THE 15 GOLDEN RULES OF EMAIL ETIQUETTE
A colleague, the CTO of a company in my other life when working on telecom, advice very good tips for handling email. At that time I was the COO of the company. I owed him most of the rules I have adopted and put together a few more
1) Please don't send attachedletters, just place the note in the email body.
2) Please do not send heavy attachments, send then by any link method such as dropbox
3) Don't use all CAP letters, people would think you are shooting at them.
4) Don't use email for an emergency situation, make a call.
5) Don't use email to give bad news, especially on a Friday afternoon
6) Don't reply ALL, this usually becomes a chain of emails from all the ones addressed in the original email, very disturbing
7) Please write the proper language and don't mix, use a speller and make sure it works
8) If you are angry, please do not write an email, just cool down and write afterwords.
9) Don't be sarcastic
10) Re-read the email and full proofread your email before sending it.
11) Be short and concise and don't send a trillion items in one single email, the messages will get diluted.
12) Refrain from marking “High Priority”
13) Have a consistent signature with all your relevant information in your desktop, iPad and iPhone.
14) Rate your email before you send it, remember what you wrote can be forwarded, copy and paste, and so on, in other words can be in the media for ever.
15) Review your email ONLY 4 times a day, otherwise you will get distracted all day and you won't be able to accomplish your daily tasks. Depending on your responsibilities and roll in the company, I would advice to read them, at 7:00 AM, 11::00 AM, 2:00 PM and 4:30 PM
