5 Ways to Stay Balanced in Your Real Estate Business
Summertime means hot days and a hot moving real estate market. With increased inventory, interest and a busy open house season, agents are constantly trying to find a balance between business and their personal lives. And when the market is hot like this, balance is truly hard or impossible to find.
You want to figure out how to be successful in this market, while spending quality time with the people who matter most. To help you with this, here are five ways to leverage your time and balance your business to live the life you want:
Systemize Your Workflow
How do you do each activity for your business? Do you do it the same way each time? Be consistent in your activities as this will help you create a streamlined, time-saving process.
For the tasks that don’t vary much, write a how-to manual and checklist for those activities. Follow that checklist every time and:
1) Nothing will slip through the cracks – allowing you to sleep through the night because you’ll know you aren’t forgetting anything.
2) You will reveal the unnecessary/time-sucking tasks and fix them, streamlining the process further.
3) You will show consistency and clarity to your clients – meaning more referrals for you!
Consistency is key for forming good habits and speed. Bonus: You can easily pass these tasks and their manuals to assistants and team members to further leverage your time.
Schedule Your Time and Tasks
Schedule your to-dos in a calendar and don’t look ahead! Focus on today’s tasks and stop worrying about the next steps until they come up on your calendar. Take it one day at a time – your long list of to-do’s will seem more manageable as they come in shorter bursts. Try loading your tasks into a digital format (Google Calendar, Brivity, other scheduling apps) to remind you only when the deadline is near.
Time-block. Gary Keller, author of "The One Thing," and co-founder of Keller Williams Real Estate, preaches the necessity of creating time periods for your workflow. Set a time for your prospecting, respect it and allow no interruptions. Do the same for administrative duties, paperwork, etc. After you’ve put these tasks in digital form, share it and keep your team and yourself accountable.
Automate Your Communication
Nowadays, we use many different methods of communicating, such as social media, emailing, calling and texting, to name a few. Spend some time organizing how, when and where you manage these communications.
Create templates for those emails you send out during every transaction. Use them in your CRM and save yourself some typing time.
Use a calendar or task manager to schedule your touches – when you should call, send a text or post something on social media. Using sites like Brivity, Hootsuite and even Google Calendar, you can set reminders for these types of communication; some can even create ready-to-go templates and automatic send-outs.
Automating your social media and your “often-used” scripts frees your time to reply to custom communication and new prospects. Automation cuts down the mass amounts of communication needed to a more manageable amount.
4. Network and Learn From Others
Why reinvent the wheel? Connect with your industry colleagues to learn about their daily operations and how they achieve success. Join Facebook groups or follow blog sites (like this one!) and spend your time discovering what others have already tested for you.
This is a great way to find out about fantastic products that can propel you forward or opportunities for industry training to expand your knowledge and skills. As you add to your knowledge and software portfolio you’ll leverage more and more of your time – all from connecting with others! By taking what you’ve learned and making it your own, you have the ability to create efficiencies where it may have lacked and ultimately help you grow your business.
