Electronic documentation is on the rise

My company recently converted our manual document processing system to an electronic system called Dotloop.  The new system is pre-populated with all our state and company forms. By starting a new "loop" or transaction file, adding the appropriate documents for a listing, purchase, landlord or tenant, and completing some basic information such client name and address, the forms can be completed very quickly. Once completed, they can be easily sent to clients and signed with a click or touchpad signature. All paperwork can then be downloaded or emailed wherever it needs to go.  Voila!  No paper!  Piece of cake!!!!

Well..... hold your horses Charley!

The above is the goal and perhaps someday the electronic system will work as well as the paper system has worked for years.  But there are some snags that need to be resolved first:

Email addresses.  Every client or agent or attorney that is going to sign the electronic form must have their own email address. That sounds like a simple thing, but I have found that many couples now share an email address.  This process simply doesn't work with a shared email address; every person who needs to sign must have their own which certifies they are the one approving a form. So probably about 25% of the clients I've worked with cannot use the system due to an email address issue.

Internet.  Believe it or not, there are still a small percentage of people who don't have Internet access and do not want it. In fact, I had one client with no Internet or cell phone or email or any related options.  That small percentage can't be handled electronically either, although I'd bet this portion is somewhere close to 1-2%.

Technological skills.  Not everyone can learn new technological programs easily.  I had one couple who just could not figure out how both of them could log on and 'sign' forms.  It took several days of explanations before they admitted I should just fax or email everything and they'd print them out, sign them, and fax or email back.  If they lived closer I would have just dropped them off, but due to distance we had to choose another option.  I think this category of non-electronic user is about 15-20%.

The above would indicate that perhaps 50% of clients can use an electronic document service, but that ignores the fact that there are definitely a portion of agents that aren't technologically skilled either.  So while I do think eventually being paperless is going to be great, at the moment we're probably only doing about 15-20% of our files electronically and the other 80% on paper.   Sometimes progress comes at a snail's pace.

For now, paper continues to rule.

Kat, Just recently converted to Docusign and loving it so far.  Minor learning curve shortened significantly thanks to our office admin/trainer!  Like you said, still some potential snags, but with free email accounts perhaps easy enough to have a spouse get a "disposable" email account long enough to complete a transaction if need be.  Sure beats looking for a Kinko's at 6 p.m. on a Sunday night when the clients are hours away from home :)  Bill

And if we want, we can just use the electronic on our side and send the signed PDF to the other side and they can go wet ink signatures or upload to their own electronic signature process.

The great thing about Docusign is two people can use the same email address.  No complaints so far, and my clients LOVE it (although they tend to be part of the younger set of buyers and sellers)

Kat, it sure will be great once everybody gets on the bandwagon.  We're seeing a higher percentages of clients doing this electroncially in my area.  Best of luck during the transition.

Good morning Kat. I always have a concern, but the mortgage industry continues to move more and more in that direction. I'm already sending so much electronically, but more will happen for sure.

Hi Kat.  I still make a paper copy of that which is saved to my computer.  So much for saving paper.

I use electronic documentation in 90% of my business these days. In the past 15 years, I only even had on client who didn't have email or a computer. But we do need to be aware of the fact that these people exist.

Kat, I just don't think that any of the programs out there have gotten in right yet. It should be much simpler for the user. As far as email addresses, or no internet access, there is nothing we can do about that.

Bill - I think the potential of electronic signatures is huge.  And we do wind up uploading a lot of "wet" signatures into the system.

Dawn - Ahhh, that's a benefit of the Docusign system then.

Michael - Thanks!  There are a lot of frustrated agents!

Joe - Yes, we'll all be "paperless" soon (but I keep copies of everything anyway)

Conrad - Me too; I have files at home.

Nina - Wow, that's great!  We're way behind in terms of technology-ready clients!

Troy - Yes, it should be something clients don't even have to think about.

Kat, Our company is working on making that change too. We'll be faced with the same issues and have been discussing how we'll handle the changes.

Whitney - Today I had someone who seems to be on top of technology who was insisting there was no spot for his signature.  On my side, I could see where his name was.  We wound up reverting to paper - it was too frustrating.

Kat Palmiotti , our office converted to Dotloop about 2 years ago and it is now the mandated system for our region. There was a learning curve at first, and yes it can still be challenging at times, but by and large it has made a HUGE impact for us and our clients. Hopefully it comes together for you! If you need any pointers, we are happy to help.

Signature - Thanks!  I just put together a bunch of documents for one of my buyer clients, and ~10 minutes later, everything was signed.  Love that!
