect?  No, but definitely fair and workable.

Very good topic, and very deserving of the Feature, Paul!  Communication is key.  I've always told clients when I was to be out of town or away.  I also have cover from another agent, or arrangements when I do.  These past few years have seen a lot of agents missing in action, without any seeming backup in place.  That's totally unprofessional in my opinion.

I always arrange backup when out of town - if we have an active deal happening, my clients are told - otherwise not necessarily.  Its a need to know situation.

Great post, Paul... I think it's a good idea to tell your clients you'll be gone. They may not like it, but people do have lives. I'm also a big believer in Murphy's Law. Even more reason to give ample notice and let them know what plan B is...

I don't mind telling them and I always have someone to cover for me.  And I cover for agents who work for my brokerage (as part of what I feel is my duty as a broker).  Today in fact, I showed property for an agent who recently had knee surgery and has not be released to drive again yet.

You should also let them know if you are going into the hospital etc.   Last year I had to have surgery and it pretty much took me out for about 6 weeks.   My clients knew and they also knew my brother/partner was covering for me.    They also knew I had my laptop and phone with me so they could call me if necessary.   I was probably more of a pain to my brother than they were.  I remember coming out of anesthesia and asking my husband for my phone to call him and find out if we had heard about an offer I had done the day before.  LOL

Of course you tell them when you're leaving town as it's the proper thing to do.  Likewise it's nice to know if they are leaving town too.

Paul, unless we are going away where we won't be reachable, we might not let anyone know we are out of town. We take quick trips and answer the phone and emails. We do have back up if needed and of course, if there are scheduled events, we will let everyone know.

Paul depends on they personality..... I am one of those guys who is always answering emails...or voice mails even when I am on vacation....people would not know if I am working or on vacation...my style is seamless.... on the other hand if I plan on being out of pocket such as being overseas or out of email range more than 2 hours... I let all my clients know...and they all get it it is no big deal...on a side note loved the picture, Endre
