As a notary, you'll have the greatest opportunity to earn income working as a Loan Signing Agent, and after four years in this profession I have gotten used to many things - last minute signings, e-docs (loan docs that are electronically transmitted so that you can print them), keeping a smile on your face when in front of a difficult borrower, etc. But one thing that I still do not like are fax backs!

This is when the company that has contracted you requires you to fax back a portion of the loan documents after the signing for their review. I know it is a necessary evil in some instances but when I have to fax back 20 pages and more I am a little irritated.

I mean what are they doing with all this extra paper?! You are overnighting the documents back to them so what is the big deal.

I could understand if they were asking for just the notarized documents to review so they can catch any errors early but I just faxed over 50 pages for a Countrywide loan and only three of the pages were notarized! Faxing that many pages took more than 30 minutes.

Thankfully, this does not happen all of the time or I would be pulling my hair out.

9 Comments on Fax Backs Can be a Pain!

I FEEL YOUR PAIN DIVA. IT'S EVEN WORSE WHEN IT'S AN EVENING SIGNING AND IT REQUIRES YOU TO GO BACK TO YOUR OFFICE. AND OH, THE WONDERFULL CALL BACK FROM THE COMPANY THAT THEY DID NOT HAVE PAPER IN THE FAX MACHINE OR PAGE 23 THROUGH 49 DID NOT COME THROUGH. THE GOOD NEWS IS, YOU GOT THE CALL TO DO THE SIGNING.

It is a pain and really isn't warranted.  This is truly to most irritating request of them all.  In some cases you not only have to fax but wait for them to review and give approval to ship the docs.  That can be an all day affair...what a killer headache!

My objection to fax backs is waiting for the call from the company so you can FedEx them back.  My MFC 8860 sends the faxes quickly; not like my old one where I had to hand feed it.

One quick way to stop request for faxbacks is to charge a nomial $5.00 and the issues will die or you'll earn $5.00 for your efforts.  Many notaries are fearful of making extra charges for extra services.  It is a call you'll have to make if you're planning to be successful and paid fairly for reasonable services.

Its a good idea to require a fee for fax backs but it needs to be established before the signing.

Include it in when you negotiate your fee.

I agree, fax-backs are a pain! But I have a policy, the first time I work with a client, no matter how many pages are required to be faxed back, I do it free.  SOMETIMES on the 2nd signing I'll do it for free if it isn't too many pages, but after that, they know my quality of work, so I charge accordingly. Then I don't mind it so much because I no longer feel I am doing work without pay.  I normally charge $25, but if it was 50 pages, I would probably charge $40.  The exact charge depends on the number of pages, for example, if it was 1 or 2 pages, I still probably would not charge, then as the number of pages increased, charge from $10 up in $5 increments.

I have often wondered the same thing about having to fax back even though they would be getting the package the next day...(if time permits to get package sent right of way!), However, it always perplexes me when I do some of the LATE NIGHT signings...and there have been a few...even up to 10PM and later!  With midnight just around the corner...what the heck?  I've had just one particular company request that, and interestingly enough, never has requested that again...but it certainly didn't make sense...at least not to me...however, I do what I  am asked to do, within my legal and ethical limits, and since I am getting paid to do so, but yes, this has occured to me as a bit odd.

That used to happen to me before and yes, it is a pain on the neck. I agree that some fee should be charge for faxing back (althoug I always think is not the borrower fault to paid for this) The good thing now is that more and more signing companies are testing you and once they know your knowledge on the loan docs they might feel at ease and give us a brake. We are professionals and we have to do what they ask us to do and provide the best customer service.
