How to Hold a Productive Video Conference

                 If you aren’t already conducting meetings virtually you should try it out in 2016.  Everyone is connected to a computer and the internet, which allows physical proximity to not interfere with daily business meetings.  Everyone has hectic schedules and your clients may have crazier schedules than you.  You might also be doing business out of state.  That’s where video conferences shine.  The ability to instantly connect with another party is a priceless asset.  In Highlands Ranch property management, we conduct several of these web meetings a week.  We have many owners in other states, and some vendors who do work for us remotely.  Here is the best way to keep a video conference sailing smoothly.

                Make sure all video and microphone problems are figured out prior to the web call.  Most all web meeting software will alert you to non-working portions of your setup.  This eliminates all instances of “are you able to see me on your screen?”  With microphones make sure you do not have more than one enabled at a time.  Most desktops have built in microphones and most webcams do too.  Make sure one or the other is activated so that you don’t have the annoying echoes that take over the conversation. 

                Remember that business etiquette is still the standard.  A web cam meeting may feel a tad informal but you will still need to maintain good business practices.  Be engaged, not checking notifications.  You may not be able to make eye contact but the person you’re talking to can see your body language.  Be sure to stay on time.  If you have sorted out any issues with your hardware ahead of time you should have a smooth sailing call.  One final tip is to send invitations through Outlook for your call.  It will automatically update the other person’s calendar once they accept the invite.
