After cleaning out my file/storage cabinets and literally filling up one quarter of a dumpster at my complex on Sunday I had an epiphany. While writing Is Your Office Organized?  it dawned on me that all that clear space was bound to bring something great.

My last statement in that post: Now that I'm all organized....  Okay, ready for that next client!  

And then it happened!

A Hawaii Home Seller walked in to the office yesterday afternoon and we made an appointment for this morning at 10:00am to list their Mililani Home.

I had also been putting together a different approach to a Listing Presentation and this morning I awoke at 5:30am excited to finish it and USE IT!

I structured the cover of my "Presentation for the Hawaii Home Seller) with the picture I used on ActiveRain for my header (The Bird of Paradise is from my mom's back yard in Mililani so it MEANS something to me. A home is where family is, right?) and just my info at the bottom.

Each section of my Presentation for the Hawaii Home Seller folder has a document inside a plastic sheet cover and basically the contents held the following:

  • Each website (printed on each page with a past listing) I advertise their listing on while explaining the significance of buyers now searching the internet first ...before actually contacting an agent or going to an  Open House.
  • Century 21 Seller Service Pledge (As a Century 21 agent I will provide the following services etc.)
  • My brochure "Things to Consider When Selling Your Hawaii Home"
  • Tips for Sellers - Things to do to prepare your house to put on the market.
  • Checklist for the Seller - For their own walk through and check off of things that need to be tended to.
  • Real Estate Services Directory - With my personal references for service providers.
  • Comparative Market Analysis - (with like kind properties in their immediate area) along with printed listings of those sold properties) for our current Hawaii Real Estate Market.
  • Property Flyer (designed exclusively for that property by "Sally")
  • Exclusive Right to Sell Listing Agreement (Three pages)
  • Property Profile Sheets (Two Pages)
  • Our Hawaii Association of RealtorsPurchase Contract (Standard Form is 12 pages)
  • Seller's Real Property Disclosure Statement (four pages)

The website page inserts are to show that I do more than just enter their listing into our Multiple Listing Service. I go the extra mile. 

The purpose of all the Standard Forms in my presentation book are so that I can briefly explain that I do more than just market their home and I do more than just hold Hawaii Open Houses. I walk them every step of the way throughout the before, during and after marketing period as well as the transaction period  to closing :)

And BEFORE going through my presentation I walked the property with the seller and LISTENED to their needs. I LISTENED to their wants. And we communicated together to come to an agreement for listing. UPDATE:  (We'll sign next Tuesday...same time, same place)    We signed this morning and they must have been working since I left yesterday because it's almost ready to go! 

Cleaning did matter after all didn't it?  The epiphany. Out with the old...in with the new :)

Sally,  Thats AWESOME! I'm in the midst of doing something very similar (preparing a new listing presentation pkg) and it all started when I did a total decluttering and clearing out of my desk and work area about a week and a half ago....

I love the way you've organized your presentation and absolutely think your folder is gorgeous.....in fact, it's so lovely, do you mind if I steal your idea and have my own folders made up with a the picture taken off of my blog banner (north beach, one of our local beaches)? We use a presentation at Weichert too - it's an over sized portfolio and I will say this - it impresses sellers to have something with you to show them that is organized, pleasing to look at, and informative...it shows them that you are a professional who cares about what you do.

Sally, great stuff.  Thanks for sharing it.  I had to laugh though as I have a friend who uses these plastic sleeve inserts for everything... including a 3 ring binder full of take out menus with each menu in it's own sleeve!  Obviously, she is much more organized that I am!  Yesterday her market analysis was too big for the usual binder she uses (which is some sort of heated thing that binds the edges).  I gave her a 3 ring binder and she asked me if I put each page in a sleeve.  We all laughed because of her sleeve fascination and then I laughed again this morning!  I'm sure it does look much more professional with each page in a sleeve.  Have a great day.

Your listing presentation looks very thorough. I use to have a large one I kept adding too, it finally got to big and I started over.Now I send the pre-listing one, and when I am with them only listened. I also pull up on the computer what is active in the price range to prep them for the CMA.

Sally,  Nice listing presentation book.  I used to use one like that, now I put together a presentation folder with their home superimposed in the background and give that to them, but do go through all the sites, etc.  Do you leave this book with them, or is it just for show?

I actually have a booklet like this for my dad and his stuff (he passed away in 2004 and I made a memory book with all plastic inserts :)  What a large CMA!  I think this one was one page.... only one active and none sold in 6 mos. so I had to go back 7-10 mos to find anything.

Missy: It was convenient enough for me to whip a bunch of stuff together (they still have some stuff to situate) and we'll meet next Tuesday to sign and hopefully put it up on the MLS already. I didn't want to overwhelm with a huge booklet and some of our forms changed so I had to change stuff around. Bottom line...looks like everyone uses some sort of presentation as well. :)

Marc: This is so I don't talk nonsense and stay on track with explaining.....with visual. They like that. I have a separate Century 21 folder with gold embossed lettering that I put THEIR listing agreement, CMA and copies of tips, checklist and other information in. I have my separate folder as well. This presentation I'll be able to update and use continuously (provided I get a load of listings :)

BB:  Okay...you got me going now.....  In fact, the seller decided to sign today but going on the MLS on Monday.   You think I should make a personalized one?  I usually start with a new folder with all their documents and tabbed (yes I make tabs with colored paper in between docs...) once it goes into contract.

Woo Hoo, A cleaned up desk and inspiration took over and you are rocking. It is always fascinating that when you expect good things to happen, they most often do.

I use a full custom presentation on every listing I go on . I won't get into the details here but when it is completed , it is a fully bound book. I have custom hard book covers , ( embossed with Company and My Name and Designations ) and a machine that heat binds it. It usually consists of between 35 and 40 pages in full color and it is accompanied by a CD that has its cover bound in the book as well.

Years ago, the book that I created for all my listings was what was called a ?? The name escapes me right now but it involved a course and how to put it all together. I still have it and it makes me smile as it is was about 80 % about me 20%  Company and  property marketing examples. Today my presentation is now all hi-tech and totally personalized.

WooHoo, I think it would be a good touch. I use a red high gloss 2 pocket folder thingie. When I first meet with them this is what I have their CMA and all of my listing package in. This includes market reports, my stats, web page printouts, ad copies, disclosures etc..

Once they sign the listing agreement I place all of their copies in it as well. Every time I give them anything related to their property I tell them to place it in the "red folder". This keeps everything in one place for them and of course it has my details all over it. I leave these with everyone whether they list or not.

I've had folks call me years later to come list their house and when I get there they have my red folder sitting in front of them that I gave them 5 years ago!!!

William: Okay....you got it going on with the hard bound covered book! I have our Century 21 folder for the clients with other printed copies at the time of the presentation but this one was my "explaining" book. I'd like to see yours.

BB: That's what I was saying. At the time of the listing I give them their own Century 21 gold embossed folder :) with their own copies, info and docs although your two pocket thingy sounds great. Then I wouldn't have to make another folder 'if' it gets into contract.  I want red now. :)

Sorry I missed the good news ....way to go. Your Presentation Book sounds like it has pretty much everything they would need to know.  Have you ever found that sometimes they have already decided to use you and it is hard to "present" your Presentation :) :)   I would think that many of your personal clients have already learned what you do just from reading your blog .....

Regardless.....I love what you said, out with the old, in with the new.  You made room for new things, and hey you got them :)

What a nice presentation!  I do something similar but it is mine to keep and I just hand them their sheets in a folder (no plastic sheet covers).  As I go through page by page, I simultaneously walk them through a power point presentation.

Your presentation looks very professional - I love it.
