4 Email Fails And How Agents Can Do Better

I love technology. I really do. I love the way I can get things done so much more efficiently in 2015 than I could in 1990. But, as we adopt more and more technology into our daily lives, we seem to trend away from face-to-face communication. Voice communication… the stuff that sales and relationships are made of.

As an example, off the top of my head, I can name a number of transactions where agents in my office texted all the way to the showing—never having spoken to or met the prospective buyer prior to the showing appointment. And, as further proof, I offer my own family’s cell phone bill, where my elder son (a millennial) logs 2500+ text messages and less than thirty minutes of telephone time per month.

But, when it comes to real estate, I’ve seen agents who rely too heavily on email actually kill their transactions as a result. Here’s a handy list of 4 opportune times for agents to pick up the telephone as opposed to sending an email or text.

When to Pick Up the Telephone

  1. Showing Appointments. You tell me… how much fun is it to go out, show a property, write a contract, send the contract… only to learn that there are already multiple offers higher than your client’s offer? Prior to showing is a great time to touch base with the listing agent to assure that the property is still available and also to learn of any subtle nuances or intricacies in the transaction. (As an example, if the seller needs to sell at a certain amount in order to payoff his mortgage and your client wants to make a very low offer, that bit of information about the seller’s situation would have been helpful to know prior to showing.) Read: pick up the phone.
  2. Making an Offer. In most parts of the United States, offers are sent to the listing agent via email. However, as you probably already know, many emails end up in spam boxes. And, emails with large attachments often spend an eternity in cyberspace. If you want to confirm that your buyer’s offer gets where it needs to go (and maybe if you want to do a little selling of your client to the listing side), then call to confirm that your offer was received. Read: pick up the phone.
  3. Negotiating Terms. Instead of going back and forth in email, try negotiating terms over the phone. Then, when you write up a counter offer or a request for repairs, you already have a pretty good idea about the direction of the negotiations. I recently saw a deal about to go south because of a problem with the appraisal. When one of the agents finally decided to call the other, the two were able to solve the problem and the result was a successful closing. Read: pick up the phone.
  4. Solving Problems. Email is forever, so cool your jets. Never, ever type something that you will regret down the road. Don’t swear or tell people where they can go and how they can get there. Instead, pick up the phone. I’ve seen countless agents act like email bullies (my term). Meaning, they say all sorts of stuff and act all tough in email. But, when you pick up the phone, they are smooth as silk. It’s almost as if writing the words and not being face-to-face gives them the courage to say more than they should. Read: pick up the phone.

I get so much done via email, and using my computer. But when it comes to delivering bad news, solving problems, or obtaining quick and easy information, you can accomplish a lot more in one phone call than you can in 10 emails.

 My experiences tell me that you need to evaluate every circumstance differently. I see times when it could only make things worse, but times when a phone call can solve ANY issue. The KEY word being experience!

The problem with this thought process, Melissa, is it's a two-way street. You can lead an agent to call another agent, but that other agent has really got to want to be called. They need to answer the phone. And therein lies the problem.

Melissa, I agree with you 100%, along with many of the comments here.  Elizabeth Weintruab does have a point though...it's hard to have a phone conversation with someone who doesn't pick up the phone!  Maybe we should issue a National Pick Up The Phone Month??

Well done. I have been using eMail before they had internet way longer than I wanted to admit. I recall a phone hub that was accidently destroyed by a street bulldozer.  This was in the mid 1980s. The entire company which had a huige presence was communicating internally and with other company installations uninterrrupted via "Profs" a forerunner of eMail or Lotus notes that was later popular at White House and US government also.

Fast forward to real estate. In getting and processing offers, I do not even pick up phones. The instruction is clear and explicit.  I will contact the winner by phone and quickly advise those who did not get it accepted by eMail.  While some people want to hear their voice it is more effective to do it by eMail.

Right on, Melissa.  Email and texting have their place.  But for Offers, Contracts, etc. a confirmation phone call is in order.

Yes, Melissa. Texting and emailing has it's benefits, but a good old fashion phone call is needed in solving problems, getting confirmations, and making sure things are on target too.

Exceptional service is my standard expectation.

Pick up the phone is a good start. I have email, if I wanted an email reply I of emailed in the first place. I have text, if I had wanted a text reply I would of text in the first place.

I recently had a buyer terminate a contract due to the listing side's inability to get a contract executed for 4 full days and a portion of two more days. The buyer was afraid they couldn't handle a repair amendment in a timely fashion.

This reminds me of why I purposely sign up as a subscriber to an agents IDX site. I have signed up with accurate information and no phone calls from 5 out 5 of local agents. But, I do get autoresponder emails that really make me want to call the agent, NOT!  Agents, when you spend money on marketing spend more money and time calling those suspects before they use the next agent.

Time and a place for each method of communication and for me the circumstances dictate which to use. I have had a couple of instances recently when emaiil or text is the only useful methos to communicate becasue the agent has been so obnoxiously opinionated that it is impossible to make a point by phone due to interuptions or rebuttals before a sentence can be completed.

Have to agree. Had 2 offers emailed to me & no phone calls. They sat in my spam folder for a few hours before I looked - told the agent - how about a phone call?

I agree that at times it makes sense to discuss with the other agent before you submitt and offer or a counter.  It saves a lot of time.  On the flip side I will not take out right offers via the phone.  Some people want to know what you will take.  i say put it in writing.  Half the time counter offers are not about price, but about book keeping issues, like Title and Escrow, and so forth.   Get those concerns in advance.

This was on my "blog idea".  Personally, I am old school but tend to adapt to my customer's choice of communication.  However, texting can be a disaster. It has its place(running late, can you pick up milk, love you....etc) but I will never understand relying on this method of communication when this much money is involved. I had a customer who insisted on texting and some of the texts were quite lengthy. It was as if I was trying to read those clever license plates that people come up with.  By the time I deciphered, hopefully understood and answered I felt frustrated with the amount of time required when a simple 5 minute phone call would have solved the problem. This particular customer would not speak to me. I would call him and leave him a message that we must speak and I would get a text back. PICK UP THE PHONE, PLEASE! UGH!
