In this series, I've been talking about utilizing more of the features in Top Producer to make it work better for you.  In the introduction to the series, I talked about the frustrations agents have using Top Producer in Making Top Producer Work For You.  In part one of the series, I began talking about How to Use Top Producer for Lead Management, which discussed capturing lead information from your website and assigning multiple categories to your contacts.  In part two of the series, I discussed a few more ways to use Top Producer to manage your leads.

In this post, we'll get more into using Top Producer for tracking marketing expenses and marketing listings to the outside world as well as keeping the sellers in the loop.  This post will focus on:

  • set up websites for sellers to see all marketing activities conducted on their behalf


Top Producer gives you the ability to set up websites for your sellers to be able to see the marketing tasks you've completed for them.  You can, therefore, also keep a running list of completed marketing tasks that can be put on a marketing service report to send to the seller or that they can access from their website, which I will cover in the next installment.

Setting up Websites for Sellers

  1. Click "Listings," "Current Listings."
  2. Select the listing for which you want a seller website by either double clicking on the property address or clicking "View or edit listing."
  3. Click the tab for "Seller(s)."
  4. At the bottom of the screen, click "View Contact."
  5. Toward the middle of the screen, where the tabs are, select the tab for "Customer Web Page."
  6. Click "Create a customer web page."
    • If you have not already set up the preferences for your seller websites, the system will walk you through the process (it is all step-by-step).
    • All of the text on the customer web pages are customizable.  Just change the text in the appropriate boxes.  If you want to change the boxes at a later time, you can go back in and make those changes.
  7. You can either use the automatically-generated username and password or create your own. (We always made it as simple as possible by using the first and last name of the wife, if they were a couple, or the seller if it was just one person.)  To create your own, simply type in what you want to use for the username and password in the appropriate boxes.
  8. You can then e-mail the login information to the seller by clicking "Email username/password to this contact."  It will send a system-generated e-mail to the seller. Alternately, you may send your own e-mail to the seller and just include the login information.
  9. At the bottom of the screen, click "Close" then click "Close" again.

Renae, I didn't know you could do that with TP right out of the box.  I have downloaded 8i, but am still using 7i.  I haven't had time to explore 8i at all yet.

Hi Brian - You can do everything with TP as soon as you get it set up!  I've started using 8i for several of our clients who have been switched over and I love it  It has some kinks to be worked out but it is nice.  Let me know if you have any questions about 8i!
